CHAPTER ONE

1.0 BRIEF HISTORY OF SIWES

The student work experience scheme (SIWES) is a worldwide program


practiced in countries like Japan, Australia, USA, Europe, and in African
countries too. It is popularly known as co-operative education and referred to as
sandwich in Europe. It is a four (4) months students industrial work experience
scheme (SIWES) taken in the third year of the degree program, and also in the
end of first year of Diploma program, where the students go to various
establishments related to their course of study.

One of the key functions of the ITF is to work as cooperative body with
industry and commerce where students in institutions of higher learning can
undertake mid-career work experience attachment in industries which are
compatible with student’s area of study. The students Industrial Work
Experience Scheme (SIWES) is a skill Training program designed to expose
and prepare students for the Industrial work situation which they are likely to
meet after graduation. Participation in SIWES has become a necessary pre-
condition for the award of diploma and degree certificate in specific disciplines
in most institutions of higher learning in the country in accordance with the
education policy of government.

1.1 HISTORICAL BACKGROUND OF SIWES

The word SIWES (Student Industrial Work Experience Scheme) was introduce
by the federal government in the year 1973 to develop the technological,
physical and social skill of our nation, through this, adequate and intelligent
student are provide the department involved the actual challenge various
discipline before they can be awarded as an Diploma graduate.

The program was initially introduced in Nigeria by the Industrial Training Fund
(I.T.F.) which was established under Decree 47 of 1972 by the Supreme

Military Council, headed by General Yakubu Gowon. The Decree was billed to
take effect from 31st March, 1974 and had as its core objective, the gradual
reduction of the percentage of foreign participation in most of Nigeria’s
economic activities, accompanied by a systematic cooperation of locally
oriented skilled manpower into the vast economic sector.

1.2 OBJECTIVE OF SIWES

SIWES outlined the objectives of the scheme as:

1. Provide an avenue for students in institutions of higher learning to


acquire industrial skills and experience in their approved course of study
and also by interacting with people with more experience in the field
under consideration.
2. Prepare students for the industrial work situation which they are likely to
meet after graduation.
3. Expose students to work methods and techniques in handling equipment
and machinery that are mostly not available in their various institutions.
4. Provide students with an opportunity to apply their knowledge in real
world situation thereby reducing the gap between theoretical knowledge
and practical work.
5. Enlist and strengthen employers’ involvement in the entire educational
process and prepare students for employment in Industry and Commerce.

1.3IMPORTANCE OF SIWES

The importance of SIWES is as follows:

1. Experience what it’s like to work in a professional organisation


2. Increase technical, interpersonal and communication skills, both oral and
written
3. Observe interactions with other professional groups

4. Witness the functioning and organisation of business and companies
5. First-hand experience working as an engineering professional
6. Application of technical knowledge and methods to a real-life situations
7. Work with other professionals

1.4 ROLES OF STUDENT

1. Attend SIWES orientation programme before going on attachment.


2. Comply with the establishment’s rule and regulation.
3. Arrange living accommodation during the period of attachment.
4. Record all training activity done and other assignment in the log book.

1.5 OBJECTIVE OF THE REPORT

The objectives of the SIWES report are;

 To make through explanation of the work done during my four month


industrial training.
 To fulfill the requirement for National Diploma in Business
Administration and management.
 To contribute to the body of knowledge and to enhance the understanding
of the writer about a similar or same job.

1.6 THE LOGBOOK

The logbook issued to student on attachment by the institution was used to


record all daily activities that took place during the period of attachment, and it
was checked and endorse by the industry based/institution based supervisors
during supervision.

CHAPTER TWO

2 BRIEF HISTORY OF THE ORGANISATION

Federal Polytechnic Bauchi was established in July 1979 through Decree 33


(Act 33) of the Federal Republic of Nigeria alongside six other institutions with
a mandate to run full-time and/or part-time programmes on Technology,
Applied Science, Commerce, Management and in other relevant fields needed
for driving the development of Nigeria. However, academic activities actually
took off on 22nd November 1979 with an initial student population of 245
registered in eleven departments. Apart from those admitted for the
introductory course, all the other students were admitted for the 4-year Nigerian
National Diploma (NND) Programme.

The Polytechnic permanent campus occupies an area of about 750 hectares and
is situated at Gwallameji village along Bauchi – Dass Road. It has been
planned to be a modern self-contained campus with residential, academic, and
recreation facilities. The Polytechnic provides all the necessary facilities
required for the smooth running of the institution which includes offices,
laboratories and workshops, staff houses, demonstration farm, demonstration
hotel, Audio-Visual Centre (AVC), Medical Services, Library Services, Staff
School, Sports Complex and Transport System.

The Academic work of the Polytechnic is organised on the School system.


Altogether there are thirty-three (33) academic departments which run National
Diploma and Higher National Diploma programmes that are administered under
the six (6) schools.

The Schools are:-

1. School of Agricultural Technology


2. School of Business Studies
3. School of Engineering Technology

5. School of Environmental Technology
6. School of General Studies

2.1 OBJECTIVE OF THE ORGANISATION

The objective of the Federal Polytechnic Bauchi is to contribute optimally to the


technological development of Nigeria through training of human resources in
the application of science, engineering, and commerce.

2.2 ARCHIEVEMENT AND PROGRESS

When the Federal Polytechnic was established in 1979, it started operating in


rented buildings along Yandoka and Ran Roads. The present site of the
Polytechnic at Gwallameji village, 8km South West of Bauchi Township was
acquired in 1980.

Between 1980 and 1981, the main effort of the Polytechnic was toward the
provision of infrastructural facilities required for harmonious and rational
development. The campus was fenced, 5km of surface dressed roads
constructed and about 8km of electricity distribution network were completed
with street lighting.

To facilitate academic activities on the site, while development of the main


campus continued, “an Emergency Zone” was identified at the South East
corner of the site. All construction activities on the later part of 1981 and most
of 1982 were restricted to this area. By the end of 1982, the following buildings
were completed and occupied:

i) Central Library
ii) Four (4) Administrative Blocks
iii) Four (4) Blocks of 16-room student Hostels
iv) A block of cafeteria

v) Four (4) Blocks of classrooms
vi) Ten (10) units of 3-Bedroom Staff Housing with boys quarters and
vii) Two Blocks of Laboratories.

The institutions which offers programmes leading to the award of National


Diploma and Higher National Diploma was granted approval in 2020 to run
nine degree courses in affiliation with Abubakar Tafewa Balewa University,
Bauchi.

CHAPTER THREE

3.0 EXPERIENCE

Week One

During the first week of my industrial training at the Business Administration


and Management department of the Federal Polytechnic Bauchi which started
on the 22nd August, 2022, I was introduced to the HOD, Secretary,
Administration Officer and other staffs in the department.

I engage in various activities in the department such as managing of student and


staff information within the organization, information about students and staff
are kept and are made confidential as well as restricted from unauthorized
personnel.

COMMUNICATION AND COMMAND

During this time, I was also shown more about communication and command
including how commands and authorities flows within the organization and how
it’s responses flows back.

The top bottom communication is when the communication is coming from the
top to the bottom E.g;

Week two

I was taught on how to send and receive mail, I learned more about mailing
during the second week of my industrial training which include dispatching of
mails and what to be done after.

After dispatching of mails, one is expected to keep reports of each mail that
come in the organization and the one going out of the organization. I learned
that not only mails, each information or activities done in the organization are
expected to be written down as report.

Week three

During this week, I learned more about dispatching and composing of mail as
well as filling. This is the process of handling outward correspondence which
include levers handled by the secretary. The following includes things I learned
during the week

1. Composing of mail
2. Correspondence
3. Email
4. Memos
5. Letter writing.

These are information used within and outside the organization to inform or
request in the organization. Correspondence may come from the official, staff or
the students of the institution.

Filling

File in an office usually consist of a sheet of heavy paper stock or other thin, but
stiff, material which is folded in half, and are used to keep paper documents.

File categories: the first thing to do was to organize the files though the
categories depends on how the file will be sorted. Different kinds of office will
have different kinds of categories but the general system will still be the same.
This will enable files to be sorted in a meaningful way.

I also learned to sort alphabetically or chronologically. Things needed in filling


include:

 File cabinet
 Folders
 Labels etc.

Types of files
 Lever Arch Files.
 Document Folders.
 Ring Binders.
 Presentation Ring Binders.
 Project & Report Files.
 File Folders.
 Document Wallets.
I was also opportune to know and participate in stamping of document during
the week.

Week Four

In the week four of my industrial training, I learned how to use a photocopier, a


shredding machine and scanner as well as printer.

Photocopier is a machine used in the office to duplicate numbers of document to
the desire number needed. In using the photocopier, the step I learned include
the followings:

 Checking for plugs and turning on the photocopier


 Placement of document on the appropriate place of the photocopier
 Inputting the number of copies needed
 Selection of paper size
 Pressing the start button will enable the photocopier to produce the
amount of document entered.
Shredding machine is office machine used for destroying or tearing paper into
unreadable pieces. Using shredding machine include:

 Check the shredder blades


 Know the limitation of the shredder
 Turn the shredder one
 Recycle the fragments.

Printer: is used to print or product physical document already processed on the


computer or devices. It will be connected to the a computer either through wire
or wireless means of connection in other to print out document.

Scanner: this is an office machine used to produce digital image of an existing


physical document.

Punch: also known as paper puncher. This is used to create hole by punching a
document for appropriate filling using file tag.

Week Five

I learned about books of accounting which is transactions, general ledgers, trial


balances, journal and financial statement and cash disbursement journal. The
work done during this week include stapling documents and receiving of course
outline from students in the department.

I also learned to used spiral binding machine in binding document. Spiral
binding machine is an equipment used in putting together paper document in the
form of a book.

Week Six

During this week, I learned decision making. I was thought that making
decision is choosing from alternatives. In this unit several analytical techniques
that aid managers in making a variety of business decisions were taught.

I also learned about Audit Books which receive audit assignment, gather
information about audit and determine audit criteria. Also taught on audit record
which is a financial document.

The three financial statements taught includes;

1. balance sheet
2. the profit and loss account
3. the cash flow statement

Week Seven

I was enlightened on who administration officer is during week seven of my


industrial training.

The roles of administration officer

Administration officer is one manage office supplies, stock and place order

Maintain and update company data

Organizing filling system for important and confidential company documents.

Week Eight

During this week I learned who a registrar is and was also introduced to
Microsoft excel. Microsoft Excel is the industry leading spreadsheet software
program, a powerful data visualization and analysis tool. It is a software
program created by Microsoft that uses spreadsheets to organize numbers and
data with formulas and functions.

1. Add header and footer: MS Excel allows us to keep the header and footer
in our spreadsheet document.
2. Find and replace command: MS Excel allows us to find the needed data
(text and numbers) in the workbook and also replace the existing data
with a new one.
3. Password protection: This feature of MS Excel allows the user to protect
their workbooks by using a password from unauthorized access to their
information.
4. Data filtering: Filtering is a quick and easy way to find and work with a
subset of data in a range. A filtered range displays only the rows that
meet the criteria you specify for a column. MS Excel provides two
commands for filtering ranges:
 AutoFilter; which includes filter by selection, for simple criteria
 Advanced Filter; for more complex criteria
5. Data sorting: Data sorting is the process of arranging data in some logical
order. MS Excel allows us to sort data either in ascending or descending
order.
6. Built-in formulae: MS Excel has got many built-in formulae for sum,
average, minimum, etc. We can use those formulae as per our needs.

7. Create different charts (Pivot Table Report): MS Excel allows us to create
different charts such as bar graph, pie- charts, line graphs, etc. This helps
us to analyze and compare data very easily.
8. Automatically edits the result: MS Excel automatically edits the result if
any changes are made in any of the cells.

Week Nine

During week nine of my industrial training, I was taught on how to format cell
in Microsoft excel.

Using Microsoft Excel, one can apply formatting to an entire cell and to the data
inside a cell or a group of cells. One way to think of this is the cells are the
frame of a picture and the picture inside the frame is the data. 

Formal Cells

1. Select the cells.


2. Go to the ribbon to select changes as Bold, Font Color, or Font
Size.

Apply Excel Styles 

1. Select the cells.


2. Select Home > Cell Style and select a style. 

Week Ten

During this week, I learned the method of recruitment and placement basically
the method used in the institution which include internal and external source of
recruitment.

Also how staff are being motivated through the use of compensation.
Compensation can be:

i. Financial

I also learned training and development and which include organization of


training for workers, seminar and workshops.

Week Eleven

Introduction to Microsoft word, I was introduced to Microsoft word. Microsoft


word also known as MS word is a computer application or software use in an
office for document typesetting.

The tabs in Microsoft word are:

1. Home: This has options like font colour, font size, font style, alignment,
bullets, line spacing, etc. All the basic elements which one may need to
edit their document is available under the Home option.
2. Insert: Tables, shapes, images, charts, graphs, header, footer, page
number, etc. can all be entered in the document. They are included in the
“Insert” category.
3. Design: The template or the design in which you want your document to
be created can be selected under the Design tab. Page Layout: Under the
Page Layout tab comes options like margins, orientation, columns, lines,
indentation, spacing, etc. 
4. References: This tab is the most useful for those who are creating a
thesis or writing books or lengthy documents. Options like citation,
footnote, table of contents, caption, bibliography, etc. can be found under
this tab.
5. Review: Spell check, grammar, Thesaurus, word count, language,
translation, comments, etc. can all be tracked under the review tab.

Week Twelve

Week twelve was very impressive, was able to learn how to print and
participated in printing some document.

Printing using printer enable user to produce physical and touchable document
processed on the computer system. The step in printing of document involves
the followings:

1. Checking if the printer is connected to the system and it is on


2. Open the document to be printer on the computer system
3. Click on file and select print or press control P
4. Check the layout using print preview to know if the setting is okay
5. Select the printer name from the print window
6. Click on print

Week Thirteen

During the week thirteen of my Students Industrial Working Experience


Scheme, I learned more about industrial safety practice.

Industrial safety refers to the safety management practices that apply to the
industrial sector. Those processes aim to protect industrial workers, machinery,
facilities, structures, and the environment. Industrial safety is overseen by
federal, state and local laws and regulations. Industrial safety involve:

 Plant layout
 Fire prevention systems
 Health and hygiene
 Safety training
 Alarms and warning systems

Week Fourteen

During this week, I learned the processes of quality control. The organization do
normally audit script which enhance the quality of result and students in the
institution.

Week Fifteen

I was taught how to search or find some information in Microsoft word and
excel.

The process involve Pressing of Ctrl+F or go to Home, Find & Select, Find
what box: type the text or numbers to be find. Select Find All to run your search
for all occurrences. Note: The dialog box expands to show a list of all the cells
that contain the search term, and the total number of cells in which it appears.

Week Sixteen

During this period, I learned how to filter using Microsoft excel, The FILTER
function allows user to filter a range of data based on criteria you define.

In order to filter a range of data one can do the following:

 Select any cell within the range.


 Select Data
 Filter
 Select Text Filters or Number Filters, and then select a comparison, like
between.
 Enter the filter criteria and select OK.

3.2 OFFICE PRACTICE

The Students’ Industrial Working Experience Scheme was carried out at the
Business Administration Department, School of Business Studies in the Federal
Polytechnic Bauchi, Bauchi State.

3.3 ACCOUNTING

The SIWES program expected to be undergone by all students in the school of


Business study in all tertiary institution in Nigeria. I also learned about
accounting during this period.

Accounting is the process of measuring, processing, and sharing financial and


other information about businesses and corporations. Accounting include
journal and ledger.

A journal is a subsidiary book of account that records monetary transactions


according to accounting standards. These transactions get recorded in
chronological order, and it gives details about the accounts that are affected by
each transaction.

A Ledger is a principal book of account, and its primary purpose is to transfer


transactions from a journal and then classify it into separate accounts.

RECOMMENDATION

In order to guarantee quality assurance of institution and the ITF. The ITF
should ensure that the backlog in payment of students allowance is cleared
urgently to remove the negative image being created for SIWES.

I will also like to use this medium to explore the federal Government at all stage
to take this SIWES program more seriously seen by the students in the school of
Business as a virtual improvement in future of technology in our nature.

The federal Government should make adequate provision in the annual budget
for proper funding of SIWES in view of the potential of the scheme to
contribute to enhancing the quality of the pool to technical skill available to the
economy.
