• Use the General Facts field to input the passengers contact details and other information
• Apply the proper command to update the General Facts field
• Know the difference between APIS and SFPD
• Endorse the PNR to another travel agency

OVERVIEW
This chapter provides an overview of what can be added in the PNR, known as the Optional fields,
aside from the mandatory fields PRINT. It is important for the learners to have a clear understanding of
the important details that must be added prior to endorsing a PNR for ticket issuance.

GENERAL FACTS FIELD
The General Facts field is used by the agents and the airlines for messaging purposes. When General
Facts are entered into a PNR, a message is automatically sent to the airline department which needs
the information.
General Facts are grouped into two (2) specific categories, the OSI and SSR.
• 3 is the function identifier of General Facts field
• *P3 command will display the complete list General Facts information (OSI & SSR)
• 180 maximum characters are allowed per entry (do not use special characters, symbols or
punctuations)

OTHER SERVICE INFORMATION (OSI)


An OSI is an international item that affect passenger handling but do not require any action or reply by
the airline. We use this format if the message is not urgent and provide helpful information about the
passenger (FYI messages).
• *P3O command will only display the OSI items
• Specify the airline code (e.g. MH) if you want to send the message to one airline or use YY if
you booked multiple airlines in the PNR
 Note: Do not apply CTCH & CTCB for Thai Airways (TG)

SPECIAL SERVICE REQUEST (SSR)


SSR is used by the airlines and agency to communicate regarding bookings. When your client
requests a special service , action is required by the airline. This request must be sent to the airline in
a SSR format.
• *P3S command will only display the SSR items
• Not applicable on itinerary with HL, HX, NO or DS status
• SSR uses 4-letter code keyword such as child date of birth (CHLD), infant details (INFT),
passport information (DOCS/P), adult date of birth (DOCS/DB), visa information (DOCO/V),
address information (DOCA/D), mobile contact (CTCM), email information (CTCE), refuse
contact (CTCR), other service request (OTHS) etc.
• Name association is required

IATA (International Air Transport Association) recommended the use of the standard SSR codes to
advice the email address and mobile contact of the passengers.

OTHER SERVICE REQUEST (OTHS)
Some airlines request more information when entering a SSR. OTHS uses a free flow message format
similar to OSI. This is applicable on a request that needs reply or action such as DALPO or request for
authorization to board for seamen.
• Use the full name of the passenger to link the request of the passenger
• Segment number may be specified to indicate the limitation of the request. Otherwise, the
service is assumed applicable for all segments/routing
• To delete an OTHS item, refer to page 5

ADVANCE PASSENGER INFORMATION SYSTEM (APIS)


The Advance Passenger Information System (A.P.I.S.) is an electronic data interchange system
established by U.S. Customs and Border Protection (CBP) for commercial airline operators. It
enhances border security by providing officers with pre-arrival and departure manifest data on
passengers and crewmembers bound to other participating APIS countries most especially the US and
Canada.
• *P3D command will only display the APIS or SFPD items
• APIS (or SFPD) is mandatory for flights within, to/from and transiting the US
• Air tickets will not be issued unless APIS (of SFPD) is present in the PNR
• There are several SSR codes that are approved to support the required date
 DOCS – passport information
 DOCO – visa information
 DOCA – destination address information
• APIS must be updated should there be changes in the itinerary
• Use the proper command to delete APIS
• Infant passport details must be associated to the adult companion

SECURE FLIGHT PASSENGER DATA (SFPD)
SFPD is a Transportation Security Administration (TSA) program, developed by the Department of
Homeland & Security (DHS), that require airline companies, through the help of travel agencies, to
collect the passenger’s name exactly as it appears on the passport, gender, date of birth and Redress
Number** (if applicable). This information is compared to a government watch list 72 hours prior to
departure. After the watch list matching, TSA will revert to the airlines with authorization to board.
Issuance of boarding pass will be suppressed by the airline once a passenger is identified as a **No Fly
or a **Selectee.
** Redress number - A unique 13-digit identifier issued by the Department of Homeland Security to
individuals who have been misidentified as being on the terrorist watch list. It is intended to prevent
future misidentifications in future travel by the individual.
**No Fly – A suspected person who is not permitted to board a commercial plane for travel in and out of
the US
**Selectee – A person who is selected to go through a more intensive screening process at the airport.
They must check in at counters where additional verification is performed by the airline staff. The
boarding pass will show SSSS (Secondary Security Screening Selection) or *S* which means “for
thorough search” at checkpoints.

Remarks field is used to store miscellaneous information in the PNR for internal reference only.
• 5 is the function identifier of Remarks field
• Use *P5 to display the Remarks field items
• WT item cannot be deleted but can be overridden
 Entry to delete a Remarks item 5<Line Number><Change Symbol> (e.g. 51¤)
• Information from this field will not be printed on the ticket and cannot be seen by the airlines
• Always inform the airlines through OSI when endorsing your PNR to another agency for
ticket issuance
• Reminders for the issuing agency:
 PNR can be retrieved using the Sabre record
 Cannot modify or update the PNR
 Cannot view the optional fields (General Facts and Remarks)
 Cannot void the ticket if the endorsement is switched off

TRIP CASE
Trip Case is a one-stop web and mobile traveler services platform used by millions of travelers globally
accessible via any web and mobile browsers. The mobile application is available for iPhone and
Android devices and it’s free of charge.
• Travelers are advised to sign-up with Trip Case to enjoy its full features (e.g. push flight notification,
online check–in or advance seat reservation)
• Travelers will be able to view the reservations such as flight, hotel & car including the electronic
ticket information
• PE is the function identifier to add the passenger’s email address
• Use *PE to display the email information

Instructions:
Refer to Chapter 2 exercise page 28. Retrieve the booking either by last name of the passenger or by
Sabre record locator. Remember to save each item (Receive, ER and IR)

Exercise 1:
Retrieve the booking of Gabriel & Adrian. Add the following in the PNR and make sure to save every
after modification/update.

a. Input your personal mobile number and associate it to Adrian


b. Gabriel’s home number in MNL is 731 4455
c. Input the email address of Naj (naj_jan@yahoo.com) and associate it to both passengers
d. Add the following contact details while in abroad
 Nadi – Sofitel Fiji Resort and Spa
 Port Vila – Crystal Palace Hotel
 Brisbane – Stamford Plaza Suites

e. Rebook the SYD-MNL sector 2 days later. Must be on the same airline and booking class
f. Send the booking to Naj’s email (refer to letter c). Make sure you email it properly

Exercise 2:
Retrieve the booking of Mr. Vikram and do the following:

a. Pretend that all airlines in the PNR have granted authorization to amend the first name of Vikram to
Anuar
b. Endorse your booking to IDC Travel (PCC H2M8). Make sure you inform all the airlines about the
endorsement
c. Advise PR (only) of Anuar & his wife’s document (passport, visa & address abroad)

HANDS–ON PRACTICE
Exercise 3:
Retrieve the booking of the famous celebrity. Add the following in the PNR and make sure to save
every after modification/update.

a. PR & KE require SFPD (date of birth) in the PNR. Add each SFPD per passenger. Provide your
fictitious date of birth and associate it properly
b. All of them will no longer book the ICN–TAS sector. They will also have to rebook the return (TAS–
MNL) flight 2 days after via the same airline & booking class. Make necessary actions to update
the booking
c. Inform all the airlines that the celebrity will bring fragile materials and they want to be seated near
the business class section
d. Add one mobile number and associate it to the road manager. Input also the email address of
personal assistant (mia.asstn@gmail.com)
