Part 1 – Job description

1. Main purpose of the job

The main purpose of the job is to ensure that the ENA regional team has sufficient administration
support, and that the regional office can function proficiently through the maintenance of important
external liaison with key stakeholders. The role is also responsible for the communications needs of the
regional team and meeting the broader organisational requirements in this area. The position will
coordinate and follow up on the strategic decision-making and planning processes in the ENA cluster.

2. Position in organisation
1. Reports to the Operational Lead ENA (Eurasia & North Africa)
2. Liaises with and provides support to members of the Regional team.
3. Provide support to partners as required by members of the team and country offices.
4. Acts as point of contact for enquiries both internal and external.

3. Organisational requirements

4. Scope of job
● Provision of office liaison and support and team administration

● Responsible for ensuring communication within and external to the team are coordinated.
● Supports the team in achieving its overall objectives, and responsible for carrying out specific
designated work packages/projects.

Office Liaison and Support (30%)

● Act as office liaison for visitors
● Provide administrative assistance to operational functions including HR and Logistics in support of
the Regional Office
● Prepare and follow up visas, pre-visa applications, work permits, residencies and extensions for all
Tearfund expatriate staff.
● Develop and regularly update tracking sheet for residencies and visas of Tearfund staff to make
sure they
● As necessary support Logistics colleagues to facilitate clearance of goods through Jordan Customs
and shipping agencies.
● As necessary support security colleagues to apply and follow up for getting security clearance for
any events organized by Tearfund in Amman.
● Responsible for keeping the Organization continuously updated on latest developments & changes
taking place in governmental departments related to visas, work permits, residency procedures.
● As directed by the Head of the Region, follow-up the Organization’s registrations and licenses
(applications, renewals) with the concerned governmental offices.
● Assist in provision of practical support arrangements for travel by the Regional team
● Where necessary assist in organising the practical arrangements from the UK for needs
assessments, evaluations, audits, consultant trips and other overseas visits.
● As requested, prepare official letters and ensure translation of documents when necessary.

Team and Programme Administration (40%)


● Assist the Regional Compliance Officer in ensuring proper filing and documentation of all
administrative documents within the region.
● Responsible for arranging the team’s administration, management and other meetings. Drafting and
circulating agendas, booking and set-up of meeting facilities, taking and circulating minutes to
enable the effective accountability of the team’s programmes, produce action points where
appropriate to support effective and rapid, up to date, team communication including crisis and
security meetings.
● Organise events such as team days in Focus Fortnight and Regionally located team meetings.
● To be the first port of call for enquiries, both internal and external to Tearfund (excluding partners),
directing enquiries to the appropriate person within the team in order to ensure that team members
can work as uninterrupted as possible.
● Payment of approved team related invoices and provide support with processing travel and credit
card expenses and support with petty cash requests.
● Organise and administer conferences as requested
● Contribute to and edit proposals as required and provide support to programme coordination.
● Provision of surge capacity on disasters and critical incidents to support in the preparation of
proposals, and to organize and minute RAAM/ERC/Critical Incident and Project Development
Meetings.
● Co-ordinate the timely production, distribution and filing of the team’s documents (e.g. plans,
strategy, monthly reports, quarterly report etc) so as to keep the team’s external stakeholders
informed of the key developments in outworking the Regional team’s plans.
● Support on ad hoc tasks requested by the Head of Region or Operational Lead.

Communication (35%)
● Enhance ENA profile, access and relevance, by building relationships with Fundraising and
Supporter facing teams; ensuring materials on the website are topical and appealing; capturing and
communicating stories of transformation and helping and encouraging Country Representatives and
Programme Officers to make use of opportunities for communication about their work. Also,
preparation of briefing materials on team priorities.
● Support team members with drawing up presentations and communications for supporters,
churches etc. This includes building up resources especially for new emergencies and refreshing
existing appeal resources when demand for communication is high.
● Liaise with Fundraising and Supporter facing teams around the preparation of stories for publication
through print, online and social media channels.

● Be clear on communications sign-off and responsibility for updating ENA communications sensitivity
guidelines.
● Promote and facilitate prayer support where requested by country staff to external audiences,
through regular communication with external prayer groups, internal Tearfund prayer groups and
providing prayer requests for the Corporate Hub and the website.
● Work with the Head of Region to coordinate the internal quarterly reporting process, ensuring that
all information is collated and edited to meet reporting requirements and to inform external
stakeholders of the team’s key developments in outworking their strategies.
● Support the team members in increasing their reflection and learning through evaluating and
coordinating learning opportunities such as on developing technologies and IT skills within the team.
● Support set-up for International Group and corporate learning and prayer sessions.
● Maintain and update Corporate Hub and team display and organogram as required.

OTHER COMMENTS:
● Cluster Countries include: Yemen, Afghanistan, Pakistan, Iraq, Syria, Lebanon, Sudan,
Somalia and Jordan
● Regular travel across cluster countries is a requirement, up to 2 weeks a year
● All roles require a DBS/Police check
● Personal identification information will be submitted against a Watchlist database to
check against criminal convictions as a counter-terror measure
