ABSTRACT

The proposed study focuses on creating a Ogis Lechon Manok Billing System
for the Ogis Lechon Manok Branch in Dumagoc Pagadian City. It helps the cashier to
have fast transaction to the customer.

The proposed system uses the Prototype Model which is the second System
Development Life Cycle in order to organize the work of the system. Microsoft
Access for database was used and to store all the given data/information while the
Microsoft Visual Studio 2010 was used to input all the source code of the system.
Accessing the system by the staff has the limited process to maintain the security of
the system. Owner can have the full access to the whole transaction.

Ogis Lechon Manok Billing System is a user friendly that users where can
easily on understand how to use the system. It can record the information of new
stock products, sold products, and even generate a report. The conducted interview
and researchers were part of the planning stage, to fulfill the requirements and
information of the assigned user. In developing information system, it was thoroughly
tested in order to identify the malfunctions, error, and bugs that occur after the system
has successfully function.

Ogis Lechon Manok Billing System allows the user to store the new arrive
products and remaining products. This software package allows storing the details of
all data related on billing. The system is strong enough to withstand regressive yearly
operations under conditions where the database is maintained and cleared over a
certain time of span. The implementation of the system in the organization will
considerably reduce data entry, time and also provide readily calculated reports.

Chapter 1

Introduction

A Billing System is a combination of software and hardware that receives


service usage information, and groups this information for specific accounts or
customers, produces invoices, creates reports for management, and record payments
made to customer accounts in which manufacturers and sellers can benefit from
through solution, where sales record and necessary details on the customer, products
purchased, price and date while also updating inventory levels.

Using computerized billing system allows for much greater accuracy in


storing, sales production, and product management. The system encourages ease of
interaction between employees and customers in terms of product transactions.
Computerized sales help to provide better insight into which product is a greater hit to
the customer. It also allows for enhanced marketing, stocking and oversight of critical
sales objectives.

In using this computerized billing system, stores can establish the benefits of a
business. First it is time saving. The amount of time that can be saved by a business is
perhaps the biggest benefit of using a computerized billing system. Computerized
billing system save time for businesses by speeding up transactions while raising
accuracy because it can calculate sales automatically. This allows for confidence in
accounting and accountability among employees as it is easy to verify how much
money and what time transactions took place. A billing system is a software that uses
to maintain the record of the products. This system stores the data of the quantity of
available products and its prices.

In many common scenarios, when customers buy roasted chicken from the
Ogis lechon manok branch, the cashier often takes time to list the sold roasted
chicken, the cashier uses record book to manually write the sold roasted chicken and
its name and date. Otherwise, in having on billing transaction, the cashier takes a lot
of time to list the sold roasted chicken, price and quantity of the of roasted chicken.

With the use of the billing system, the transaction would ease up and can save
a lot of time since the cashier can record the sold roasted chicken as soon as they need
it. With this, either the cashier or the staff can easily locate the sold roasted chicken
and can calculate the whole earnings in a daily even weekly and monthly.

The researchers conducted the study at Ogis Lechon Manok Branch located at
Prk.Sweetrose, Brgy. Dumagoc, Pagadian City, where the researchers conducted an
interview and gathered information needed from the owner by asking the existing
process. One of the problems they are facing is it’s time consuming when it comes to
finding the past records of the sold products daily, weekly and monthly earnings since
they only use record book to record the quantity of sold roasted chicken and roasted
chicken information.

Aside from that, with the use of this system, either the owner or the cashier
can use the search bar and type the names of the products to see the quantity and
price. When the list of related products appeared, the cashier will select the product to
be sale and calculate the quantity of the sold products. By clicking the chosen product,
the cashier will click the stock-in button to the available products quantity will appear
as long as the information for the new supply of chickens. Either the cashier will input
the details of the products in the system then save and store the database.

The researcher aimed to provide the establishment a hassle-free and fast


transaction in terms of billing to fix all encountered problems. This study will lead to
the improvement of Ogis Lechon Manok especially in their product transaction. The
researcher will develop a system for the Ogis Lechon Manok where cashier can
record the sold products and new supply of roasted chicken in a convenient way.

Statement of the Problem

The proponents sought to provide a solution to the following problems:

1. What system to be developed that will automatically generate the sales report?
2. In what way can the system help the cashier in terms of billing transaction?

Objectives of the Study

The objectives of this study include the following:

1. To develop and produce a system design that can fasten the process billing
transaction more efficiently.

2. To develop and produce a system design that can automatically compute the billing
transaction and generate reports.

Scope and Limitation of the Study

The proposed system is mainly fucos a Billing System for the Ogis Lechon
Manok at Prk.Sweetrose Brgy. Dumagoc, Pagadian City, in which the sold products
and new supply of roasted chickens are included.

The system is more effective when it comes to adding and computing the
quantity of products. The owner only is an authorized person that has a full access to
the system. He/she can also add data like the quantity of the roasted chicken. The
owner can also search the search bar of the product information that is connected to
the assigned database. He/she can provide printed reports for the sales and damage
goods, daily, weekly, and monthly.

The system can be managed by the owner and who has full access except for
the password of the cashier. For the cashier he/she can manage the billing transaction
only, the cashier can’t delete data’s from the system, and for the other staff they
cannot access because they do not know how to use the system.

The researchers assent that with the help of this system, the transaction is
much easier than before. It can benefit the Ogis Lechon Manok to achieve permanent
record because the Ogis Lechon Manok is currently using the manual process of
selling roasted chicken, in which the cashier uses a columnar record book to list the
products to sell every day, which led the researchers to identify common problem

Significance of the Study

The result of this study will benefit the following individual and groups seen as its
direct recipients:

Cashier This system could help them in securing the records of the
products and the information of the sold products. Also, it
serves as an innovative way of transaction in their manual
processing in recording supply and sold products

Owner This system will help to ensure his/her daily, weekly and
monthly income, and provide printed receipt for the sales of the
Ogis Lechon Manok.

Establishment This study will help the Ogis Lechon Manok improve of their
daily transaction.

Researcher This study helps them to enhance their knowledge in research


and to practice their skills in making a computerized system
from what they have learns in the programming subject.

Future Researcher The result of this study will serve as valuable information that
will support similar studies to be conducted.

Definitions of Terms

The following terms are defined operationally:

Available and Sales A feature of Billing System that is used


by the cashier in monitoring the new
supply and sales of products.

Sales Report The system that generate records of sales


of roasted chicken daily, weekly, and
monthly.

Database Stores all the recorded given


informationSuch as roasted chicken, and add-on products information, products
quantity and prices.

Chapter II

Review of Related Literature

This chapter presents the related literature review which is very important for the
research. This chapter describes and explains concept and principle carried out in the
system.
Foreign Literature and Studies
And speaking of trust, according to NH. Kim, et al. (2017) this technology has
been applied to achieve more secure online or offline transactions in a peer-to-peer
manner. A billing system can ease your workload with high a level of security for
your records and sales performance in your establishment.
However, this problem can pose a great holdback in your business but can be
manage if you know the right technology or software to apply in your workplace.
Once you acquire the right technology in place, you can manage your business with
ease and efficiency. A billing system can gradually increase your income and sales
overnight with just a click of a few button.
According to Md. Mejbaul Haque, et al. (December, 2011) one of the prime
reasons is the traditional billing system which is inaccurate many times, slow, costly,
and lack in flexibility as well as reliability.
A billing system must be reliable and easy to handle so it could not pose any
harm in your workplace. According to KW. Park, et al. (2012) a billing transaction
must have integrity and nonrepudiation capabilities; the billing transactions must be
non-obstructive and have a minimal computation cost; and the service level
agreement (SLA) monitoring should be provided in a trusted manner.
Local Literature and Studies
According to CE. Coronel, et al. (2014) For the reason that Caleruega
Philippines lost their website and uses manual guest list records, manual reservation
of rooms, function halls, church and other recreational facilities takes a long time for
both the receptionist and the guests to accomplish, the Online Billing and Reservation
System was proposed by the researchers as a replacement for the said Manual Billing
and Reservation System of Caleruega Philippines.
According to AL. Pelandiana, RG. Ado (2018) a web-based billing and
collection system for a municipal water and services unit is a system that sought to
address the problem of a municipal water unit. Using the technology, meter reading
will be paper less. It can be accessible through the internet; end-users and water
consumers/customers could connect and perform.
M. Manun-og, et al. (2018) states that a water billing system is an automated
system that makes the complex task of billing easy, fast and accurate. This paper
presents the development of an Automated Water Billing System for the local
government unit of Hinunangan in the province of Southern Leyte, Philippines.

Chapter III
Theoretical Background

This proposed Ogis Letchon Manok Billing System is recommended to Ogis


Letchon Manok . This proposed System is designed to help the owner and cashier
and also on transactions, other personnel, and other concerned people that will be
benefited for the Ogis Lechon Manok Branch. It will help them secure the assurance
of billing and records on sold and available products, for the owner and cashier, it will
not consume more time to handle in managing and organizing the data.

According to their cashier, the whole piece of roasted chicken worth of 270php, in
daily selling they earn 40000 pesos a day. In billing transaction, the cashier manually
writes the sold products to the columnar book.

Furthermore, the cahier should provide a reports to the owner for the daily and
monthly transactions

System Requirements:

The following requirements are needed in order the system to run.

 OS Windows 7, 10 – operating system that are installed in a personal computer.


 System Type 32 - Bit Operating System, x64 – Based Processor – it is a bit
operating system that required for memory and data intensive application.
 Microsoft Visual Studio 2010 – an Integrated Development Environment (IDE)
from Microsoft is use to develop computer programs, as well as websites, web
apps, web services and mobile apps.
 Microsoft Access – for database in order to give accuracy of the data information
of billing system is made by Microsoft access.
 Visual Basic.Net (vb.net) - Visual Basic .NET is a multi-paradigm, object-
oriented programming language, implemented on the .NET Framework. Microsoft
launched VB.NET in 2002 as the successor to its original Visual Basic language.

This system also required hardware in order to operate the system such as:

 Monitor – a cathode-ray tube used for displays as a televisions, pictures or
computer information’s or LCD.
 System Unit P.C– a small computer designed for use by the one person at home
or in an office.
 Memory (RAM) 2.00 GB (1.71 GB Usable) – a random access memory is a
forms of computer data storage that stores data and machine code currently being
used.

Research Methodology

Throughout the project development after the researchers conducted


interviews regarding the proposed system, the researchers decided to use Waterfall
model for the System Development Life Cycle (SDLC), since this model gave the
researchers certain advantages.

Planning

Researchers are planning to ask permission to conduct the study at Ogis Lechon
Manok in Pagadian City. The researchers ask permission by using the letter of
transmittal. After the Ogis Lechon Manok accepted the study, the researchers provide
ten (10) questions to be answered by the cashier.

Requirements Analysis

After the interview, the researchers found out that the cashier need a system to help
them to manage reports, save data and information and to record all transaction inside
the Ogis Lechon Manok Branch.

System Design

The researcher will develop a system design that the user use the new Billing System.
The system was constructed purely from the user’s aspect without considering the
constraints of hardware (such as computers). In designing the system, the researcher
made use of Microsoft Visual Studio 2015 and Microsoft Access for the database
while the programming language used by the researcher is vb.net. Also, the researcher
creates a flow chart to guide them on how to make the system function.

Coding and Testing

In the development of the system, the researchers made use of Microsoft


Visual Studio 2015 for encoding the source code of the system. The researchers also
made a database module for loading the data in each specified field in the system, in
order to be accurate and for fast acquisitions of data and information.

After finishing the main parts of transaction being done in the system the
proponents tested it and there was a lot of problems/errors that the proponents
encountered. It made the proponents realize minor and major mistakes in the system
and it gave more understanding on how to develop it.

Implementation

In order to make this project successful, the researchers let the Ogis Lechon Manok
test and evaluate Billing System in order to receive feedbacks and to produce a
reliable and effective system. The researchers conducted a dry run to compare its time
consuming between manual and computerized transaction.

Maintenance

In maintaining the security and accuracy of selling products the researchers


provide a manual for the system and make a video demonstration.

This visual representation shows the sequence and steps on how the system can be
access by the cashier.

The Billing System has two facilitators which can be access by the owner and the
cashier. Either the owner or the cashier must entry a username and a password, if the
given username and password are incorrect, they cannot proceed, so, they must re-
enter or confirm their exact username and password.

The owner has the full access and the cashier can also add a new record of
products that are newly arrived, delete and update unnecessary or wrong data’s, print
reports, and also save some minor changes to the system. Only the owner has the
access to change the password and can create a new account.

However, when customers buy a roasted chicken, the cashier will record the
necessary data of the sold products. Because all of the product information that are
added and saved through the system will just automatically show whenever she/he
will make to find a record of the sold products.

Conclusions and Recommendations

This chapter declares the result of this study and other recommendation.

Conclusion

During the development of the Billing System of Ogis Lechon Manok, our
group had encountered a lot of problems and difficulties, most specially in attaining
the objectives that we’ve situated in our proposal.

The creation of system’s database requires enough period of time to be


perfectly established, because all the needed information requires good critical
thinking and thorough analysis before placing them altogether.

The Billing System that the researchers provide can lessen their workload in
their establishment that it can generate the gross income and sales report because it is
connected to its database so that they can manage it easily. Also, it would help lessen
the time for the cashier on handling the billing transaction because of the systems
organized record and automatic sales calculation.

Therefore, the proponent concludes that with the help of the Ogis Lechon
Manok Billing System, this will support the general requirement of the branch. And
the establishment of Ogis Lechon Manok is now available for stress-free
management. The system also helps to maintain the data of roasted chicken sales to
customers and many types of products available in the Ogis Lechon Manok

Recommendation

The problem has been solved and all questions have been answered. The
following are the recommendation who wishes to improve this study in the future to
enhance the usability of the system:

 The researchers recommend to the future researchers to add pictures for the
identification of the products.
 The proponents recommend to the owner to use the system in their branches.
The researchers recommend to the future researchers to improve and add
features in billing transaction of the sales.
