Maintenance Department of a Hotel has several sections like Carpentry, Masonry, Plumbing & Sewage, Electrical, Air Conditioning & Refrigeration, LPG Supply, Mechanical etc. The Department is headed by an Engineer who is assisted by Shift Engineer. Under the Shift Engineer Foreman (one for each Section) is designated. Under the leadership of the Foreman Technicians & Service Persons do the actual operation. Technicians & Service Persons Duties & Responsibilities Post : Engineer • He is responsible for the overall operation of the Department. • He is the link between the Management & the Department. • The department’s Budget is suggested by him after consulting with the immediate subordinates. • He is also responsible for new purchases & taking decision regarding AMC of various equipments. • Duty Rota may be arranged by him for the department. • He is responsible for looking after the Leave, Complaints & Grievances of the staffs of the department. Post : Shift Engineer • He is responsible for the overall operation of the Department during his shift. • He is the link between the Engineer & the rest of the Department. • He assists the Engineer in fixing department’s Budget. • He also assists the Engineer for new purchases & taking decision regarding AMC of various equipments. • Duty Rota may be arranged by him for the department. • He is responsible for looking after the Leave, Complaints & Grievances of the staffs of the department and forwards the same to the Engineer where he feels necessary. Post : Foreman • He is responsible for the overall operation of the Section he is taking care. • He plans out the work flow for his section. • He prepares & maintains records for various servicing done / arranged with different units. • Maintains stock for the Section. • He assists the Shift Engineer in fixing Duty Rota. • He also adds valuable suggestions for new purchases & taking decision regarding AMC of various equipments.

• He is responsible for looking after the Leave, Complaints & Grievances of
the staffs of the department and forwards the same to the higher authorities where he feels necessary. Post : Technicians & Service Persons • They do the actual job for the department • Maintains periodical check for various maintenance works. • Observe each Unit / Equipment / Machine closely whether working properly or not. Report the Foreman regularly about their observations. • Handles stock for the Section and inform the foreman regarding the same. Coordination with Other Departments : Maintenance department closely coordinates with the major departments of the Hotel. Guest rooms are serviced by the House Keeping depart and if they notice any fault there, report to the Maintenance department through proper communication tool. The maintenance dept perform the work against work order issued and report back to House keeping dept. House Keeping & Maintenance dept coordinates with each other against the issues related to Plumbing & Sewage, Equipments, Electrical Equipments, AC etc. Similarly other also coordinates with Maintenance dept as per the following areas : Food Production related to Plumbing & Sewage, Equipments, Electrical Equipments, Refrigeration System, Gas Servicing etc. F&B Service related to Plumbing & Sewage, Equipments, Electrical Equipments, AC & Refrigeration System, etc. Other Departments related to Plumbing & Sewage, Equipments, Electrical Equipments, AC etc. Types of Maintenance 1. Breakdown maintenance It means that people waits until equipment fails and repair it. Such a thing could be used when the equipment failure does not significantly affect the operation or production or generate any significant loss other than repair cost. This type of maintenance is also known as Reactive Maintenance. 2. Preventive maintenance Preventive maintenance is predetermined work performed to a schedule with the aim of preventing the wear and tear or sudden failure of equipment components. Preventive maintenance helps to: Protect assets and prolong the useful life of production equipment Improve system reliability Decrease cost of replacement Decreases system downtime Reduce injury Mechanical, process or control equipment failure can have adverse results in both human and economic terms. In addition to down time and the costs involved to repair and/or replace equipment parts or components, there is the risk of injury to operators, and of acute exposures to chemical and/ or physical agents.

Preventive maintenance, therefore, is a very important ongoing accident prevention
activity, which you should integrate into your operations/ product manufacturing process. It is further divided into periodic maintenance, predictive maintenance and also proactive maintenance. 2a. Periodic maintenance (Time Based Maintenance - TBM) Time based maintenance consists of periodically inspecting, servicing and cleaning equipment and replacing parts to prevent sudden failure and process problems. 2b. Predictive maintenance This is a method in which the service life of important part is predicted based on inspection or diagnosis, in order to use the parts to the limit of their service life. Compared to periodic maintenance, predictive maintenance is condition based maintenance. It manages trend values, by measuring and analyzing data about deterioration and employs a surveillance system, designed to monitor conditions through an on-line system. For example, Vibration analysis can qualify if your equipment is broken.
2c. Proactive Maintenance :
This is the maintenance done in response to Root Cause Failure Analysis. If it is found that the same bearing going bad every 2 months, we should analyze to find out the main cause.
