Dear Grace,

RE: Suspension from Work

As discussed, this letter serves to confirm your suspension from work for a period of two
weeks effective immediately, March 23, 2023. Hence, you will be expected to report back to
work on April 6 2023, unless otherwise advised. The suspension has been deemed fit due to
the nature, sensitivity and gravity of the claims to allow us to conduct investigations.It is
alleged that you colluded with third party individuals to defraud the company of its assets
through unprocedural asset onboarding procedures in contravention of the Company’s Asset
Onboarding policy & procedures and the Code of Conduct.

However, there can be a change or addition to the above-mentioned allegations, as


appropriate, in light of our investigations.

In the event that you are found culpable after investigations, appropriate disciplinary action
will be invoked including but not limited to extending an invitation to; put forth a written
defense, review any material evidence, and attend a disciplinary hearing as per our policies.

In order to undertake successful investigations, please find below conditions of your


suspension;

● Employment is continuous during the suspension period and terms and conditions of
employment will continue to apply;
● While on suspension, must not carry out or undertake any work duties and should not
visit any workplace unless prior permission is granted by the HRBP, Tanzania, and
Head of HR;
● During your suspension, we will continue to pay your full salary as per your
employment contract;
● Must cooperate with the investigation;
● You may be required to attend the workplace or any other venue for interviews or
other meetings related to the suspension or matters under investigation;
● Must be available to answer any work-related queries from the Country Manager and
anyone from the investigating committee;
● Must not have any direct or indirect contact (text messages, WhatsApp, telephone
calls, in-person) with any other staff, contractors or customers unless authorised by
the Country Manager/Head of HR of any other person as may be designated by the
Country Manager;
● If you plan to make yourself unavailable, for a specific period, while you are
suspended you must seek approval from the Country Manager;

● As this matter is currently under investigations, you are required to keep it confidential
and you shall not discuss with any colleagues without explicit approval from Country
Manager or Head of HR;
As per our company policies and employment practices, it is paramount and mandatory to
investigate any claim in order to promote and create a conducive working environment. To
reiterate, this is not a termination letter but a letter of suspension for a period of 2 weeks.
