TITLE: Scholarship Program Specialist

REPORTS TO: Manager of Scholarship Programs

SUMMARY: The Scholarship Program Specialist provides support to the Scholarship


Foundation’s Scholarship Program Department in all areas of program administration.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Responsibilities:

 Manage and maintain over 15,000 student and alumni records in Raisers Edge database with
an average yearly growth rate of 15%
o Update records as students progress through scholarship application and payment
cycles
o Manage transition of student to alumni and create alumni tracking process
o Mange transition of paper records to electronic database
o Conduct ongoing data validation, correction, and cleanup
o Manipulate student data in Raisers Edge and utilize conditional mail merge to fulfill
mailings to students
 Execute all queries and reporting for review and analysis of student data and other requested
scholarship program statistical information
 Partner with scholarship team to develop online application
 Manage application data:
o Design and perform application data imports and exports
o Guide staff and volunteers in application data processes
o Ensure application data integrity
o Produce easily interpreted application reports for staff and other stakeholders
 Collaborate to design payment process data exchange, create and execute data
imports/exports, and ensure accuracy throughout
 Draft and publish web-based and social media communications as it relates to the
scholarship program
 Manage student mail communications by leading collaborative drafting and editing
processes
 Track communications with scholars, applicants, and alumni
 Create Scholarship Data Management Guide by detailing all job-related standard operating
procedures
 Identify and implement improvements in job-related processes
 Learn and remain current on the intricacies of the scholarship program policy to support
proper implementation of program requirements
 First line of contact for telephone and electronic communication with students, parents,
academic institutions, alumni and other inquiries

 Develop understanding of scholarship/Financial Aid systems in order to guide students
through successful completion of scholarship application as it relates to Financial Aid
 Prepare and edit documents, correspondence, and presentations
 Other duties as assigned

EDUCATION AND/OR EXPERIENCE

 College degree required, plus two to five years experience or equivalent training and
experience in database administration. Experience with Blackbaud technology applications
and Raiser’s Edge a plus.
REQUIRED SKILLS AND ABILITIES

 Strong skills in Microsoft Office software (Word, Excel, Access, and Power Point)
 Detail oriented with strong organizational skills
 Ability to manage multiple projects, prioritize, and meet deadlines
 Ability to anticipate and solve problems
 Strong interpersonal skills and professional demeanor
 Ability to communicate well verbally and in writing.
 Ability to work well in a team environment that promotes inclusiveness and communication
among team members.

WORKING CONDITIONS

 Working conditions are normal for an office environment.


 Work may require occasional weekend and/or evening work.
