2. Employee Passage Entitlements: Air passage entitlement of all categories of employees will be as
follows:
* Meeting pensionable service criteria of 10 years, including separated under VGHS and
allowed passage facility as per previous policy.
** Class of travel will be economy.

a) Passage: Each passage is round trip and it can be used by all categories of employees mentioned
in Para 2 above and their families as per admissibility tabulated in Para 3 above, on either
domestic or international destinations except for trainees or as specified otherwise.
b) Taxes & Airport Charges: If not exempted exclusively, all Govt. taxes and airport charges shall be
applicable on all passage categories to be paid by employee.
c) Industry Discount: ID90 shall be on the base fares of V-RBD while ID50 shall be on base fare of
available RBD.
d) Entitlement Year: Entitlement year will start with each calendar year (Jan- Dec) and will lapse
with the end of calendar year (31 DEC). For Deputationist and contractual employees,
entitlement year shall start from date of joining of PIACL.
e) Validity:
i. Passage authority shall be valid till 31st of December of the respective calendar year from
the date of issuance in ERP for issuance of ticket. However, un-ticketed / expired passage
authorities shall not be credited back to employee entitlement.
ii. Passages shall not be accumulated / carried forward to next calendar.
iii. Tickets shall be issued for both serving and retired employees with the validity of 365 days
from the date of issuance and stand automatically expired if journey is not undertaken within
the validity period.
iv. No extension in validity of tickets shall be admissible.
v. Balance passages of employees separating from service upon retirement / resignation shall
lapse on day of separation.
vi. Upon retirement/death, applicable entitlement (post retirement / death) shall be due
irrespective of the length of the period of last entitlement year before retirement/death.
vii. Upon death of the employee during service, family of the deceased employee is allowed to
avail the unutilized entitlement at the credit of employee for that calendar year.
f) Confirmation of Seats: Confirmation of seats against NS-1 bookings shall be made 24 hours
before flight departure time whereas ID50 passages shall be treated at par with revenue passage
and can be confirmed anytime.
g) Issuance of Passage:
i. Passages of the serving employees will be issued through ERP and no approval will be
required. Employees may get their tickets issued from the respective ticketing counter by
sharing “authority number” of ERP notification.
ii. Retired employees can avail the passage facility from respective retired employee cell where
passages shall be issued through ERP only.
h) Addition in Family: After separation from service, no addition in family shall be allowed
irrespective of date of relationship. However, divorced/ widowed daughters who remained in
record can be added back for the purpose of passage only, subject to approval of Chief HR Officer.
i) Re-issuance of ticket: Tickets can be reissued from PIA ticketing counters; however, if change in
name is required from within eligible family members, ticket office / counter shall have access to
employee family information though ERP for verification purpose.
a) In case both husband and wife are working in PIA, one can get the full entitlement whereas the
other can get half of the passages of his/her entitlement as prescribed in para 2 above for
unmarried employees. However, entitlements from either side can be used by any family
members i.e children or spouse.
b) A declaration needs to be submitted by any of the husband and wife, mentioning which one of
them will take full and which one will take half entitlement; through ERP for defining of their
passage entitlement.
c) After retirement, entitlement of passage will be available to both husband and wife in individual
capacity.
6. Cancellation/No Show Charges on Employee passages:
a) Cancellation/No Show charges shall not be applicable in case employees do not travel against
free & ID90 passages; however, Cancellation/No Show charges shall be applicable on confirmed
ID50 passages.
b) In case of change in ID50 passages, difference of fare and change of booking charges shall be
applicable as per revenue passage policy.
7. Passage on Joining:
Recruitment & Placement section of HR shall have the authority to issue free of cost one-way
economy class air passage (NS-1) to a candidate, newly inducted in PIA from nearest operative station
to the place of joining, with the approval of Chief HR Officer. Govt. taxes and airport charges will be
paid by PIA.
a) Employee shall not be entitled for the air passages from PIA, during leave without pay exceeding
120 days at a stretch; however, would be entitled for Zonal Employee Discount (ZED) Fare
passages.
b) In case both husband & wife are serving employees of the PIA and one of them is granted LWP
exceeding 120 days at a stretch, he/she shall be allowed to avail passage facility from spouse
entitlement.
9. Emergency Travel:
a) Since the passage facility is readily accessible to employees through ERP; therefore, serving
employees may utilize ERP for emergency travel.
b) Whereas, retired employees / widow / widower of the deceased employee shall be allowed
issuance of domestic ticket(s), on holidays and / or after working hours, from PIA ticketing
counter upon presentation of valid original PIA Card and submission of undertaking as per
Annexure -A to this Admin Order.
c) Ticketing Staff / officer shall verify the particulars and email the undertaking to
khiiypk@piac.aero
d) Retired Employee cell shall be responsible to enter the passage record in ERP upon receipt of
undertaking.
11. NS-1 Facility for Umrah and Christian Employees for pilgrimage & Medical treatment abroad:
For Umrah, pilgrimage and medical treatment abroad, employees may avail their own entitlement of
passages.
17. Future entitlement: Passages from future entitlement in advance shall not be admissible.
