Project Title: The Wedding of Mr. and Mrs.

Jones
Project Description—
Our friend Josie got engaged last weekend and she has a budget of $25,000 and has chosen
her bridesmaids to plan the wedding. The wedding will be held on June 25, 2022, and 100
people will be invited. Josie especially needs help planning her ceremony, reception, and
maintaining her budget.

Adopted Lessons Learned from Reference Retrospective—


Communication seemed to be a big constraint with the project group in the essay shared.
However, our group will communicate through Zoom and GroupMe. We used GroupMe to
discuss the logistics of meeting for a video chat and posting to the Canvas discussion board.
We held a Zoom call so that we could video chat about this project. We all are willing to
participate and post something into the discussion board.

● Parents of the Bride and Groom - Susan and James (Bride’s Parents), Stacey and
Michael (Groom’s Parents) - Our sponsors because they are paying for the wedding.
● Bridesmaids/Groomsmen - Bridesmaids: Cassidy, Hailey, Nicole, Sara, Randi
Groomsmen: Mark, Ben, Hunter, Luke, Joseph - The project managers tasked with
planning the wedding.
● Officiant/Pastor - Pastor Chad - Project Team Member - Affected by the decisions
made such as date, location, and budget.
● Vendors (DJ, Caterer, Photographer, etc.) - Project Team Members - Affected by the
decisions made such as date, location, budget, and personal preferences.
● Attendees - 100 of Josie and Jesse’s closest friends and family - Project Team

Objectives
● One of our objectives is to obtain a videographer and photographer. This objective is
a key element to creating lasting memories for the bride and groom. With the short
time constraint but fairly wide budget, we will outsource to a freelance
videographer/photographer that is willing to travel to the location if they are not
local. We will have a secured videographer/photographer 3 weeks prior to the
wedding date in order to meet in person or digitally to discuss with our bride and
groom specific shots and moments they wish to have captured and discuss how those
goals will fit within the budget.
● Another object we decided on was having a reception. Having this objective is to
celebrate the love of our bride and groom. We will find a venue that is within our
budget, and that is able to hold all of our guests and have the space to accommodate
our vendors. We will have booked this venue immediately, due to our short time
frame, it is a very important step. The bride and groom will approve of the venue and
will be able to envision their big day!
● One of the objectives is dress and suit shopping. Given that the wedding is coming up
soon, it’s best to go shopping as soon as possible to ensure both will be available in
time for the wedding. To meet this objective both the bride and groom will select two
shops to go to on a specific weekend and have an idea of the colors, styles, and sizes
that they are interested in. In addition, they will both choose a reasonable budget for
their dress and suit to ensure that their overall budget stays on track.
● Our objective is to provide the bride and groom an opportunity to make their
commitment to each other in front of their closest friends and family on June 25,
2022. We will obtain a venue, pastor, and all other necessary vendors to ensure their
ceremony can take place.

● Our objective is to allow the Bride and Groom to enjoy their wedding with their
loved ones. We will send the “Save the Date” notifications to guests in February and
the formal invitations Mid-March with returnable RSVP cards due no later than May
10, 2022 for a formal headcount for the caterers to prepare food and venue to provide
enough seating.

Project Scope
The key deliverables for this project are planning and successfully overseeing a wedding
ceremony and reception for an estimated 100 people.
Elements within our deliverables will be venue and vendor procurement. Vendors include but are
not limited to food, entertainment, cleanup/setup crews, and reception furniture.
We will not be personally financing the deliverables but have been given an established budget
from our bride which will be leveraged.
Not included in our budget or services are pre-wedding and post-wedding events
(bachelorette/bachelor party, rehearsal dinner, honeymoon, etc.
Assumptions
● Our assumptions are that the bride will provide a detailed vision of what the wedding
will include given that she asked us last-minute to assist and it is her big day!
● In addition, our assumptions are that we will be able to find a venue in time that is not
booked on June 25, 2022, as the wedding is in the summer season and there are
ample venues available within her budget.
● Further, we will be able to find a caterer that both the bride and groom will agree
upon as both of them like the menu offered and the price per plate.

Constraints
● The venues may cost more to book given that it is the summer season and
because the wedding will be held in a short amount of time. The bride and groom
are willing to make cuts in other places because they are set on having the
wedding on June 25, 2022, and not any other dates.
● The brides dress may not fit and may need to be heavily altered. The bride will
find back-up dresses with a size up and size down in case the first option does not
work.

Photo Booth Rental Guests can take pictures to $600
commemorate the special
day for the Joneses. They
will have a souvenir to take
home. The photobooth
charges $150 per hour with
a minimum of 3 hours. The
reception is expected to
last 4 hours.

With the current procurement plan, the couple is under budget by over $6,000. They could put
this money towards other events for the wedding weekend such as the rehearsal dinner,
accommodations, or honeymoon. They could also volunteer to pay for the wedding party's attire.
