grades for a 5 marks question.

1. The duties and responsibilities of the event planner would be pre-planning


the event, taking into account the characteristics of the event and
understanding the main purpose of carrying out this event and then setting
up a detailed plan listing all activities like seating arrangements of staff
required , number of people needed, making a proper agenda , considering
all the things regarding meals, considering the logistics of carrying out the
event and even determining the budget requirements and etc. The event
planner/coordinator is supposed to schedule the vendors and make
timelines for the activities to be prepared for the event. They need to have.
Smooth communication line with the staff working in the event with the
management and pay attention accordingly to any concerns and adjust if
required. Make sure a full detailed budget it prepared with the expenses,
funds received and having emergency funds included in them as well so
that the client wouldn’t face any unexpected funds issue. Plan and schedule
every detail regarding the event , break down all the activities that needs to
take place and set up security , proper plans for
transportation/accommodation so that the overall event would take place
smoothly.
Along with that make sure the event is evaluated properly , coorindate and
supervise the workers involved, select idea sites and venues to match the
target audience and purpose of the event, create unique desrign and
research on any needed activities to make it successful.
2. Tasks involved in event planning is clearly listing all the details regarding
the activities needed for the event , like seating arrangements for the guests
, a full count on the number and type of guests arriving , number of staff
needed to bare the responsibilities and scheduling the actual times for the
activities to take place. Outline all the plans for the meals and beverages
needed for the event, allocate transportation requirements , have a detailed
budget plan with all the details of funds and expenses in it , fix a proper date
for the event to take place, create timelines for the activities planned , carry
out certain researches as to the best vendors for the event. Another main
task involved in the event is logistics management . All supplies/transport ,
technical facilities like advanced technology to make sudden
communications , lightings for the event venue like lightings at exist,
stairways and routes and sound communications . Budgeting of the entire
event also needs to be done , scheduling of all the activities related is also
required , the entire planning process until its completion should be
scheduled properly.

3. The five W’s required for planning an event would be


WHY,WHO,WHEN,WHERE,WHAT.
WHY – speaks of the reason why this event is held in first place, The importance
of having WHY is so specifically the ways to raise the funds for the event in order
to gain the objective can be found. An event needs capital run , so according to the
purpose of event find out the methods of funding the event. WHO mentions as to
type of guests participating at the event. The features of the event should be
planned and matched according to the target guests characteristics so its
important.(age, gender) WHEN is picking the right time and date to hold this event
, this is important to make sure that most guests are available to participate for
event. WHERE speaks of the location the event would be held , this will be chosen
depending on the number of guests if capacity is enough, facilities be fulfilled .
Importance is to find out a unique , best suitable location for the particular event to
add dignity and value to the event. WHAT is the final W which speaks about the
content present at the event. The concept suitable for this event like as in ideas
that can be included. Importance is so that the event will be successfully if a
correct content is pitched in the event.

4. Its important to identify the other events in advance so that the event
planner can watch and learn from the prior events. They can identify the
event products and planning that is used in the other events priori so that
they can avoid unnecessary mishaps and possible risks at their event. The
event pricing used can be made more competitive in your event planning
compny so that you will be able to gain a competitive advantage in the
market. The method of promotions used can also be further developed in a
competitive manner looking at other events, to make it easier to
communicate the activities more easily to the customers. The people in the
market can also be communicated in a better way to increase in their
performance than the other event planning companies. The process of
planning can be improved identifying the weaknesses from other events
priori so that desired experience can be gained from the process.
