UNIT 4 Writing Business Letters


Lesson 1: Steps in Writing Sales and Promotional Letters
What Do You Already Know?

Directions: Give a short definition of the following business letters:

1.  Sales Letter – is a marketing tool that promotes a good or service. Its objective is to
persuade the reader to buy what the letter offers. 

2.  Order Letter – It provide the vendor with detailed instructions for fulfilling an order. It
also serves as a legal record of the transaction and, consequently, should be written
with care.
3.  Complaint Letter – a written letter in which someone reports a bad experience or
situation. to complain: to moan, to express dissatisfaction or a negative opinion.

4.  Adjustment Letter – gives answer to the customer's claim letter. Though this letter,
the seller notifies the customer whether his claim is granted or rejected.

5.  Follow-up Letter– gives answer to the customer's claim letter. Though this letter,
the seller notifies the customer whether his claim is granted or rejected.
6.  Inquiry Letter – is a letter that request for information that the writer believes the
reader can provide.

7.  Recommendation Letter –  is a written reference designed to offer information


about your character and work ethic.

8.  Acknowledgment Letter – is a document used by businesses to


formally acknowledge the receipt of something, for example, an invoice, that can be
used as a courtesy, for record keeping, or to raise an issue with whatever service was
received.

9.  Recommendation Letter – is a written reference designed to offer information about


your character and work ethic.

10.  Promissory Note – promises in writing to pay a determinate sum of money to the
other, either at a fixed or determinable future time or on demand of the payee, under
specific terms.

How do you differentiate Sales Letter from Promotional Letter?

Sales letter is a type of letter which is compose to sell a goods or services and
the main purpose of this letter is to persuade the reader to buy or purchase the products
or services. It is also a direct letter in which a recipient sends this letter to the potential
customer. While, Promotional Letter are same as sales letters, but they are different
from them. The main purpose of sales promotion letters is to attain the higher turnover
and increase the expansion of market size as well as increase the product image.

How will you apply what you have learned from this topic to your daily living?
This topic has so much done with my daily living especially now that I have my
small business this lesson gives me a lot of learning that I can do some sales or
promotional letter about my business. Also, I can use the ways in making a sales and
promotional letters so that I can easily make my own letter without the help of the other.
And lastly, I can use this learning in a way that I can easily recognized the letter if
someone sent me this and has a knowledge about it.

Discuss the three basic steps in planning a sales or promotional letter. 5 pts.
The three basic steps in planning a sales or promotional letter are; Determine the
main idea, Define the audience, and Plan the approach and formats. In determine the
main idea it is the part when knowing what is their selling point and the benefits of the
goods to the customers and it is also a part when knowing what the content of the letter.
In Define the audience it is the part when the marketer knowing who are their customers
or whoever reader of the letters. Through defining the audience, it easily to persuade
the consumers in terms of their wants so it is very important. And lastly, in plan the
approach and formats it is a step where in the writer will think of a way how they will
approach their potential customer.

Discuss the so-called AID A plan. How does it work? 5 pts.

Starting with an attention getting device. A case in point is to appeal to the


reader’s emotions and values. After which, move to escalate the reader’s interest and
desire, and end with a specific call to a desired action.

Identify the specific types of sales and promotional letters. How are they different
from one another? 10 pts.
The types of sales and promotional letters are; Reminder That a Sale is about to
End, announcing a Sales Campaign, Promotion, or Incentive Program, announcing a
Sales Campaign to Preferred Customers, announcing a Price Increase or Price
Adjustment, and Announcing New Products to a Select Group of Customers. They has
different purpose of each letter base on the specific event.
Lesson 2: Writing Credit and Collection Letters
Abstraction: (10 pts.)
Discuss the twin purpose of credit and collection letters and how they are achieved.
It is a notification sent in writing, informing a consumer of his past due payments.
Debt collection letters’ function is to remind the debtor of his delinquent payment owed
to a creditor. As sometimes delayed payments can derive from the reason that the
same payments have been forgotten, a debt recovery letter is an appropriate method for
early debt recovery, as it is cost effective and can produce positive results of default
collection. A collection letter is to be sent, when debtor’s invoice has become past-due.
Financially, this means that the consumer has fallen behind with his regular payments
and owes a certain amount to the lender. There are three factors in achieving the twin
purposes: Amount of money owed, the time elapsed, the nature of the credit agreement,
and the creditor’s attitude; Debtor’s values, feelings of self-esteem, and attitudes toward
financial responsibility; and Debtor’s ability to solve the problem and withstand external
and internal pressures.

How will you apply what you have learned from this topic to your daily living?
I can apply this topic in my daily living in a way that I know the different letter
when informing the consumer for their due payments especially today that I have a
business my reseller pays me almost past to due date so I can apply this learning to
make an appropriate letter for them.

How Do You Extend Your Learning? (Assignment – 20 pts.)

Identify the basic guides in preparing credit and collection letters.


Step 1: Check the spelling of the recipient’s name. use a gender-specific courtesy title
only if you are certain of the recipient’s gender. There is nothing more embarrassing or
irritating than getting a collection letter, which is addressed improperly.

Step 2: The first part of the letter should state the situation, including the concern, the
date of purchase, the amount owed, and the date due.

Step 3. The next part of the letter should indicate the deadline for paying the bill and
any penalties that may result. You may also wish to indicate your company’s policy
concerning late payments, grace periods, penalties, or alternative payment plans.

Step 4: The third part of the letter should indicate the consequences of not paying the
bill. Initially, these may be penalties, but as the bill becomes more delinquent, it may
include warnings of ruined credit ratings or involvement of a collection agency.

Step 5. The final part of the letter should encourage the recipient to send full payment
or to call you to arrange a payment schedule. End the letter on note of good will and a
positive attitude that this situation will be resolved satisfactorily.

Compare and contrast the points of emphasis in the five specific types of credit
and collection letter.
There are five types of credit and collection letters these are: Notification,
Reminder, Inquiry, Urgent Notice, and Final Notice/ Ultimatum. They are all need when
noticing and reminding the consumer but all of them has a different role and kind to
approach the consumer. First is the Notification, it notifies the amount owed, the date of
purchase and the dateline of payment. Second is the Reminder, it reminds the reader
that the bill is overdue and the customer is not yet paid. Third is the Inquiry, it asked the
customer why there is no one pay for the bill. Fourth is the Urgent Notice, it says here
that the bill should be pay in urgent. And lastly the Final Notice/ Ultimatum, it is the final
notice that customer receive and the content of this letter is the consequences if the
customer is still not pay what he/she owed.
Lesson 3: Writing Claim and Adjustment Letters
Abstraction: (10 pts.)
How would you go about writing an effective adjustment letter? Explain.
In making an effective adjustment letter it should be considerate that whoever
fault is it I should be professional in addressing the problem and the main point of the
client’s complaint and will avoid some words that leads to hear as accusation so that
there’s no misunderstanding occurs instead I will just say that I already received their
report. I will also say some possible reason why there is such problem occurs so that
the customer will think that I can understand his/her problem and instead of insisting
that I don’t have any fault I will just admit and present some solution to the problem. And
lastly, even there’s a problem occurs I will end my letter with kindness and thank his/her
for the patience and consideration he/she put and reassure the client that no problem
will occur in the future.

How will you apply what you have learned from this topic to your daily living? How can
you apply your writing skills in your daily lives?

I learned a lot on the topic that I can really apply in my daily life. Because I already know
how to make a claim letter and adjustment letter I can use it in case I encounter a
problem as a customer. If I am one of those who should solve the problem what I
learned in this topic I can use how I can make an effective adjustment letter where I can
address a problem that it will not grow again. Writing skills are an important part of
communication.  Good writing skills allow you to communicate your message with clarity
and ease to a far larger audience than through face-to-face or telephone conversations.
You might be called upon to write s report, plan or strategy at work; write a grant
application or press release within a volunteering role; or you may fancy communicating
your ideas online via a blog.  And, of course, a well written Curriculum vitae or
resume with no spelling or grammatical mistakes is essential if you want a new job.

letters?  
Business letter is very important in our lives especially when you are in a
business world because it essentials part as an owner of the business, it can connect
from your business to your customer and employees that serve as a way of
communication to each other. Through knowing and familiarizing yourself in different
kinds of business letters you can easily create in making a business letter and it also
easy to know what kind of business letter you should do if ever there is a scene you
need to make a business letter. Also, it can convey a sense of professionalism if you
follow different kinds of business letter in a different situation.
