 TOUR GUIDELINES (Dos & Don’ts)


Thankyou for joining the 16 days mesmerizing europe trip. Kindly follow the understated
guidelines to make your trip smooth and hassle free.

Time difference -
India is 3 hours and 30 minutes ahead of europe.
Example - if time in europe is 9 am, the time in india will be 12:30pm.
(european countries refer to the 24 hour time format)

Things to carry –

●  Keep a copy of your passport, travel visa, airline tickets and travel
documents, besides the originals. Also keep the copies separate from the
originals may be in the suitcase.
● Remember to keep an ; “in case of emergency card”; that should contain your
blood type, allergies and special medical conditions, along with the names
and numbers of your doctors if you possess any of them.
● Do not forget to keep an extra pair of eyeglasses and a list of your medicines
in your carry-on luggage.
● Also carry your school identity card with you.

What to leave behind? –

● A copy of your passport, travel visas, airline tickets, insurance documents with
your parents at home
● A copy of the itinerary of your trip and important phone numbers.

Tips for hassle free travel

● Check that your passport is not approaching expiry date.


● Remember to put your name, address, and telephone number inside each
piece of checked and carry-on luggage
● Don’t miss locking your luggage. Keep 2 keys of lock with you. One in pocket
& one in another place or with your teacher /tour manager
● It’s advisable to register valuable items such as jewels; costly electronic items
with customs, before departing, if the value is more than 25,000/- each
besides jewelry. This will save you the import fees when you return.
● Though it is advised not to carry any costly items with you.
● Plan to travel in comfortable and sober clothing to avoid attracting any undue
attention.

Insurance

● It is important to have overseas insurance as it addresses emergency issues


related to your health, flight delay, baggage loss; delay, passport loss etc. We
will be coordinating overseas insurance. Keep 1 copy of insurance with
parents at home, 1 with the school coordinator and 1 with you.

Precautions on the move

● Never leave your luggage unattended. Place them between your feet, or
against your legs.
● Watch out your carry-on items closely when you go through the security
clearance.
● Note down beforehand how many pieces of luggage and other items you have
brought with you.
● You are not authorized to move alone at all even for a shorter distance. You
have to always move in the group. Even during shopping ensure, you reach
the decided place within mall or shopping center
● Make sure that your whole luggage is placed inside the bus/coach.
● Unless the individual is known to you; is authorized to meet you in writing by
your parents. In all circumstances, you are not allowed to go with any one,
even if your parents allow.

For safe stay in hotels

● Carry a passport copy with you always; small cash in euro in case of
emergency.
● Avoid leaving your valuables in the room while you are away. Don’t leave
them even in locked luggage or guest room safes.
● Never use display signs like requesting for room cleaning services. It indicates
that the room is unoccupied hence exposed to any kind of theft.
● Do not leave your rooms once you reach your hotel.

While on the road

● Carry only limited cash or forex traveler card (very handy nowadays, can be
arranged by parents) , which you plan to use during your trip, away from your
hotel.
● Boy students should carry their wallets in their front pockets if they carry at all
and women should carry their purses close to their bodies with the latch
facing in.
● A waist pouch is preferable, it can be used to safely carry all your belongings
like passport, jeweler’s, money, forex travellers card etc.
● If possible carry money and identification in a separate, small wallet.
●  carry a small amount of money separate from the rest of your money so that
you don’t have to show your cash every time you make a purchase.
●  in areas where people naturally stand close to you like airports, trains, bus
elevators, escalators and open-air markets, remain extra alert.
● Carry a piece of hotel stationary with you. It comes in handy when
communicating with local taxi drivers or any one in case of emergency.

Currency

● Minimum 500 euros to be endorsed & amp; purchased as per rule.


● It is advisable to carry 500- 1000 euros per student
● Maximum of cash INR rs. 5000 is allowed to carry (INR)
● You could carry amount equivalent to 5000 euro cash (is allowed on per
passport)
● If you are carrying other costly electronic items or heavy gold jewelry with you
during trip you have to declare in front of custom officer in advance
● You can purchase things up to rs. 25000 per person which is duty free after
that you might have to pay custom duty but appraisals, miniatures and small
toys are exempted
● No dangerous goods are allowed mentioned on your air – tickets

Airlines

Emirates baggage allowance


● From india to europe - 1 check in luggage - 25kg
● From europe to india - 1 check in luggage - 30 kg
● 1 hand baggage - 7 kg
● The total dimensions (length + width + height) of an individual bag should not
exceed 300 cm (118 inches).

Tips to remember while in europe

● Please move within the group


● Do not spit or throw wastage here and there it will cost you heavy fine
● Don’t try to steal any thing in mall or any place it may cause heavy fine or
imprison too
● Don’t smoke in non-smoking zones it will cost you heavy fine
● Keep the purchased items in the given trolley / basket
● Please tally your bills & purchased items correctly there should be no
difference between billing items purchased items if there is any difference
please clear it on billing counter before leaving the counter
● Cross the road only at zebra crossing
● Whenever you interact in water related activities, ensure you wear life jackets
provided
● Don’t tease anyone and never call anyone negro or black

Your coach

● We request you to assist us in keeping the coach neat and clean so that all of
you can be comfortable during your memorable trip. Please do not eat food
stuff in the coach as there is a possibility of some left over spilling &
oiling the coach. If it is found that plenty of litter has been created in the
coach, the coach driver might ask the students to clean it first before moving
to the next destination.
● We regret that, in the interest of the fellow students, smoking and drinking
alcoholics beverages is not permitted on the coach

Meals

● Continental breakfast as per the itinerary is served in hotels. Most dinners are
served in the finest indian/ local restaurants with options of veg & non-veg
meals.
● Though all lunches will be continental or fast food or indian with the options of
veg. And non veg.
● We do our best to provide you a choice of vegetarian / non- veg meals. The
menus, however, are fixed in advance and a-la-carte is not possible

Currency exchange

● If you are carrying a local currency card (euro), please keep a note of the
available amount in the starting and also every time you make a new
transaction using your currency card. This will keep you updating about the
balance of that currency. Usually these cards are available in the euro
currency.
● Currency can be purchased by any authorized exchange company like
thomas cook, paul merchant or of your contact against producing your air
tickets and passport.

Hotel

● Your hotels have been especially chosen, keeping in mind the location &
space availability. Utmost care is taken to assure accommodation of good
quality
● Most hotel rooms are air-conditioned & may have the facility like mini-bar, pay
t.v. channels, tele- phones, etc. Please note that these facilities are not
complementary &; have to be paid for, based on actual used
● Sometimes, hotels offer the facilities of complementary safe deposit lockers,
which can be available @ a nominal charge.
● Please ensure that there is no damage done to your hotel room during your
stay since the same would be charged directly to you by the hotel.
● While checking-in to the hotel wait in the lobby or coach as advised by the
tour manager, crowding never help would only delay the check-in hotel
● Most hotels provide wi-fi or cabled internet facilities

Tour operators / managers

● We request you to kindly co-operate with the tour manager/s and abide by his/
her instructions, for a successful and memorable tour. His/her decision is final
in all circumstances.

Punctuality

● Your itinerary has been especially designed to ensure that you get the
maximum coverage during your holiday. To achieve this, we require your co-
operation in being punctual.
● Sight seeing as well as various excursions have been pre-booked for a
particular duration & thus, if the group is delayed, the delay would
actually deprive you of your own sight seeing time. Local guides have been
pre-booked for a certain duration and cannot extend their services beyond
specific time limits. Please do understand that punctuality is solely in your
interest, to ensure that you have the full benefit of all services included in the
package. Very often, the entire group may be delayed & may lose valuable
time or opportunity because of a few people delaying the whole group.

While sightseeing / Disneyland

● As theme parks are huge, you are advised to move in small groups. The tour
manager/teacher coordinator will split the group in small groups each headed
by different teachers.
● In the worst scenario there is a thin chance to miss the group. In such a
situation you reach the main entry gate & ask for the assistance for the
announcement. Even without announcement, we will reach the main entrance
after not finding the person/student with the group. Be calm & wait for us to
reach there within 15-30 minutes.
● All of you will be given tour managers numbers in advance or prior. To start
the trip on 14th june
● You can request any one to call on that number in any such emergency.

Essentials to be carried in hand baggage throughout the trip

● Please carry sunglasses, sunscreen lotion, sun hats, comfortable walking


shoes, an  alarm clock, an additional pair of spectacles (if you are using), an
umbrella, rainsheeter, camera & medicines with prescriptions, if required.
● Also don’t forget to carry 1 or 2 universal  adapters suitable for europe
● Please carry photocopies of your passport, tickets & valid visas, & keep
them separately from the original passport in the pouch carried by you or on
your person.

be unpredictable at times. Pack responsibly to avoid any shortage or difficulties
