Alhamdulillah, first of all we would like to thanks and give our sincere appreciate to Allah the
Almighty because He has given us the strength and health to complete this assignment
according to the date line given. This task had been done successfully with our best effort basis.

Secondly, a special gratitude to Madam Salliza Binti Md Radzi, lecturer of IMD221: Social
Media Literacy, those had contribution in stimulating suggestions and recommendation related
to this task. Big thanks address for her guidance and advice to complete this assignment. She
always given us the opportunity to ask and teaches us on how to do the assignment given
properly. Not forgotten to our beloved family for providing everything especially their advice,

1. Introduction to Information Agency

NATIONAL ARCHIVE OF MALAYSIA

National Archives of Malaysia were established 1957, it was known as the Public Records
Office before they change it to their current name in 1963. National Archives of Malaysia
established their current location in Jalan Duta, Kuala Lumpur in 1982. The National Archives of
Malaysia is an agency that serves a repository of data. National Archives of Malaysia preserves
and did prepare of public records in various types and form as references for the researchers as
well as the public.

smart partnerships and efficient and effective utilization of information and communication
Technologies in the interests of society and the country.

III. Objectives
1) Improve efficiency and awareness of civil servants with regard to Record
Management through the enforcement of the National Archive Act 2003 (Act 629)
to ensure that records are managed in a systematic and cost – effective
according to the standards set.
2) Acquiring archival material with eternal value, save and persevering accordance
with the principles and standards set as a reference and national heritage.
3) Communalizing archival materials through advocacy programs to enhance the
appreciation of the history of the country towards the establishment of the identity
of Malaysians.

2. Social Media Services used by the Agency

Mostly local information agencies or international information agencies such as Library,


Museum, Record Center and Archive must have their own account of social media in order to
update and expand the information or any program to their followers on social media. There is
no exception to the national archive which already got variety of social media platform such as
Facebook, Instagram, twitter, E-mail, You tube and so on. Anything about archive can be
updated through the social media platform and people can find or access any information to
make a research by only visit the social media account. It is quite easy for us especially for
student because they do not need going to information agencies building to ask something, now
they can ask, comment or post anything by visited the social media platforms. Just search on
the website and it will pop up directly. So now we will explain what is social media platform that
have been used in archive in generally first:

2.1. FACEBOOK

Facebook is a social networking website where users can post comments, share photographs
and post links to news or other interesting content on the web, chat live and watch short-form
video. We can even order anything on Facebook such as cosmetic, supplement, food, book or
else if that what you want to do. By sharing a content it can be made publicly accessible, or it
can be shared only among a select group of friends or family or with a single person. Facebook
also can develop a strengthen bond between a distance contact which is we can find our old
friends by searching their name on Facebook profile.

Facebook is a user- friendly and open to everyone around the world. Even the least technical-
minded people can sign up and can posting on Facebook. Although it started out as a way to
keep in touch or reconnect with long-last friends, it is rapidly can make the businesses that were
able to closely target an audience and deliver ads directly to the people most likely to want their
product or services. Facebook also makes it simple to share your photos, text message, videos,
status posts and feeling on Facebook. The site is entertaining and regular daily for many users.
Unlike some social network sites, Facebook does not allow adult content. When users
transgress and are reported, they are banned from the site. Facebook provides a customizable
set of privacy controls, so users can protect their personal information from getting to third-party
individuals.

2.2. TWITTER

Twitter is an American microblogging and social networking service on which users post
and interact with messages known as tweets. Tweets were originally restricted to 140
characters but on November 7, 2017 this limit was doubled to 280 for all languages except
Chinese, Japanese, and Korean. Registered users can explore many things on twitter where
is can benefits their daily life such as twitter can easily promote your research, for example
by providing links to your blog stories, journal, articles and news item. It is also can reach a
large number of people quickly through tweets and retweets, follow the work of other experts
in your field, build relationship with experts in your field, keep up-to-date with the latest news
and developments, and share it with others instantly and most importantly twitter can make
reach new audiences to seek feedback about your work and give feedback to others and
also follow to contribute to discussions on events, for example conferences that you cannot
attend in person and at the same time it can express who you are as a person.

2.3. INSTAGRAM

It is similar to Facebook, where everyone who creates an Instagram account has their own
profile and news feed. When you post a photo or video on Instagram, it will be displayed on your
profile. Other users who follow you will see your posts in their own feed. Likewise, you will see
posts from other users whom you choose to follow. Instagram is really pretty straight and
simplified version of Facebook, with an emphasis on mobile use and visual sharing. Just like
other social networks, you can interact with others users on Instagram by following them,
commenting, liking, tagging, and private messaging. You can even save the favourite photo of
yours that you see on instagram. Other than that Instagram also available for free on iPhone
Operating System iOS device like the iPhone and iPad, as well as Android devices, like phone
and tablet from Google, Samsung, and so on.

You can sign up via your existing Facebook account or by email. All you need is a username
and a password. You may be asked if you want tofollow some friends who are on Instagram on
your Facebook network. Youcan do this right away or skip through the process and come back
to it later. It is always be a good idea to customize your profile by adding your name, a photo, a
short bio, and a website link if you have one when you first get on Instagram. When you start
following people and looking for people to follow you back, they will want to know who you are
and what you are all about. I believe there are some logically reason for Instagram success
where is Instagram allows you to take ordinary photo and make them look extraordinary which
is this can be compelling. People do not want to read long texts so they are more interested in
watching videos and pictures. Other than that Instagram also simple and easy to use and more
important is it free for sure. Last but not the least Instagram can guide us to make an excellent
business profile and make a lot of money from being and influencer.

3. EVALUATION OF THE SOCIAL MEDIA USED BASED ON SEVEN FUNCTIONAL
BLOCKS OF SOCIAL MEDIA

3.1. FACEBOOK

 IDENTITY

They use National Archives of Malaysia logo for their profile picture, they use Laman
FB Rasmi Arkib Negara Malaysia for their Facebook’s account name. They have
background information such as address, phone number and operation hours, they also
have business and additional information about their organizational information as
below:

 CONVERSATIONS

National Archive of Malaysia official Facebook always talks about the their activities
and some historical information. After that, most common conversation topic they talks
are about country and information about their current activities or programe.Then, there
are a lot of people also comment on the post and like about the things that National
Archive Of Malaysia are talks.

 SHARING
National Archive of Malaysia also shared a lot of poster about country and some
political update.Then, they share information, pictures and videos about any event or
any activities that has been or will be conducted by them. They will always update their
activity and post it so that everyone will know what activities they do Here some of their
activities that we would like to share:

 PRESENCE

National Archive of Malaysia Facebook official account is open for the public that all
walks of life have access to its content and update. Althought, you are not following or
subscribe to their facebook. Then, they held lots of big events through LIVE on
Facebook, so that a lot of people can joint it everywhere and anytime.

 RELATIONSHIPS

National Archive Of Malaysia really care about their users and subscibers so they
always update a contents and give more information to the users. After that, NAM
assume thier users and subscribers as friend this is because always fill up the comment
and like the post they shared. Then, Archive Malaysia is always connected to the
Ministry of Tourism, Arts, and Culture, to organized some event on social media. This is
because they can get people attention from that ministry.

 REPUTATION

National Archive Of Malaysia always keep the reputation with good and relevant
contents on Facebook. Afer that, they knew that Malaysia have a lot of culture so they
keep in positive while launched a activities or programe through Facebook.

 GROUPS

They created a page that can form a group of the communities. This can help them to
get more recognized by others.

1.2. TWITTER

 IDENTITY

For twitter they also use Arkib Negara Malaysia logo for their profile picture. Their account
name is @myarkidnegara. They share location and their main website under the profile picture.
Hence, the users also can read the thread or posts that NAM has been posted for their inquiries
or to fulfil their needs at a particular time. By using Twitter, we can assumed that the target
audience also quiet big range for students or researcher that using the Twitter.

 CONVERSATION

They use their page to post everything about archives, people can comment everything
about what they post in their page. People also can direct message them to gained more
information.

National Archive of Malaysia sharing some Manuscript, recent activities or events, and
essential information of their upcoming program.

 PRESENCE

National Archive of Malaysia is accessible where users can give feedback and ask for
information and opinion. So that they will known and share or improve some
information.

 RELATIONSHIP

National Archive of Malaysia keep a positive relationship with twitter user and always
online and keep updating about their organization

 REPUTATION

Nationa Archive of Malaysia always take serious on what to posting in their media
social especially Twitter. Because, most of Twitter users are well educated person and
they need valueable information.

 GROUP

They don't have any group

1.3. INSTAGRAM

 IDENTITY

Their Instagram name is @myarkibnegara also use Arkib Negara Malaysia logo.
People also can direct message them to gained more information. People also can
tagged their Instagram. The identity represents the organization's official social media
name to show their identities in their social media.

 CONVERSATION

Instagram are known as "direct messages." The user could communicate with them
through any of their post in the comment section.

 SHARING

Sharing involves the post they shared on their feed & story. As all of their social media
accounts are public, a user could visit & review them even though both sides do not
follow each other. Users are free could share, like & comment on their post. In return,
they could interact with each other.

 PRESENCE

The users can check other information about the organization, such as the particular
location of any events held by them and their organization updates.

 RELATIONSHIP

Since Instagram users are mostly young people and students, so that students can get
informations or contact National Archive of Malaysia to make some assingment.

 REPUTATION

On Instagram they keep the reputation with some good information on feed and story
post, so that people do not boring about their post.

 GROUP

Users can create a group to interact with them since Instagram can add more than one
person. They can ask the questions, and all the group members will see and gain the
answers simultaneously.

4. RECOMMENDATION

Every organization needs social media to promote their services that they provided.
There are many different types of social media that they can use to introduce their
organization to every person. With this way information can be easily disseminated, if
information is easily disseminated and found, it will make it easier for users to get
information clearly and accurately at the right time. For National Archives of Malaysia
they used Twitter, Facebook, Instagram to share their daily activities and to update their
services. So with this, researcher will easily get information about their organization.
Hence, they also can search and get what they need in their website or media social
networks.

National Archives Malaysia use Instagram because they need to increase their
followers by looking for influencers to promote their services. With this way users will be
able to find
the social media used by the National Archives’s account. They will also have easy
access to the latest activities and also will not miss to participate in activities organized
by the National Archives. With this the national archives will be viewed as valuable to the
public. In short, with Instagram, they will achieve a lot of benefits if they know how to
handle it.

Lastly, for Twitter we also recommend to used influencers to increase their followers.
They also can use a “poll twitter” to make some research about their services. So
archivist will find it easy to spot deficiencies in their services. Thus, they will upgrade
their services so that their users are satisfied with the services they provide. If every user
is satisfied with their services that they provide they will always visit it and will
recommend it to other users. If this happens the visitors to the archive will increase
drastically.

5. CONCLUSION

National Archives Malaysia (NAM) as an agency that serve as a repository of data and
government records responsible for the collection, preservation and preparation of public
records in various types and forms as reference for researches as well as the public. In
line with the development and surroundings of current technologies advancements as
well as the Government Transformation Policy, NAM is hereby determined to foster
widespread awareness of information regardless of the boundaries of time and place.

In addition, the archives also served to provide advice to government departments on


systematic and effective public records managements. Thus, each record will be shared
and used properly and they will also have the right information, if it is properly organized
and systematic. To make all people in the world know about their function, NAM must
use social media to promote it. So we properly know that social media is the most
important technologies to alert users that archives are one of the most important
agencies of the country as the availability of archives in each public agency or
government. It will be controlled and collected under the supervision of the National
Archives itself.

Thus, with social media they also can get a lot of information to improve their services
by using social media such as, Instagram (Q&A), Twitter poll and also by user’s
comments. We all know that social media has many advantages and disadvantages.
One of the advantages of social media is, National Archive can use it to promote their
portal because not all users know that archives have their own portal to make some
references. This portal is provided to enable users to make reference and obtain
information. Lastly, the advantages of social media are, to enables users to interact with
archives staff about materials or to obtain consultation from archive staff. So we can
conclude that social media is an important platform for an agency to promote their
product and services.
