OBJECTIVES
Upon completion of this chapter, you will be able to:

• Decipher the codes and symbols from the availability response
• Know the proper PNR terminology
• Recognize the importance of the Level of Participation codes in the flight display
• Apply the Sabre entries to create a PNR by following the mandatory fields
• Perform the correct procedures to modify a PNR
• Know the relevance of having Sabre and airline record locators in the PNR
• Use the retrieval entries to reopen the PNR

OVERVIEW
This chapter provides an overview of the Passenger Name Record (PNR) which contains a client’s
reservation. It is important to ensure that learners will have a clear understanding of the mandatory
fields including other information needed to build a PNR.

TRAVEL TERMINOLOGY
Origin The starting point at which the passenger begins his travel on
a particular flight segment
Destination The ultimate end of the passenger’s journey as shown on the
booking and ticket
Departure City Point of embarkation

City Pair Combination of ORIGIN and DESTINATION

Minimum Connecting Time (MCT) The legal minimum time necessary (minimum 2 HRS) to
change planes at the airport for connection
Greenwich Mean Time (GMT) Universal point of reference in determining standard time;
also known as Zulu time, Universal Time (UT) or Coordinated
Universal Time (CUT)
Zulu Time The standard time used for flight operations globally. The
letter designator of this clock is Z
Class of Travel There are 4 common classes of service: First, Business,
Premium Economy and Economy Class
Airline Booking Code A single letter reservation code which represents both the
class of service and the type of fare
Stopover A planned stop (more than 24 hours)

Layover; Transit; Connection Period spent by a passenger at an intermediate point in


waiting for a connecting flight

TYPES OF FLIGHT SERVICE


Non-stop Flight A flight that flies from one airport to another without stopping.
There is a zero (0) indicator.

AIR AVAILABILITY
Sabre maintains availability on most airlines for flights up to 331 days in advance. All flights are obtained
from a Host Schedules Database. Connection points are pre-built and stored in Sabre through the
INNOVATA and/or airline database.
All availability formats begin with 1 followed by the date of travel, departure city and destination city.
You may also include a separator to indicate the type of availability that you want to use including the
preferred carrier.
Availability is displayed in Sabre by using either one of the following formats:
• Direct Access Availability (¤)
• General Availability (aka City Pair Availability) (¥)

DIRECT ACCESS AVAILABILITY


This type of availability allows you view the airlines actual seat database, on a read-only basis, thus it is
called Direct Access availability. The information is retrieved, reformatted and displayed in Sabre
format.
• Sabre will respond with ‘INVALID HOST’ if the airline is not a Direct Access participant
• Flights are displayed up to 364 days in advance
• Flight must be booked within 2 minutes else an AVAIL EXPIRED will appear when selling is made
beyond 2 minutes
• Booking must be saved/ended within 30 minutes
• Preferred carrier is mandatory in this entry

GENERAL AVAILABILITY
This type of availability allows you to view the available flights through INNOVATA database, a
company that maintains and markets an industry standard flight schedules database with over 900
participating airlines. Sabre fetches these essential information like which airlines operate between the
two cities, flight departure and arrival times, aircraft type and the seat availability.
• Flights are displayed up to 331 days in advance
• There is no 2-minute flight viewing limit
• Booking must be saved/ended within 30 minutes
• Preferred carrier is optional

LEVELS OF PARTICIPATION
The two or three letter code at the end of each line in the General Availability response, indicate the
level of connectivity of the airlines with Sabre. This agreement shows us how the availability of the
flights are displayed in the system and how the sold segment logic are being processed.

DCA (Direct Connect Availability)  Agents can use either Direct Access or General
DC (Direct Connect Sell) availability
 PNR sale tag for DCA and DC participants:
 /DCXX (where XX is an airline code)
 End the booking within 30 minutes
AT (Direct Access with  Agents should use Direct Access only
Answerback)  PNR sale tag for AT participants:
 /TAXX (where XX is an airline code)
 End the booking within 30 minutes
 If the system response is “INVALID HOST”, shift to

PASSENGER NAME RECORD (PNR)

A PNR is a record of client’s travel details including the agency contact information, the date and time
of reservation was made and by whom. It must contain the required information.
Once a PNR is created, the passenger information and the itinerary details can be updated. Any
changes to the PNR are automatically recorded in the PNR history.
Sabre system requires the five (5) mandatory fields (can be done in any order) to be present before it
allows you to save the booking.

PASSENGER NAME RECORD: ITINERARY FIELD
After you display the available flights, the next step is to select the desired flight that you want to book
to create an itinerary. This is called “booking” or “selling” the segments.
A reservation is an agreement between the passenger, the travel agent and the airline whereby a seat
is withdrawn from the airline seat database and set aside for the use of the specific person.

ITINERARY-RELATED TERMINOLOGY
Itinerary List of flights that a passenger is scheduled to take

Routing Term to identify the passenger’s flight itinerary

Segment / Leg / Sector Flight segment or auxillary segment of the itinerary

ARNK Arrival Not Known; used in Sabre bookings to fill in the gap
in the itinerary; there is a portion of the itinerary where a
passenger will not take any air service from one city to the
next
Married Segment Joined segments. It allows the airline to control inventory on
connecting flights being different on the origin to destination
than on the individual leg
Duplicate Segments Known as slide booking where multiple segments are
present in one PNR
Duplicate Booking Duplicate booking may be in two different forms:
 Same journey is booked by the client to different agencies
 Same journey is booked in one travel agency by different
consultants

TYPES OF JOURNEY
One Way (OW) Journey Trip that goes back to its origin city

Roundtrip (RT) Journey A flight that involves flying to a single destination and back to
origin city
Circle Trip (CT) Journey A trip that involves two or more than one destination

Open Jaw (OJ) Journey A trip where the next departure city is different from the
arrival city

BOOKING ACTION CODES
Status Code A two letter code used to identify the status of a booked
segment
SS – seat sold; sold from the status from availability display.
HK – Holding Confirmed; seat is officially confirmed (after the
booking is saved)
LL – waitlist; the desired flight is fully booked
HL – Holding List; seat is officially waitlisted; if and when a
seat becomes available, the airline will generate a different
status code through Sabre
NN – On Request; depends on the airlines link and the
number of seats available at a time of booking
PN – Pending Need; waiting for the airline to advise if the
flight is confirm or waitlist
DS – desired segment; used when creating an open-dated
reservation
UC – unable to confirm; the flight is closed for reservation.
 Agent should cancel any segments when this code
appears in the itinerary.

To create an itinerary, agent must book a flight from the availability response.

ITINERARY FIELD: OPEN–DATED SEGMENT

Open-dated segment is a booking with NO actual departure date, no confirmation or specific flight
number. It only uses fictitious date to arrange the itinerary according to date of travel. It is added in the
booking to qualify for fare computation and to include the open segment in the electronic ticket of the
passenger.
 The passenger will be the one to call the airline or travel agency to book the actual date
 Not applicable on some fares. Check the rules of the fare or call your IATA agent if this is
possible
 Must perform the availability entry before doing the entry below

ITINERARY FIELD: SEGMENT CANCELLATION

Cancellation is the process of removing one or more segment(s) in the itinerary due to changes. It is
suggested to display the PNR before doing the cancellation entry to ensure proper segment
removal.

ITINERARY FIELD: REBOOKING


The process of altering the booking due to changes in the flight number, departure date, booking class
or routing. Proper procedures must be followed to avoid segment duplication.
• Step 1: Perform segment cancellation (e.g. X1)

PASSENGER NAME RECORD: NAME FIELD
This field must contain the complete name of the passenger to be printed on the ticket. The name must
be entered just as it appears on a passport or the travel document.
• The number of names must equal the number of seats booked in the PNR (e.g. 1 adult or
child is equivalent to 1 seat)
• A special entry is made for infants not occupying a seat to inform the airlines that they will be
traveling. Infants must not be included in the seat count.
• DASH (–) is the function identifier of name field
• The last name (surname or family name) must have at least 2 characters (e.g. GO) and at
least one letter for the first name. For passengers with single character last name, call the
airline for instruction
• Sabre accepts 62 characters but will only display up to 58 characters in the name field.
However, some airlines may have character limitation and will not accept more than 29
letters
• Sabre will not accept punctuations of any kind such as hyphen (dash) or dot. Adding spaces
may be omitted as this will be counted as one character
• Do not include honorific title such as Senator, Congressman, Mayor, Attorney etc.

NAME FIELD: AGE MODIFICATION


All Filipinos going abroad are required to pay the Philippine Travel tax (PH tax). Those who will
purchase first class tickets are required to pay PHP2,700 while for business and economy classes,
collect PHP1,620.
• Passengers who are exempted from this tax are: OFW, seamen, foreign temporary visitors,
infants who are Filipino national, diplomats/government officials travelling on official trip.
They must secure Tax Exemption Certificate (TEC), Overseas Employment Certificate
(OEC for OFW) or Electronic Receipt (ERCPT for seaman). The foreign temporary visitors
must submit a copy of their passport with latest arrival record
• Passengers who can avail of the PH tax discount are: children (2 to 11 years old) who are
Filipino national, OFW dependents and media personnel. They have to secure a Reduce
Travel Tax certificate (RTT) to qualify for the discount
 Non-IATA agency must submit any of these documents to the ticketing agency (IATA

The ticketing field is used to store information about ticketing arrangement. It will indicate that the
passenger has a ticket or a deadline date has been established for ticketing.
• 7 is the function identifier of Ticket Option Field followed by TAW (Ticketing At Will)

• Sabre will place all bookings on Queue 9 based on the indicated date in the PNR. This will
give the travel agents time to review the PNR and will be reminded of the deadline

END TRANSACTION
After all the mandatory information are entered, the last step is to End the Transaction. This is the term
used which means to save the PNR. This is important to inform the airlines of the flight reservations
that you made.
• Upon End Transaction, Sabre will validate the content of your PNR (e.g. 5 mandatory fields,
including CHLD and INFT details)
• Any missing information (mandatory fields) will result in an error response. Agents are
expected to supply the missing information before trying to save again
