INTRODUCTION

The activities of Institutions of learning has from time to time undergone

technological changes and this has been the major component of the

aforementioned Institution where almost everything done in and out of

the school is technologically carried out starting from students

registration to their graduation. But it is something of a worry that the

examination processes which is the pillar of any Institution is not as

strongly automated as its other processes. Examination processes is one

which should be as important as any other process within the system.

Exam expert is a system which will manage the exam processes of any

Institution of learning ranging from a kindergarten to a post graduate

institute where exams are conducted. The system is going to bring

together all of the processes which is performed during an examination,

this might include the facilitating the collection of question papers from

lecturers, an alert system for question papers submission, generating of

an exam time table, registration of students for their individual courses

and populating of students grades.

BACKGROUND OF STUDY

Examination is an integral part of every Institution ranging from low to

higher institute of studies and the need for the automation of exam
processed cannot be over emphasized. Many people has ventured into

solving this problem but most of the available materials are all centered

on the school time table which is not as tedious and demanding as the

exam time table, the normal school timetable is drawn based on the

days of the week and normally every school time table has much more

periods than the exam timetable and this makes up the uniqueness of

the exam time table. A preliminary background study of a typical tertiary

Institution in Nigeria shows clear difficulties faced by the exam

committee and even the entire school system when it comes to the

following issues

 Scheduling of examination timetable.

 who is eligible to write a particular exam

 Cutting down on examination malpractice and impersonation as

passports of students are not on their exam chits.

 Collection of exam questions from lecturers.

Equally a similar study also conducted by the researcher at other

universities shows that they are of no exemptions to this problem. The

difficulty one can say is as a result of some pressing concerns which

might include:
 Negligence in the automation of the exam processes by higher

institute of learning.

 The shortage of classrooms/examination hall

 The human factor which affects the proper permutation of the

scheduling of courses.

Several attempt has been made in quest of solving the problem of

examination time tabling and this has led to the development of so

many system like “exam planner”, “PlanIt” but the systems when

reviewed shows some flaws which “Exam Expert” tends to solve, this

problem ranges from cost to in ability of the system to solve clashes.

Also study has been carried out in the areas of question banking but

also they fail in the generation of question based on some criteria as will

be used in Exam Expert. Irrespective of so many research conducted in

this area the Exam Expert will not only solve some of the underlining

problems but will also for the first time integrate the three core modules

of Examination together giving it a vital flavor and a touch of class.

Problem Statement

A preliminary research carried out at institutions of higher learning

shows that:
• Its examination processes are still done manually and this has

affected the smooth running of the processes.

• There is a late submission of question papers by faculty member and

lecturers, this can be attributed to the fact that most lecturers wants

to be called or informed or it could be as a result of forgetfulness but

with the implementation of this system there will be an alert system

which will keep the lecturers informed when necessary.

Aims/ Objectives.

The aim of the work is not just going to contribute to the general

knowledge of ICT but tends to automate the management of

examination processes in all institution where examination in been

conducted.

The objectives are

• To develop a system which will generate an exam time table taken

into consideration the number of halls, courses and students.

• To develop a system that is going to facilitate the collection of

question papers from the lecturers

• To develop a question bank from the questions collected from the

lecturers.
Significance of the Study.

Institutions and collages where exams are conducted has the need for

i. A system to generate a clash free time table.

ii. A system which prints out a student exam pass.

iii. A system which creates an avenue to lecturers to submit their

question paper and create a question bank from the submitted

questions

iv. A system that will receive clash request from students and give

instant solution to students and keep the exam officer informed

With the aforementioned problem in mind the need for a system like

“Exam Expert” cannot be over emphasized.

Expected Results of the Study & Possible Use

The expected result is to design, build and implement a System after its

implementation will assist to;

 Generate a clash reduced exam time table.

 An avenue for submission of question papers and grades to the

exam committee which will also help in the generation of a full

question paper based on blooms taxonomy.


 Receive clash request from students and give instant solution to

students and keep the exam officer informed

Presentation of Thesis

• Chapter 1: General introduction is focused on the research which

is the Project Proposal.

• Chapter 2: Literature Review which focuses on history and the

outlook of the existing system.

• Chapter 3: Methodology. In this chapter, the proposed system is

analyzed into details and its importance discussed expansively

where context level diagrams, dataflow diagrams, flowcharts will

be used to explain the proposed system further.

• Chapter 4: System Analysis and Design; the study carries on with

the design of the system. This chapter will encompass database

modelling, class modelling, use case modelling and the relationship

diagram of the proposed system.

• Chapter 5: Testing and Implementation; Implementation of the

computer software goes on after the design. The system will be

tested and reviewed to reveal errors. In this chapter also the

documentation of the completed system. It also lays emphasis on


both the users of the system and the system itself. Under the user

documentation, the manual for both the user and the expert who

will administer the system will be known. Finally conclusion and

recommendation will be made as well as observations are

identified and the necessary improvement which could be added to

the system is made.

Project Implementation and Schedule

• The Study Work Plan of the proposed research is in two parts,

thus,

1. Part 1

• This would comprise the preliminary investigation, analysis and the

actual research into the problem. The expected completion date is

around November, 2013

2. Part 2

• This would comprise the development of the proposed model and

its implementation as well conclusion and recommendation for

further research. The expected completion date is around May

2014.
