PROCEDURES – BEFORE THE CEREMONY

1. All graduands and guests attending the ceremony must be FULLY VACCINATED* with low-risk status.
*The Ministry of Health’s definition of fully vaccinated is:
- 14 days after the second dose of Pfizer, AstraZeneca, Sinovac, Moderna or Sinopharm; or
- 28 days after one dose of Johnson & Johnson or CanSinoBio

2. Confirm your attendance by completing the RSVP via e-invitation together with your payment slip, Tracer
Study Completion Slip and updated MySejahtera profile for Graduands & Guests BY 22 September 2022
at FOTOREX.

3. There will be STRICTLY no allocation for any additional tickets.

4. The convocation e-briefing session shall be conducted via online and will be displayed in the Registration
Room (Level 11, Block E) during the convocation day. A video clip of the convocation ceremony will be
made available on the University website.

5. The invitation cards and graduation attire will be provided on 1 October 2022 (Saturday) or 2 October
2022 (Sunday) at GG06, Block G, Level G, UCSI University Kuala Lumpur Campus during the Homecoming
Celebration. Please note that the mortar boards are provided to Master’s and Bachelor’s degree holders
only. Graduands are required to present the SMS confirmation text during gown collection.

6. As the proceedings are formal in nature, please adhere to the latest Standard Operating Procedures
(SOPs) set by the National Security Council (MKN). The above ceremony is conducted based on the SOP
from MKN. High-risk groups including children aged below twelve (12) years old and those with
body temperature more than 37.5 degrees or showing symptoms such as fever, are regrettably
NOT permitted to enter the ceremonial hall.

7. For International Students outside Malaysia, entering Malaysia to attend the convocation will need to
adhere to the Malaysian Immigration’s SOP. Please ensure that you have liaised with the Malaysian
Embassy in your respective countries on the procedure to enter Malaysia as a tourist.

PROCEDURES – PRIOR TO COMMENCEMENT OF THE CEREMONY

8. Parking
Due to the COVID-19 pandemic, restrictions on large-scale events remain in place as per our Ministry of
Higher Education (MOHE) and the Government of Malaysia’s instruction for all public and private higher
education institutions in Malaysia. As such, six (6) sessions will be conducted.

(a) 11 October 2022 Morning session : 7:00am – 12:00pm

(b) 11 October 2022 Afternoon session : 1.00pm – 6:30pm
(c) 12 October 2022 Morning session : 7:00am – 12:00pm

Note: Late arrival shall be denied entry into the hall.

Due to limited parking available at UCSI University Kuala Lumpur campus, graduands and guests are
strongly encouraged to park at:
(a) Parking in the UCSI University campus area
(b) Public parking at the commercial business shop lots in the vicinity of UCSI University

Between the morning and afternoon sessions, traffic congestion is highly expected and unavoidable.

If you parked within the campus, you are requested to leave the University compound by 1:00pm to
enable smooth traffic flow after the ceremony.

Graduands and guests of the afternoon session are strongly advised to park at the TF Value Mart
Carpark and walk to the event venue.

9. The graduation ceremony will be held at Grand Ballroom, Level 12, Le Quadri Hotel, Kuala Lumpur,
Malaysia.

10. Arrival of Graduands

On the day of the ceremony, graduands are required to assemble at the allocated registration rooms at
Level 11 (as directed), Hatton Restaurant, Le Quadri Hotel:
(a) 6.30am (for morning session); and
(b) 1.00pm (for afternoon session)

11. Briefing session

The e-briefing slide will be displayed prior to the commencement of the ceremony in registration area at
Level 11, Hatton Restaurant, Le Quadri Hotel, Kuala Lumpur. You may also view from the Ceremonial
Flow briefing link at Ceremonial Flow.

12. Dress Code

Graduands : Formal Attire; ADVISABLE to wear comfortable shoes
 Male: Long sleeve button shirt with trousers/slacks and tie
 Female: Blouse/shirt with knee-length skirt/pants or knee-length dress
Guests : Formal attire - Strictly NO T-shirts, jeans, sandals or slippers.

13. Guest Admission into the ceremonial hall

Please remind your guests to bring along their invitation cards to the convocation ceremony as entry into
the hall will be ONLY ALLOWED by the presentation of invitation cards. Guests without an invitation card
will be denied admission into the ceremonial hall. However, the guests may view the ceremony through
live streaming at GG007, Level G Block G.

PROCEDURES – DURING THE CEREMONY

14. Presentation of Awards

(a) Ensure that you have your graduation name card ready (your name cards will be distributed upon
registration on convocation day)
(b) Present the card to the Name Reader prior to going on stage
(c) Walk a few steps and doff your mortar board (i.e. touch the mortar board)
(d) Bow to the Pro-Chancellor and receive your scroll
(e) Walk down the steps to return to your seat, following the prescribed route.
(f) Face Masks MUST BE WORN AT ALL TIMES during the presentation of awards.

 (g)To show respect to all fellow graduands and the ceremony, (h) You are to remain seated in the
graduand area once the ceremony has begun, except when you are on stage to receive the scroll from
the Pro-Chancellor.

15. Discipline during the ceremony

Face Masks must be worn at all times, no handshake, frequent hand sanitisation and practise good
personal hygiene throughout the ceremony.

Please do not leave your seat during the ceremony except when called upon to receive your scroll. Please
ensure that you use the restroom before the procession into the ceremonial hall. You are also expected to
have taken the appropriate meals before the ceremony.

As graduation ceremonies are momentous occasions for everyone, movement in the ceremonial hall is
restricted to ensure that the ceremony is conducted smoothly and with decorum. Guests are prohibited to
leave their seats to take photographs during the ceremony. Guests who leave the ceremony hall during
the ceremony will not be permitted to re-enter until a suitable break in the programme has been reached.

PROCEDURES – AFTER THE CEREMONY

16. Graduands and guests are required to leave the hall immediately once the ceremony ends by adhering the
physical distancing.
The ceremonial hall shall be closed for housekeeping, sanitisation and preparation for the following
session. Graduands and guests shall proceed to Foyer Recital Hall, Block G, Level LG1 for refreshment.

17. Photography (Optional)

UCSI University’s appointed convocation photographer provides OPTIONAL photography packages such as
(a) Individual/ family portrait photograph session
(b) Other convocation photographs in various sizes (i.e. individual portraits, group photos, stage
photos, and etc).

The costs of the optional packages will be borne by the graduand.

If you intend to take up any available studio packages, you are encouraged to take the photograph before
/ after the ceremony at FOTOREX. Please note that the individual / family portrait photography session is
prohibited during the ceremony. Your name will not be repeated if you have missed your turn in the
proceeding.

There will be several mini studios set up by the photographers during convocation day at GG06, Block G,
UCSI University Kuala Lumpur Campus.

This is subject to change and you are advised to seek information nearer to the event day.
