APM Assistant Program Manager

Studying at QUT and Australian Academic Culture


Studying at university in Australia may be different to studying in your home country. There are
some important aspects you should know:

• Academic Integrity & Academic Misconduct


You will learn more about this in your classes, but you should
become familiar with these terms yourself. Academic misconduct
can have severe consequences, so it is important you understand
what it is:
o Academic integrity and plagiarism
o Academic misconduct
o Major and minor breaches and their consequences
• Being responsible for your own learning
It is your responsibility to know when your assessments are, when various deadlines are,
communicating with staff if you are experiencing issues, do extra reading, conduct your own
research, and ensure you read all emails and announcements. If you do not read an email or
announcement, you may miss crucial information. If, for example, you miss a test because
you did not read an email about a change of rooms, you will not be able to re-sit the test.
• Critical and independent thinking
You are encouraged and expected to think critically, form your own opinions on issues and
support them with evidence. You can learn more on the HiQ website

QUT has many support services available to student. You can find links on Canvas or by visiting the
QUT website directly.

HiQ
HiQ is a one-stop shop for services relating to your studies activities
at QUT.

These include:

QUT College Expectations


• Speak English when on campus
This will help you improve faster and increase your chances of passing your course, and also help
you make friends with other students.
• QUT Student Code of Conduct
QUT College is part of QUT, and students must follow
the QUT Student Code of Conduct. This includes:
➢ Working to the best of your abilities
➢ Making genuine attempts to progress successfully. This includes:
o Meeting assessment deadlines
o Attending all classes
o Engaging in learning activities: This means you must participate actively in class.
➢ Treating teachers, staff members and other students with courtesy and respect
➢ Complying with directions given by university staff

Offshore online students arriving in Australia
If you are not yet in Australia, but will arrive during your EAP course, you must inform the college.

• Do not travel to Australia during assessment times. If you miss an assessment due to
travelling to Australia, you will receive zero for the missed assessment and won’t be able to
retake it at a later date
• You must email the APM-EAP and QUT College Administration (see Campus and Contacts
section for email addresses)

International Student Responsibilities


The provision of education to international students is regulated by the Australian Government
through the Education Services for Overseas Students Act 2000 (ESOS) legislation. The National Code
of Practice is established under the ESOS act and provides standards on the rights and
responsibilities of international students and University responsibilities.

Your responsibilities under this code:

• You should complete your study within the duration of your electronic Confirmation of
Enrolment (eCOE).
• You must maintain satisfactory academic course progress.
• You must maintain your Overseas Student Health Cover (OSHC) for the duration of your stay in
Australia.
• You must inform QUT if you change your address within seven days of arrival or changing your
address.
• QUT College students must also maintain satisfactory attendance. Students must attend at least
80% of all timetabled classes.
• If your enrolment is terminated by QUT as a result of unsatisfactory academic progress
(exclusion) or unsatisfactory attendance, you are in breach of student visa condition 8202. This
breach carries serious implications for your student visa and future study possibilities in
Australia.

Attendance
You must attend at least 80% of the scheduled contact hours for your program.

Your attendance will be recorded at each class or teaching session, and our administration team will
make sure you are meeting the minimum attendance requirements.

If you do not meet attendance requirements, we may need to report your unsatisfactory attendance
to the Department of Home Affairs. You will receive a written statement of our intention to report
for non-compliance with attendance requirements. This letter will include information on how to
appeal the report.

Absent from class


Students cannot request time off for special circumstances. If a student in not present in class, they
are marked absent. This applies to all students and all circumstances.

If you are absent for medical reasons or for other reason outside your control for extended periods,
you should get a medical certificate or other official documentation. You may be asked to produce
these if your attendance drops below 80%.

Maintaining satisfactory academic course progress


All primary student visa holders have a mandatory visa condition (8202). The condition requires you
(among other requirements) to maintain satisfactory course progress. If you do not make
satisfactory progress during your EAP course, you will be considered At-Risk.

QUT ELICOS EAP Responsibilities:


• monitor your course progress
• apply an intervention strategy if you are at risk of not meeting satisfactory course progress
requirements
• notify you if we intends to report you to the Department of Home Affairs if you have been
assessed as not achieving satisfactory course progress after an intervention strategy has
been implemented
• report unsatisfactory course progress to the Department of Home Affairs.

Your Responsibilities:
• meet the course progress requirements

• let us know if your circumstances change, such as if you become ill or experience other
issues that affect your studies.

At-Risk Process Overview

Students will be considered as At-Risk if they:


• do not participate in class
• do not complete the daily Guided Independent Learning activities
• have difficulty with the class materials
• have difficulty with a particular skill
• achieve less than 50% in two or more week 5 assignments.

An At-Risk Intervention Strategy may include:

• completing the daily GIL activities
• attending Teacher-Supervised GIL sessions at least once a week
• using self-study websites
• borrowing books from the QUT library

Update your Contact Details


You can view your contact details in your Personal profile and in eStudent. From your Personal
profile you can view and edit your:

• postal address
• phone numbers
• personal email addresses in our records (these are used to verify your identity when you
contact us from a personal email account)
• emergency contact details.

To navigate to your Personal profile:

1. Log in to the HiQ website.


2. Select your name at the top-right of the screen to reveal a dropdown menu, then select
'Personal profile'.

To make a change, in the 'Contact details' tab select 'Update my contact details' (or navigate to the
‘Personal Details' tab in eStudent).

Technology and systems


Devices (face-to-face students)
We strongly recommend that you have a laptop for the course. You will do a lot of work online both
in class and as homework. Speaking assessments will also be done online via Zoom. Your laptop
should have:

• a 10-inch screen (minimum)


• a webcam and microphone
• the latest Chrome web browser installed
• the following programs installed
o Zoom
o MS Teams
o Microsoft Office 365 (free for QUT students)
• the language set to English so any screenshots of issues can be understood

Devices should not have browser extensions such as ad blockers installed as they can prevent
assessments and other QUT systems from loading properly.

Devices technology (online students)


Students studying online must have a PC or laptop for attending class. Your device must have:

• a 10-inch screen (minimum)


• a webcam and microphone
• the latest Chrome web browser installed
• the following programs installed
o Zoom

o MS Teams
o Microsoft Office 365 (free for QUT students)
o QUT VPN
• no ad blockers or other extensions installed (these can prevent assessments from loading
properly)
• the language set to English so any screenshots of issues can be understood
• a fast and stable internet connection

Devices should not have browser extensions such as ad blockers installed as they can prevent
assessments and other QUT systems from loading properly.

Systems
Canvas
Canvas is the LMS used by QUT. You can access Canvas by going to https://canvas.qut.edu.au/. There
is information about Canvas on the QUT HiQ website.

Canvas is where:

• assessments are done


• assessments are submitted (via Turnitin)
• GIL is accessed
• students can find information such as Unit Outlines and
assessment rules
• important announcements are posted
• grades are published
• and much more

OneDrive
MS Teams and OneDrive is where you will

• receive announcements from your class teachers


• do class writing and activities
• have access to extra materials your teacher provides

Outlook / QUT Email


Outlook is the email service the university uses and is used with your QUT email. Email is the official
method we use to communicate with you about administrative and teaching matters. You should
check your QUT email at least twice a day. Information on accessing your student email can be found
on the HiQ website. Please also see Sending emails on how to communicate appropriately via email.

Zoom
Zoom is used for conducting lesson for students who are learning online and also for speaking
assessments for all EAP students.

What is GIL?

Face-to-face and online assessment rules


Rules for assessment can be found Canvas (Modules / About Assessment)

Speaking assessment
• Speaking assessments are done on Zoom
• Students need to have:
o a device such as a laptop (mobile phones are not suitable)
o good internet connection
o a quiet area to do the assessment (students can come to campus for the
speaking assessment but are responsible for finding a quiet location and device)
• Speaking assessments will run all day (from approximately 10am – 5:30pm) and you will
be given the time of your individual assessment on the day.

The week before the speaking assessment, there will be a Canvas announcement which gives
information on:

• the date and the time window of the assessment


• the date and approximate time you will receive an email with your individual assessment
time and location for the assessment.

On the morning of the speaking assessment, you will receive an email with:

• your assessment time

• the Zoom room you need to join.
o The Zoom links will be on Canvas

You must read this email carefully and join the correct Zoom link. Students who
miss their scheduled time will receive zero.

Submitting assessments - IMPORTANT: PLEASE READ

Assessments are submitted to Turnitin via Canvas.

• You must submit by the deadline: Late submissions will receive zero.
➢ Do not leave submitting your assignment until just before the
deadline in case you experience any problems.
• You must submit to the correct location: Assessments submitted to the
wrong location will receive zero.
➢ You are responsible for ensuring you submit successfully and
correctly.
• These rules apply to all students for all assessments.

How to submit an assignment on Canvas


Canvas is best used with Mozilla, Firefox or Google Chrome.

Turnitin Canvas is best used with Mozilla, Firefox or Google Chrome.

1. Navigate to your course unit in Canvas, click on Assignments and fine the assignment you
want to submit.

Make sure you select the correct assignment submission location. If you submit to
the wrong place, the assignment will receive ZERO.

2. Click on Upload.
3. Drag or upload your assignment.
4. You should see your assignment with a green tick.
5. Click the Agreement box.

Make sure you upload the correct assignment

6. Click on in the bottom right corner.

7. If you submitted successfully, you should see your assignment, the date and time you
submitted as well as your Turnitin score.

8. If permitted, assignments can be resubmitted by using the button in the bottom left
corner. Once submitted, you cannot delete your submission. You can view previous attempts
using the drop-down field.

Problems submitting to Turnitin


1. Do not panic.
2. Get evidence:
• a screenshot, a photo, a video
• the evidence must show what the problem is (your device language settings
should be in English so the APM can read any text)
3. Email the APM before the assignment deadline with a full description of the problem and
attach any photographic/video evidence.
 Problems reported after the deadline will not be valid.

Problems submitting an assignment on time or unable to sit an assessment test
Overview
If you wish to apply for any of the below, you will need to give a full explanation and supply
evidence.

Examples of valid evidence:


✓ A medical certificate from a registered health practitioner
Medical Certificate from a doctor/dentist needs to be on surgery letterhead paper
with:
o Date the medical examiner saw you
o The nature, severity, and duration of medical complaint
o Medical examiner’s opinion that you were ‘not fit to sit an examination’ on the
date of the examination (date must be specified).
✓ A letter from a counsellor
✓ A death certificate
✓ A relevant letter from a lawyer, accountant or police office
✓ Documentation from a religious leader
✓ Documentation must be on needs to be on organisation letterhead paper

Documents will need to be translated into English by an official translator if they are in
another language.

What is not valid evidence:


 A certificate from a pharmacist
 A photo of a positive home covid test
 A ticket for travelling to Australia (you should not be travelling to Australia during
assessments. Assessments missed for this reason will receive zero)

What happens if I cannot sit an exam?


Illness or circumstances outside your control
If you are sick or there are circumstances beyond your control, you may be granted a Deferred
Examination. Please see Deferred Exams for more details.

Religious reasons
You have the right to take the exam on another day, if the examination day is on the same day as a
religious holiday.

• Send an email request to QUT College Administration within 14 days of the final
timetable being released. Cc the EAP Coordinator in your email
• Explain with documentation that supports this claim on organisational letterhead
from a religious leader.

Late Assignments and Extensions


QUT College EAP courses do not offer extensions for assessments. Assessments submitted after the
due date will not be marked and will receive zero.

On the QUT website there are details on how to apply for an extension. This does not
apply for EAP courses. Extensions applied for via this page will not be valid or
considered.

If you are sick or there are circumstances beyond your control which prevents you from submitting
an assignment on time, you can apply for special consideration. Please see Special Consideration for
more details.

Issues Affecting Academic Performance


Overview
If you start to experience any problems with your course, it is important to talk to us and ask for
help. You should be honest and tell us if you are having troubles with your studies. This might be due
to:

• Homesickness
• Relationship issues
• Illness
• The course is too difficult

It is important you let us know and any issues before they affect your academic performance. The
university may have services to help you with your problems.

Deferred Exams
If you are sick or there are circumstances beyond your control, you may be granted a Deferred
Examination, but you must follow the following rules:

1. Complete the online application (links and instruction on Blackboard under Assessments)
2. With your application, you must provide relevant supporting documents by scanning or
photographing the documents and uploading them with your application.
 Applications will not be processed until your documentation is received.
 The original supporting documentation must be available to be produced on request.
3. You must also email the EAP Coordinator.
4. You must apply for a deferred exam before or within three working days of the exam date.

Please note that GIL Quizzes cannot be deferred.

Special Consideration
If you believe your performance in an assessment item was adversely affected by illness or other
special circumstances, you may apply for special consideration. Instructions and links for how to do
this are on Canvas under Modules / About Assessment / Assessment Policy

1. Submit your application for special consideration prior to, or normally no more than three
working days after, the date of the examination or the submission date of the assessment
item.
2. You need to provide supporting documentation to verify your claim. See Examples of valid
evidence.
3. You must also email the EAP Coordinator.

Grades
Grades are final

• Students who receive zero for any reason (including submitting to the
wrong place or submitting late) should not approach teachers and/or
coordinators asking for their grade to be reconsidered.
• The same rules apply to all students and exceptions cannot be made.
• If you believe there were exceptional circumstances which affected your
performance and/or submission you may be able to apply for special
consideration.
 However, generally this needs to be done before or soon after
an assignment is due (see special consideration for more
information).
• Pleading with your teacher or a coordinator will not change your grade
and is unacceptable

QUT Grading Scale


QUT College uses the QUT Grading scale which is the following:

7 High Distinction 85% and above
6 Distinction 75% – 84%
5 Credit 65% - 74%
4 Pass 50% - 64%
3 Marginal Fail 40% - 49%
2 Fail 25% - 39%
1 Low Fail 24% or below

This scale can be used to understand the grade of individual assessments. However, for
your final grade this can be misleading. Please see Understanding your Final Grade

Final grades
Date received
Final grades are released on the Wednesday after you finish your EAP Standard course.

Understanding your final grade


Your final grades will be release on Canvas and you will be directed to a QUT webpage. Grades will
be given using the QUT Grade Scale.

• If you have achieved the required grade to progress to your next course

your Letter of Offer.

Assessment Viewing Session


After the final grades are released there will be online Assessment Viewing Sessions where students
can view their assessment results with a teacher/coordinator (students cannot view answers to

reading and listening tests or GIL quizzes). Details of these sessions will be given after the results
have been released.

Review of grade
If you are dissatisfied with your final grade, you should first attend the assessment viewing session
for clarification on the reason for your grade. If you still wish for your grade to be reviewed, you can
apply for a review of grade. Information on doing this is on Canvas under Assessment.

• The review can lead to no change, a higher mark, or a lower grade.


• Review of Grades must be applied for within 10 working days of the release
of the final grades.

Communication
Expectations

• Check your QUT email at least twice a day.


• Read all emails and Canvas announcements carefully.
• Using suitable English and formatting in all written communication.

Exceptions will not be made if you miss important information that was
communicated via an email or a post.

Emailing the management team


If you need to email the management team, include both the EAP coordinator and the ELP
Coordinator in one email. Do not send two separate emails.

Sending Appropriate Emails


At university, you risk not having emails responded to if you do not email correctly. University is an
academic environment and is not like messaging friends on social media. Therefore, emails should:

• be sent from your QUT email


• use a concise and direct subject line
• open appropriately (Dear ______) – check the correct spelling of the name
• give your full name, student number, course/class
• explain clearly and concisely what the email is related to
• use formal English – no emotive/pleading language
• be polite
• close appropriately (Yours sincerely / Kind regards)
• not have emojis ( ) or exclamation marks ( ! )
• not be written in capitals (IF YOU WRITE LIKE THIS YOU ARE SHOUTING)

 If you send an inappropriate email, you may be told to read these instructions again and to
rewrite appropriately before receiving a response.

• Not enough information: one short sentence. Which assignment? What is the problem
submitting?

Fire evacuation & lockdowns


• Follow fire warden (with the helmet) and teacher instructions
• Take valuables & walk safely
• Wait until directed before returning into the building

First aid
• For any injuries or accidents that occur during your studies,
report to administration and they will contact a first aid officer in P block or security.
• For any accidents, or potential accidents in P block, a form
must be completed with an HSE Advisor (Rebecca Axelson)
