IBEX ONBOARDING CHECKLIST

Congratulations on your successful interview!

Below is what is required before training begins:

1. Obtain a Police Record


- How? Visit any Tax Office and Pay for the $6,000 (5 days processing) Police Record.
Please reach out to your Recruiting Coordinator via WhatsApp with a picture of your Police Record
Receipt to confirm your fingerprint date.
On the Appointment date:
- Take 2 Passport sized pictures (no certification required)
- Take your TRN and Valid Gov’t issued identification
- Criminal Records Office is located at 56 Duke Street, Downtown Kingston. There you will complete the
fingerprint exercise. Your receipt will be returned to you stamped along with the date for Police Record pickup.
Please submit the stamped Receipt in the box label ibex as they will need it to pick up your Police Record on the
due date.

2. Print the attached bank form and take it to your bank for them to fill in your banking details and sign /stamp the
form. You must already have an active bank account to do this. The banks that we accept are (NCB, Scotia, First
Global, CIBC First Caribbean, JN Bank, Sagicor)

If you do not have an active bank account at any of these banks, please reply to this email as you
need a bank account before you can start training.

3. One Character Reference Letter is needed. Letter can be from Previous Employer (Supervisor & above), JP,
Pastor, Principal, University Lecturer, Lawyer, Member of Parliament, Member of the Police Force (Sergeant &
above) or Medical Doctor. The letter can be written or printed, however it must be stamped and/ or signed.

iCIMS POLICY COMPLETION

4. You will receive an email with the subject “Welcome to ibex Onboarding!” In that email, you will be provided
with your Login Name and a link to reset your password to access your online ICIMS profile.

5. To reset your password, please click the link in the email to you will be brought a sign in page. Select “Trouble
signing in?” enter the login name provided in the email received at step 4. Please contact your Recruiting
Coordinator, if you face any issues.

- You will receive the password reset email from IBEX Global @ icims with the subject “Password
Reminder from IBEX Global”. Select “Reset Password” to create a new password.

6. Once logged in, click “Begin Onboarding” to be directed to your Profile. Please review carefully and complete all
required fields. Once completed, “Save & Continue”

- Please ensure to verify the spelling of your name and enter your correct date of birth, NIS and TRN.
- Please DO NOT use any hyphens, special characters or space in your name, NIS, TRN and phone number.
(Only 10 digits should be entered in the phone number fields)
7. Once completed, other tasks will automatically be available for you to complete. These tasks include HR policies,
bank account information verification and sections for you to upload each required document below.

- The HR policies require your acknowledgement prior to day 1 of training. Please read carefully
then check the box beside “Signature” at the bottom of the screen and select “submit” to
acknowledge. Once completed, you will be taken to the next task.
- For the bank account information task, please use the information on your verified bank form to
complete the form, to ensure accuracy.

8. You are required to upload your updated Resume, Qualifications, ID, NIS, TRN, Bank Form, Police Record
Receipt, Drug Test Slip and Character Reference Letter before you can begin training. Please READ below
for instructions on how to scan, rename and upload documents.

If you are an iPhone user, place each of your documents on a flat surface with a white background (Blank paper) and follow
the instructions below to scan and rename:

1. Open Notes and select a note or create a new one.

2. Tap the Camera button , then tap Scan Documents


3. Place your document in view of the camera.
4. If your device is in Auto mode, your document will automatically scan. If you need to manually capture a scan, tap the Shutter

button or one of the Volume buttons. Then drag the corners to adjust the scan to fit the page, then tap Keep Scan.
5. Tap Save or place another document in the view of the camera to continue scanning.
6. Once saved, click on the document and select “Scanned Documents” to rename the file with your first and last name and the
name of the document you scanned.
Therefore, if you scanned your NIS, TRN & ID, you will rename it as “johndoenistrnid”. (Ensure the documents are clean,
clear and there are no caps or space)
7. Each required document must be scanned separately. However, your NIS, TRN & ID can be scanned in one document and
your qualifications, if you have multiple.

8. Once you have renamed the document, tap the Share button at the top right of the screen, scroll up then select “Save to
Files”.
9. To upload documents, select the upload task for the document you scanned then select “Choose File” then “Choose File” to
upload a document then repeat the process above.

Android Users:

1. Go to the Google Play Store and search “Camscanner” (All in one word), download then open the Application.
2. To scan your documents, select the green and white camera icon at the bottom right of your phone screen.
Ensure that the document you are scanning is placed on a white flat surface then click the camera icon to scan the
document.
3. Crop the picture to ensure that only the scanned document is showing and not the background.
4. Select the arrow labeled next at the bottom right of the screen.
5. Select “Magic Color” or “No Shadow” to give the document the scanned look. If you select this option and the
document is not visible, please try another filter.
6. To rename the document, click the top of the screen where “CamScanner, date and time”, Eg. CamScanner 12-30-
2020 18.20, Remove that title and rename as with your first and last name and the name of the document you scanned.
(Ensure the documents are clean, clear and there are no caps or space).
7. Click the tick at the bottom right of the screen to complete the scan. To scan multiple documents in one, tap the
camera at the bottom right of your screen then repeat the process from step 3.
8. Once through, click the PDF sign at the top right of the screen. This will convert the document to PDF. Then select
green icon that says share then select save to drive.
9. To upload documents, select the upload task for the document you scanned then select “choose a file”, select
“Files” which will bring you to “My Drive” to select the document you would like to upload then repeat the process
above.
