Summary of the OJT Experience
We started our first synchronous class back in March 1, 2022, Tuesday, wherein we had our first
discussion regarding the Front Office Technical Skills. On the first week, we discussed the
important things to know about the Front Office Department and how should a Front Office Staff
should react to the guest and follow the protocols of the hotel with its core values and vision. It is
also discussed to us how to wear uniform properly and the right grooming for the respective
gender. Some of the relevant information were also instruct to us of what to do before and during
the phone call. Also, one of the important matters that were tackled is the importance of Property
Management System and how it helps to connect or coordinate the functions of the Front Office
to have access for the up-to-date information related to the transaction and other stuffs in the
Front Office. Our first discussion went well on my end and there is no any interruption such as
the poor internet. On the second week of our synchronous class, we discussed the Front Desk
and its roles and responsibilities on how to interact with the guest and handle transactions. Here,
four (4) stages of Guest Cycle were tackled to including the Bell Service’s role.
On March 14, 2022, Mr. Marron Santillan showed to us on how to create a reservation using the
Property Management System Software. For me, this was the most interesting part of the
synchronous class because we are given a chance to operate a PMS Software to make a
reservation. The guide where accurate and very easy to understand that is why it took us only a
short time and learn how to make a reservation and Mr. Santillan always repeat the process. In
order to do that, we are instructed to download the AnyDesk Application for us to be able to use
the PMS Software. The only problem I encountered whenever I am performing the process of
making reservation is the slow performance on my end because I am only using a data, but still I
was able to make a reservation at a good amount of time.
The next week, our adviser presents to us the next step which is the Check-In process and adding
the Guest Profile. Our OJT adviser performed to us on how to do the Check-In process and add
the Guest Profile step-by-step starting from how to make a reservation. From the reservation we
made from our previous activities, we performed the Check-In Process and adding the Guest
Profile for about 30 minutes. As usual, it was not a hard task because it was demonstrated to us
by our adviser clearly even though it was slow mode on my part because of the poor internet.
The next meeting Mr. Marron Santillan demonstrated to us on how to do the Settlement and
Check-Out Procedure, again, starting from the Reservation to Check-In Process and adding the
Guest Profile up to Settlement and Check-Out Procedure. Just like the previous meetings, our
adviser carefully instructed to us the procedures on how to do the final steps. It took me a while
to complete the process because of the internet problem but I was still able to perform the
activity.
On April 4, this is the day where we had our assessment in relation to the use of Property
Management System Software, wherein we performed the whole process of reserving and
checking out the guest. For the last time, Mr. Santillan showed to us the whole procedure starting
from making a Reservation up to the Check-Out Procedure. The assessment went well for me
and was able to perform from the start until the end although my internet was poor and the time
almost caught me because we are only given 30 minutes to perform the whole thing. Basically,
the whole procedure that we did in the assessment is actually how a Front Desk Receptionist do
in the reality. It was a great experience because we learned a technical skill that we can use in the
future after we graduate that we can also add to our resume. And, may be someday I can use this
and become a Front Desk Receptionist.
The next week, we started to tackle Front Office Systems and Procedures. The module revolves
on the department’s operations on a point of view of a Front Office Supervisor. For the rest of the
weeks, the topics we discussed are the key measures of success for the front office as a
department, execute the departmental operational plan, determine the reservation systems and
technologies used, practice yield management, execute billing calculations and credit card
procedures, practice website monitoring for online reservations, prepare the necessary reporting
requirements, observe environmental issues, communicate with other departments, plan work
schedules and duty rosters, use the guest feedback system and supervise monitor.
Throughout the discussion I have take place in the synchronous classes that we had, I have not
encountered any interruption on my end and I am able to join the class and listen our adviser Mr.
Marron Santillan. Also, every time our discussion is finished, there is always an activity that
were given to us and weekly log where we have to submit it in the Astoria Culinary Hospitality
Institute Portal. This gives us the chance to apply the learnings that we have acquired from the
synchronous class we attend.
In general, based on my experience from this Online On-the-job Training, I can say that I have
learned a lot despite the situation that we are only having online class and that we are still in the
pandemic. Although we can’t do the actual OJT, at least, we are still able to do hotel stuff such as
creating reservation using the Property Management System Software. In addition, loads of
information were shared to us based on the real scenario and from the experience of our adviser
Mr. Santillan.
Assessment of the OJT/Practicum Program
A. New knowledge, attitudes, and skills acquired
I have learned new things from this Online On-the-job Training such as how to deal with
different problems in the hotel, the roles and responsibilities of a Front Office Staff or a Front
Desk Staff, how to determine credibility of the Credit Card, Operational Planning and Yield
Management, and so on. Aside from that, I also learned that attitudes are one of the most
important things that I can possess because you can tell a person if s/he is professional or not just
by that. And most importantly, I learned essential technical skills which is creating a reservation
through the use of Property Management System Software.
B. Theories actually seen in practice
C. Feedback that can be given to the company or institution
D. Benefits gained
E. Problems encountered
Based on my experience, the only problems I encountered is that when we are creating our
reservation using the Property Management System, wherein the application is very slow on my
end may be because of the poor internet. But when it comes to synchronous class, the signal is
not bad at all and I rarely disconnect from the meeting.
