Task 1

Business Case

The OneTrim program is one of the most innovative solutions to implementations of an

information systems project that is capable of addressing inter-departmental issues of managing

critical information within the Family and Community Services (FACS) cluster which also

comprises the Department of Family and Community Services. This program makes processes

within the OneFACS issues simpler, streamlined, and consolidated by addressing the various

shortcomings brought about by the amalgamation of the departments. The inefficient record

management and bookkeeping practices by the organization led to different information system

security issues arising and therefore required a very detailed approach to addressing the issues

within the system using the OneTrim program project.

A Cost benefit analysis of the OneTrim program will present the organization with a

detailed outlook of how the business can make a profit in terms of ensuring that the strengths and

weaknesses presented including their alternatives avail proper options that the business can take

advantage of. These findings from the cost benefit analysis often give the business a better view

of how they can achieve the most benefits from the business model and at the same time keeping

their saving even higher (Boardman et al., 2017). The Net Present Value (NPV) goes hand in

hand with the Cost Benefit analysis in that it shows the present values of both cash inflows and

outflows for a specific time. This business ratio is mostly used to understand and plan on the

capital budgeting needs and hence the profitability of the investment or project can be easily

understood by the managers (Diana et al., 2019). Apart from the financial indicators, the risks

and impacts of the project must also be considered.

Purpose and Justification

Currently, the amalgamation of different departments in FACS leads to poor

recordkeeping practices and issues with filing and access of permissions thereby affecting

workflow processes. The increased usability in the system will lead to significantly better

management of records within the system and also reduce the costs of maintaining the current

multiple systems used by FACS.

Objectives

 Allow departmental information access with cross-functional areas

 Implement a security model

 Improve the user experience of the system

Product Characteristics

The OneTRIM shall contain a recordkeeping system which is in form of a MiniApp that

has several components that aid in the standardization and management of data in the entire

system. The system shall also have records management features that are based on a framework

of information systems which include the policies and procedures as well as the functional

retention and disposal authorities (FRDAs) guidelines. The product shall entail having the users

trained and assessed for change management aspects when implementing the system. s

Assumptions

 The previous records have metadata that can be standardized

 The old recordkeeping system will continue to function as the new system is still under

development

Constraints

 Time is limited to 3 months

 The budget is fixed and based on 10 developers

 The attitude of the users across the different departments towards the possible changes

brought by the use of the system

Make the information system more user-friendly, have better automated features to

enable better recordkeeping practices and also strictly follow the laid down policies and

procedures as required by the functional retention and disposal authorities (FRDAs).

Success Criteria

 Ensure the system is of the industry standards and follows the required laws and policies

or procedures to the information systems development.

 A user interface that allows the users to find and record entries easily in the system

through the consolidated filing system

 Experience increased productivity in the workers using the system and performing the

relevant departmental tasks

 Reduce costs of maintaining and supporting various decentralized systems.

 The project may require more financial resources during development

 The system may experience technical performance issues thereby delaying the use
