CHAPTER 1

PROJECT AND ITS BACKGROUND

1.1 Project Context

As the decade passes, business companies utilize new software that can

further bolster their company’s strength in the competitive business industry.

Many big Enterprises or companies already utilize the advancing technology,

giving an upper hand compared to others that still have a manual approach to

managing inventory data or information. Manual approach to managing systems

that inputs and outputs data is usually time-consuming and requires more human

resources and space.

According to Breitmeyer (2015), Manual systems put pressure on people

to be correct in all details of their work at all times. With manual systems, the

level of service is dependent on individuals and this puts a requirement on

management to run training continuously for staff to keep them motivated and to

ensure they are following the correct procedures.

In Manual data entry and storage, business companies count and check

their stock numbers regularly – say, every three to five months – to verify stock

accuracy, checking whether the stocks is up to and matched to sales figures. It

takes a long time and will result in loss of client and dissatisfaction due to long

wait especially if the client needs the product urgently.

The company can also face the following problems:

Companies without a system can face problems such as inconsistency on data

entry, staff training cost, duplication on data and time consuming. Inconsistensy

of data entry, more room for errors and miskeying information. With human error

it can cause time consuming and duplication on data. They manually input data

and it’s a Time consuming process that can affect the performance and daily task

of an employee. To avoid time consuming of doing a manual data entry, company

hires more staff for consistent office job. Unlike with the use of system the flow of

data entry is consistently accurate.

As stated by Revel systems (2017) on Inventory Management Statistics &

Equations for Business owners, 46% of Businesses either don’t track inventory or

use a manual method and Administrative, paperwork, and vendor errors account

for 25% of shrink.

A business company will need an inventory system in order to have a

smooth workflow without any interruption that can slow or worst scenario, stop

production. The researchers propose the Order and Inventory Monitoring System.

The proposed system will help our target department to efficiently entry data,

store data, see the status of a certain data or product, and report Ordering. We

have chosen to create the system for this department which is still using a

traditional manual storage data entry and storage. This can help the department

to have an efficient workflow to avoid delays in processing the data.

1.2 Objective of the Study

SL Agritech’s Quality Assurance Department is currently using a manual

method of entry and data sharing with the use of excel, paper, and a flash drive.

With these methods problems such as inconsistencies in data entries, slow

process of data update, and a possibility of losing the flash drive which contains

important updates and more problems exist.

The objective of the Order and Inventory Monitoring System is to efficiently

entry data, store data, see the status of a certain data or product, and give job

order report and inventory report. The user will be able to input data’s such as;

Origin of local or imported product, variety, weight, batch, quantities, status,

information about a certain order, and other data’s that would be requested by

the department to input. With the use of this system, quick entry, storing, and

updating of data will be possible, thus resulting to a more efficient and better

workflow. This would also provide a much secure storing of data. Multiple admins

or user accounts can be made to monitor or see what is new on the inventory. As

the project progress, further enhancements will be made for the system.

1.3 Scope of the Study

The system focuses on making a system that will help the Quality

Assurance Department to have a computerized inventory system that can make

an efficient, quick data storing and update, as well as giving summary reports.

The mentioned system will only be used on Quality Assurance Department.

Using the system, a chosen admin can fully access the Order and Inventory

Monitoring System. Only he/she can authorize a person to create a user or use

the system. Non-admin user’s access is limited.

1.4 Delimitation of the Study

The system would only be available for windows Operating System

computers. Since the researchers consider the performance of the Quality

Assurance Department’ computers, the system would be a web-based app and

not standalone software because it will still need an optimization of the software if

the it is heavy or light on performance which will take huge amount of time. The

system is not Accessible to mobile phone and also not have to access in client

ordering

1.5 Significance of the Study

This study aims to make a Order and inventory monitoring system to help

SL Agritech’s Quality Assurance Department to have more easy access, data

entry, data updates, and monitored Job Order for more efficient workflow on the

targeted department. The progress and result of the study is highly beneficial

specifically to the following:

• Quality Assurance Department

The department is considered as the main concern of the study. They

are the main beneficiaries of the Order and Inventory Monitoring System. With

the help of the system, the Quality Assurance Department will have an

efficient workflow as their production starts. Mentioned that the way of entry

and updating other departments is with the use of just a flash drive and excel,

it can be time-consuming for each employee. The ability of the admins to

update the system 24/7 can have a huge impact on efficiency. This

department needs to be efficient and quick because this is the second

department to receive incoming products.

• SL Agritech

This is the company which is where our target department is.

Improvement on the workflow in the Quality Assurance Department would

further enhance the current production of the company since the mentioned

department is the second to receive the purchased product from local or

foreign vendors. This will have an effect to the pacing of production.

• Researchers

Researchers will also benefit from the study. As the study progress, the

researchers will be able to gain new knowledge and skills that they can apply

for future careers. Creating a Order and Inventory Monitoring System will

further enhance capabilities of the researchers on IT skills and can be applied

to IT Industry for future jobs. The researcher will also gain skills in quickly

coming up with a solution for a certain IT problems of the targeted company.

• Future Researchers

Future Researchers can also benefit from the current study. The current

study can be perceived as reference for their own study. This study can

further strengthen their study. The future researcher will be able to find

similarities of concepts at this study to that can add further add knowledge

about developing a web based Order and Inventory Monitoring System.

• Customers

The customers of the SL Agritech will definitely benefit from the study

once successfully implemented. There are scenarios where a client needs to

order and acquire product urgently. The Quality Assurance Department is

very important on this type of scenarios as they are the one to make sure if

the product passes or fails and they have to do it efficiently.

REVIEW OF RELATED LITERATURE AND STUDIES

In this chapter, the researchers gathered the related literature and studies

from different articles, books, journals, thesis, etc. This will serve as a guide to

complete and improve the researcher knowledge as well as in developing the

study. This chapter fully understand the connections and comparison between

previous study and in the present work.

2.1 Review of Foreign Literature

Over the year, a lot of changes has happened in the daily transactions of

the business environment. Vitez (2018) notes that technology helps small

businesses complete with larger companies especially in the economic market

place. Small and mid-sized businesses have come to rely on the use of

computers and on computerization for the business transactions, in particular

inventory management system

2.2 Review of Foreign Studies

The Initial implementation of the study resulted in better management and

monitoring of the machine shop borrowing and returning of tools are more

efficient and less time consuming, thus inventory is automatically updated and

reports could be easily generated. Likewise, traceability of the inventory record is

easier.

According to Dr. Tariq Sheakh (2018) Inventory management is a

challenging problem area in supply chain management. Companies need to have

inventories in warehouse in order to fulfil customer demand, meanwhile these

inventories have holding costs and this is frozen fund that can be lost. Therefore,

the task of inventory management is to find the quantity of inventories that will

fulfil the demand, avoiding overstocks. This paper presents a case study for the

steel manufacturing industry (small scale industry) on inventory management.

The relationship between the inventory management and company performance

was determined based on inventory days and return on asset (ROA) analysis.

The research found that company X had a few inventory problems such as

unorganized inventory arrangement, large amount of inventory days/no cycle

counting and no accurate records balance due to unskilled workers. The study

also proved that there was a significant relationship between return on asset

(ROA) and inventory days. This paper also provides recommendation to the

company and further research.

Tim Crosby (2012) in his study on ‘How Inventory Management Systems

Work’ stated that inventory management system is the rule in knowing which

products are selling and which are taking up shelf space for enterprises as well

as smaller businesses and vendors. The system Balance the goal of ensuring

customers always have enough of what they want against a retailer’s financial

need to maintain as little stock as possible. Thus, the ability to track sales and

available inventory, communicate with 17 suppliers in near real-time and receive

and incorporate other data such as Seasonal Demand must available in the

modern inventory management Systems.

2.3 Review of Local Literature

PLDT (Manila, Philippines, April 15, 2011), small and medium enterprises,

who long for a point-of-sale (POS) system that can track how much they sell and

how much stock they have left at their stores in real-time and from anywhere, can

now turn to PLDT SME Nation.

Review of Foreign studies

According to a recent Aberdeen Group study (March 2012), companies

are prioritizing supply chain visibility, inventory optimization, supply chain

analytics, and supply chain outsourcing as ways to cut supply chain management

(SCM) costs this year.

Computer Based System Study (2015) Computer-based system is a

complex system wherein information technology plays a major role. It makes the

work easier, faster and more accurate. Due to that fact, the automated scheme

has become essential to small and big companies for they are expected to give

the best services possible. Nevertheless, some businesses still prefer sticking

with the system that is not integrated with technology. Probable causes are

computer illiterate staff and lack of funds. Companies especially the big ones are

recommended to switch from manual to automated systems because this will

improve the efficiency and productivity of the business which will uplift the

industry’s reputation.

One of the most sought-after automated systems of different companies is

a purchasing and inventory system which comes hand in hand. A purchasing and

inventory system is very important in every organization because a good

purchase and inventory management can create excellent productivity. Primarily,

inventory work consists of input, output and restock. Input is a process of buying

new products into the inventory and replacing the old products with the new ones.

Meanwhile, output is a procedure of taking out the products from the inventory for

sales or usage and refill is a process of increasing the number of existing

products in the inventory in order to fulfil the insufficient products or escalating

demands. Most of the retailing market is using traditional way in the inventory

management system where a person is assigned to check and record the stock

by hand using pen and paper.

Online Sales Monitoring and Inventory System Jan 2011. The problem of

the conducted research is about the company’s sales monitoring and inventory

system. Keeping records of sales and inventories manually are the current

method used by the company.

Sales and Inventory System by Eahm (2013), Computerize sales and

highly prioritized tool. Computers today are now used as a substitute to manual

processes and other past inventions like the radio, television, etc. It is now used

by people for much simpler, easier and faster way to do things. Some used it as a

2.4 Review of Local Related Studies

Computerized sales and inventory system for Anthony's general

merchandise and construction supply by Kentwatak (2013). Many people use

computers in their daily lives. Some use it for transactions, some use it for

educational purposes and others use it for data storage. Though it might sound

unnecessary but, in some cases, when storing a file for such a big company, can

you manage it properly? Organizing, finding a file, etc. With computers, it can

help you simplify the process of storing and managing the files you need for

future use and make finding files easier than the manual process. Computerized

Sales and Inventory System is a product of human knowledge with a use of

technology so why not use technology as an advantage and benefit ourselves.

This proposed system aims to lighten works and solve the problems

involving strict and complex recording and calculations.

According to Flordayuha (2013), sales and inventory system are very

important in business transactions and to that businessperson who don’t want to

be bankrupt and loss profits. That’s why several studies were conducted to

develop more reliable system and to help businessperson in doing their business

transaction and process easier and faster providing the business more

convenience and satisfaction.

2.5 Hardware and Software Integration

The researchers proposed system is based on the software implemented

in previous literature and research. Researchers will use the software; PHP,

HTML/CSS, XAMPP, and other programming language to help the inventory

system function properly. The researchers will use hardware; Desktop or a laptop

research is similar on the present study. The proponents relate and differentiate

the research based on the flow of their m the proposed study. The transaction

and process and also the Design Specialization will easy help to acquire and

accommodate and communicate with the user, the proponents get and use other

research in this chapter, in which it helps to them, because they get knowledge

during creating the systems. This Review of Related literature and Studies

illustrate the specific and general task of the inventory Management System, also

the types of Inventories that gives a lot of knowledge for everyone before entering

into business and using Inventory. In this chapter the proponents put a different

opinion of others in terms of Inventory, the Literatures and studies should get on

the book articles on the internet. Inventory Management System, Tackled how

you manage your inventory whether manual or computerized, both of that having

advantages and disadvantages for the business, this chapter gives an idea also

for the reader to review what’s use of inventory to the business.

2.7 Technical Background

In this chapter we discuss about the technology that we are about to use

and the explanation for all those technical development for the proposed system

2.7.1 TECHNOLOGIES USED FOR THE PROPOSED SYSTEM

This study was conducted to help SL Agritech Corporation Inventory

management to be more useful by adding Order and inventory management

system to help the management know if the company is doing well and the

operation is going smoothly. The exact purpose of inventory management is to

give the management easy access to the inventories and can form documents

immediately.

Order and Inventory Monitoring System is a computer-based system for

managing inventory, and make summary reports. Companies use inventory

management software to avoid product overstock and outages. It is a tool for

organizing inventory data that before was generally stored in hard-copy form or in

spread sheets.

Software

The required software needed by the system is XAMPP which has the

apache server and MariaDB database.

Hardware

The mandatory need of the system is the Desktop with a Monitor Screen

(Minimum 1024 by 768 pixels), mouse, keyboard, and modem to have an internet

connection for the computer.

Peopleware

The required people needed by the system are an admin and staff users.

The admin will be in charge of allowing one to use the system and also managing

data such as add and delete or edit.

Project Technical Description

The following is the content of the system according to the step-by-step

procedure.

Manage Users

It shows the numbers of users and admin. Admins can create new users.

Stock Orders

This will show the queued up orders of the company to add additional stocks.

Inventory and Stocks

It shows the current remaining and available raw seeds and hybrid seeds.

Packed Orders

It shows the packed seeds that have been ordered by a client.

Inventory Log

These will shows the summarized detail of beginning, incoming, and outgoing
quantities.

METHODOLOGY RESULTS AND DISCUSSION

This chapter presents the research designs and methodology of the

project. This chapter will also include the system architecture, conceptual design,

Cost and benefit analysis, requirements analysis, development and testing, and

system flow.

3.1 Research Approach

The purpose of this research is to create a Order and Inventory Monitoring

System for the Quality Assurance Department of SL Agritech Corporation. The

researchers regularly ask the target users for data or figures that can be used

while developing the system. The constant communication between the target

users and the researchers were necessary for the development of the system.

The researchers used a qualitative research approach. Although the researchers

and the target users were in regular communication, to further clarify necessary

details, the researchers will personally go to the targeted department for an

observation.

The researchers will use an observation method for further data gathering.

The type of observation method will be used is naturalistic observation. The

researchers will place themselves in the targeted department while regularly

taking down notes for the data gathered.

3.2 Software Design and Process

The system focuses mainly on pieces of information that can be edited or

view by users and admins. The system can display and edit data such as

managing users, orders, and reports. The structure of the system is made using

PHP (Hypertext Pre-processor). PHP is a HTML-embedded scripting language

which works behind the front end that users normally don’t see such as math

calculations, file operations etc. For its User Interface elements, Cascading Style

Sheets or CSS is used. CSS is responsible for the look of the system such as

background, background colour, layouts, pictures, fonts. CSS is mostly for

designing a user interface. JavaScript is also used to add a dynamic behaviour

such as buttons appearing, sliding, or pop out messages. XAMPP will be used to

access phpMyAdmin administration tool and to open the web app based Order

and Inventory Monitoring System on a local host.

The researchers also considered the system requirement of the system

and aimed at a non-heavy performance system. PHP requires at least Windows

2008/Vista with either 32-bit or 64-bit operating system. Although PHP memory

requirements can vary depending on the modules you are using, the minimum

required memory size is 64 mb. XAMPP only requires zip, tar, or exe file to be

downloaded and run.

3.3 System Architecture

The figure above shows the Architecture of the Order and Inventory

Monitoring system. Once a web browser is opened, using Xammp, the user will

be able to access the web server. With the server finally accessed, the user can

now open the web based Order and Inventory Monitoring System through a local

host on the webserver using the browser. Any instructions (input/output data,

executing command lines,) that will be given by the user will be sent to the

database and will be sent back to the web server and to the web app. The web

server, web app, and database will continuously communicate with each other.

3.5 Iterative Waterfall Model

The researchers have chosen this model because each phases requires

changes as the progress of creation of the system goes. The researchers

continually ask the target department if they want changes for the system as they

give the researcher’s new figures or data that can be included in the system. The

first phase is gathering the requirements of the targeted department. All the

request of the targeted department will be gathered. The first phase is also where

the researchers look for the programs or software that can be used to create the

system. The second phase is the conception of ideas where the researchers

conceptualize the system, and the will proceed to the third phase which is actual

coding and tweaking. The fourth phase will be the installing and testing of the

system in the target department and once accepted, it would proceed to

maintenance if needed.

3.7.1 Tangible benefits

• Increased in Revenue

The Order and Inventory Monitoring System can contribute in the


increase in revenue by making the progress of the workflow of the current
department more efficient.

• Consistent Data Entry

Employees can easily keep and track data. An error in data can be
corrected more easily as employees or admin can see current data’s even
if it’s regularly getting updated.

• Enhanced Security

The targeted department uses papers documents and flash-drives


to store and update other departments. These methods of storing and
updating have a risk such as data getting stolen or misplacing the device
that holds the data.

• Other Departments

Since Quality Assurance Department one of the earliest


departments to received a product bought by the company. Having a quick
data entry and able to update it regularly with ease, other employees from
other departments can easily query for the necessary data they are
looking for.

Intangible Benefits

• Efficient Workflow on the Department

The system improves the speed of how fast a data can be easily
input and be edited. It makes it easier for the employees to query, search,
filter, and retrieve acquired data. The system can be accessed by multiple
users.

• User Friendly Experience for Employees

The system is aimed to be made user-friendly at the very beginning


of the development of this project. The users of the system can be easily
taught on how to operate the system.

• Increased Customer Approval

Because of the new efficient workflow of the department, customer


with urgent needs will benefit because of a better workflow. Quality
Assurance Department is the department to receive products bought
locally or imported so slowing on the first process in creating finished
goods can affect the quality and can be time consuming which can result
to losing the customer.

• Brand Equity

With the efficient workflow and other benefits gained, the brand will
maintain its equity by having better services to the customers.

3.8 Requirement Analysis
3.8.1 Minimum Requirements

• Operating system: at least Windows 2008/Vista (either 32 or 64 bit)

• Requires Visual C runtime (CRT).

• CPU: Intel Core or Xeon 3ghz (or Dual Core 2GHz)

• Cores: Single

• Ram: 4GB

• Any archiver (preferably 7-Zip or Winrar)

• Web Browser (preferably Microsoft Edge)

3.8.2 Recommended Requirements

• Operating system: Windows 7 above

• Cores: 4 and (above)

• Ram: 8GB

• CPU: Intel Core or Xeon 3ghz (or Dual Core 2GHz) or above

3.9 Functional Requirements

The system can be accessed with at least Windows Server 2003 or Vista

as a minimum Operating System requirement. It is also recommended that the

system will have a minimum 4GB RAM. For disk allocation a minimum of 100 GB

depending on the size of data to maintain and the transaction it will make on a

daily basis.

The proposed system will need an employee with Administrative User

Access who will manage the system. Administrator will not be limited to one

person or 1 account. A number of admin accounts can be made if it is necessary

for the targeted department. The number of normal users will also depend on

how much user the Quality assurance department will allow.

3.10 Non-Functional Requirements

Administrator User Access levels are only for authorized admin users or

employee. The admin account will be secured and will not be able to be

accessed by an unauthorized person or employee.

3.11 Development and Testing

These are the tools that will be used to develop and design the content of our

system.

The figure above is the data flow diagram of the Transaction and Inventory

Monitoring System. Each data’s in the admin panel can be managed. The admin

can manage Inventory, Transaction, and summary report information for products

bought and to be received by the company.

Chapter 4
RECOMMENDATIONS

This chapter explains the summary and interpretation of the findings,

wherein the proponents expounded the information from the recent chapters into

logical and rational perspective. Furthermore, the recommendations are stated in

this chapter by the proponents for the future researchers to fulfill the full potential

of the system.

Summary of Findings

The proposed system named Ordering and Inventory Monitoring System

will serve as a solution to their manual process in addressing issues such as

missing papers, damaged documents or product and data loss. Currently, with

these manual methods that they are practicing. Possible problems such as data

inconsistencies, slow process of data, and a possibility of losing the flash drive

which contains important updates in orders and inventory. Our proposed system

which features focused on gathering, monitoring order and inventory. This system

will be an efficient way in data entry, storing data, monitoring the status of a

certain data or product, and giving reports such as job order and inventory. This

will also provide a data security of all important data of the company and

customers. The user administration features multiple admins or user accounts

which can also monitor updates on the inventory upon login or via a reports.

By collecting sufficient information through research and survey, the

proponents have seen the huge differences between the existing system and the

proposed system. The previous chapter shows that the proponents are in favour

of the proposed system and as it is proven that the existing system is unreliable

when it comes to efficiency and security, the proponents were also able to

develop a system that would help the employees of SL Agritech’s Quality

Assurance Department. As the project progresses, further enhancements will be

made for the system.

Recommendation

The proponents recommend the system to the SL Agritech’s Quality

Assurance Department because it will be a great of help to their employees to

have an efficient, reliable system and secured data storing. With the combined

ideas we have in mind and as we exerted time and efforts from planning up to

developing the system, we have come up with the most updated version of the

existing system.

To the future researchers that have a similar study, we recommend to

innovate this project by adding more feature with the use of new tools for

handling and securing the data/files. All of the recommendations will help the

future researchers and developers in conducting additional research and

development to advance this study which will benefit the other small and

medium-sized businesses.

Conclusion

Based on our conducted research, our target industry has no existing

inventory system and is currently doing a manual data entry using Microsoft

Excel. With the proposed system it will ensure that the target proponent gives

more accuracy and real-time data to avoid human error. Also, with real-time data,

users can immediately get remarkable insights of their products and inventory.

Instead of relying on managers or other staff members to manually input data,

create a new report, inventory task can be done without a request through a

designated users in the system. With this system, it will automatically notify users

when a certain product is running out of stocks. Stock levels warns the user when

the stocks are in critical level. This helps the company in avoiding production

cost, irate customers and customer loss by fulfilling they demands real time and

ahead of time. One of the advantages of having am inventory system is doing a

summary report and an automatically update the stocks. This project can greatly

help and satisfy the needs of our target industry.

The proponents have concluded that with the help of the technologies we use

like XAMMP, PHP, AJAX and HTML the system was made possible and can be

upgraded or enhanced by future developers.
