CONSENT FOR GOVERNMENT SCHOLARSHIPS FOR UNIVERSITIES


1. Pursuant to the Data Protection Act, The Universities Fund (UF) in its capacity as a data controller and/or processor under the Act, requests your explicit, affirmative, and
informed consent before it can collect or process your personal data.
2. “Personal data” means any information relating to an identified or identifiable natural person (a “data subject”). An identifiable natural person is one who can be identified,
directly or indirectly, by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical,
physiological, genetic, mental, economic, cultural, or social identity of that natural person.
3. The categories of personal data you are being asked to consent to the UF’s collection and use are your name, Identity Card Number, KRA Pin number, Passport Photo, Postal
Address, Email Address, Telephone Number, Date of Birth, Birth Certificate Number, Gender, Marital Status, Disability Status, KCSE Index number, KCSE Year, Current place
residence, Institutional Details, Education Background (Post-primary schooling), Parents / Guardian / Sponsor / Public trustee details, Guarantors details. More details are
described in the Privacy Notice.
4. Any personal data that is collected from you will be for the sole purpose of:
a. Application for the university’s Government Scholarship.
b. Appraisal for Government Scholarship
c. Communication with the institutions of higher learning.
d. Communicating UF’s activities and accomplishments.
e. Communicating to the applicants, parents and guardians regarding Government scholarships.
f. External Resource Mobilization for future funding or scholarship.
g. Any other lawful activity in line with funding students.
5. This also includes processing the personal data as required to execute contractual obligations in connection with the purposes described in clause 4 above and in compliance
with applicable laws, to execute the obligations to you concerning your scholarship application. 6. UF may process personal data without the data subject's consent under the
exceptions on a lawful basis.
7. UF in exercising its mandate shall share your personal data with (public and private) third-party entities for the purposes mentioned above. These third parties are contractually
obligated to keep your personal data confidential subject to appropriate safeguards to prevent unauthorized disclosure. These third parties include and are not limited to:

a. Law enforcement agencies and regulatory authorities.
b. Publicly available and/or restricted government databases such as The Kenya University and Colleges Placement Service (KUCPPS), The Universities Fund (UF), Kenya
Revenue Authority (KRA), Office of the Auditor General (OAG), National Social Security Fund (NSSF), National Health Insurance Fund (NHIF) and Integrated Population
Registration System (IPRS), National Transport and Safety Authority (NTSA), Kenya National Examination Board (KNEC), Telcos (Safaricom, Airtel), National Council For Persons
With Disabilities (NCPWD), State Department For Basic Education (SDBE), Kenya National Bureau of Statistics (KNBS), State Department for Social Protection and Senior
Citizens Affairs, National Employment Authority (NEA)and Kenya National Examinations Council (KNEC).
c. Resource mobilization partners such as government bodies and private funders.
d. Public utility Companies such as Kenya Power Lighting Company, Water services companies.
e. Public Placement and Examination bodies such as Kenya University and Colleges Placement Service (KUCPPS) and Kenya National Examinations Board.
f. Higher Education Loans Board (HELB).
g. Higher Learning Institutions such as Universities and Colleges.
h. Telecommunications Companies.
i. Financial Institutions.
8. UF may transfer your personal data outside the boundaries of Kenya, for the purpose of Resource Mobilization. Such transfer shall be done in accordance with the requirements
of the Data Protection Act.
9. Parental Data collected from you will be for the sole purpose of:
a. Supporting applications for Government Scholarships.
b. Appraisal for bursary, and scholarship
c. Disbursement of Government Scholarship.
10. Your personal data is a key enabler, without the data, UF cannot discharge its legal mandate of financing higher education.
11. Your personal data will be stored in accordance with the record retention requirements applicable to UF as a public entity, and any other applicable Kenyan laws.
12. Subject to the exemptions specified in the Privacy Statement, under the Data Protection Act and your contractual obligations, you have the right to request access to, rectify,
erase, and restrict the processing of your personal data. You also have the right to revoke this consent to use your personal data. Without affecting the legal obligations of UF.
13. If you feel UF has violated the Data Protection Act, you have the right to file a complaint with UF’s Data Protection Officer. These rights are more specifically described in the
Privacy Notice.
14. UF reserves the right to amend or modify this consent form at any time without jeopardizing your rights. Any amendment or modification to the form shall remain effective
from the date of notification.

TIME PROGRAMME
Following your placement by KUCCPS for University Admission, I am pleased to offer you a place at Jaramogi
Oginga Odinga University of Science and Technology in the School of Education, Humanities & Social Sciences
for a course leading to the BACHELOR OF EDUCATION (SCIENCE) WITH IT.

This offer is made on the basis of your qualifications and is subject to verification by the University authorities. When
reporting you should provide originals and copies of the following: KCSE certificate or result slip, School leaving
certificate, National Identity Card, Birth Certificate and two coloured passport size photograph. Enclosed find detailed
joining instructions namely: JOOUST/AA/R/ADM-AF/01, JOOUST/AA/R/ADM-AF/02, JOOUST/AA/R/ADM-
AF/03, JOOUST/AA/R/ADM-AF/04, JOOUST/AA/R/ADM-AF/05 and JOOUST/AA/R/ADM-AF/06 for your
necessary action. The duly completed forms should be returned to Registrar (Academic Affairs) on the
registration day. Learning shall be conducted via blended mode of learning (Virtual and Physical where appropriate).
All students are required to come along with a good laptop as per the attached specifications (JOOUST/AA/R/ADM-
AF/07). Download specific course requirements as per your school.

Following your placement in this institution, you are eligible for a Government Scholarship, Loan and Bursary to assist
with your educational expenses. If you need Government Financial support, you MUST make an application for
consideration through the official website (www.hef.co.ke). In case the Government Scholarship, loan and Bursary do
not cover the entire cost of your program, the deficit will be met by your parent/guardian.

All fees should be paid directly to Equity Bank, Account Number 0750294239156, Bondo Branch or Cooperative
Bank, Account No.01129255709500, Bondo Branch or KCB Bank, Account No. 1117122409, Bondo Branch or
any other branches of the banks countrywide. You will be required to submit original bank slip indicating the
amount of money paid. Cash, personal or institutional cheques are not acceptable. Please note that all the
semester fees must be paid on or before registration. Suitable accommodation shall be provided on a first come first
served basis in the university hostel. Meals are available at the University Dining Hall on a pay as you eat basis.
