First thing's first! You will need to identify your processes.
Every business has (or should establish) processes for every
area of the business.

There are 6 Main Business Processes. Most businesses use


all 6 of these processes. However, if you're just starting out,
you may not have some business processes in place right
away, such as Human Resources or Customer Retention. You
should definitely have a Sales Process because this is where
you will track your Leads and convert them into paying
customers/clients.

Look at the following Business Processes, and determine


which ones you're already using, as well as the processes you
may need to implement. Remember, your business won't be
scalable until you have processes in place.

Your business may have several Operations Processes. There
are the processes to create your products, services, etc. You
may offer either products or services - or a combination of
both. Regardless, you will need to identify and/or establish
your Operations Processes.

Each department in your business may have several


Operations Processes. There may not just be one of each,
there could be several.

For example: ABC Car Detail Company has 10 locations and


offers a service that details cars but also sells automobile
accessories. They may have a Customer Service department
that handles the services and a separate Customer Service
department that handles the products/goods. Each of those
Customer Services Processes will be different. Therefore,
there will be two Customer Service Processes.

Take a moment to identify all of your current Operations


Processes. You will need this information later.

Be sure to compare pricing before making a decision on whether
you need a Zoho™ Bundle or not. A bundle is a collection of
applications that comes as a package.

To determine whether you need a bundle, check the pricing on


each Zoho™ application you need and total them together. Then
review the pricing for each bundle, as well as the applications it
includes and decide what's best for your business.

For example:
If you only need Zoho™ CRM, Zoho™ Forms, and Zoho™ Mail,
check the price for each of those applications, then add them
together to see if the price is lower or higher than Zoho™ One
(bundle).

My rule of thumb: If you're going to need more than 3 Zoho™


applications, then it will more than likely cost less to go with a
bundle. As your business expands, you'll already have access to
the other applications, without having to upgrade.

Now it's time to customize your Zoho™ applications!

It's often best to start with your CRM. This will either be Zoho™
CRM or Zoho™ Bigin. Think of the CRM as your main database. It
will house all of your Leads, Accounts, Contacts, Vendors, Deals
and more. By assessing your current system (if you're migrating
from another crm or from spreadsheets to Zoho™), then
determining which fields already exist in Zoho™, then creating
custom fields for any special or unique fields your business
needs. Pay close attention to the data types. When creating
unique fields in Zoho™, you'll need to make sure the data type
from your old system is the same data type in Zoho™.

For Example:
Let's say you have a drop-down field in your old system, you'll
want to make sure that custom field is also a drop-down field in
Zoho™.

If you are migrating from another system to Zoho™, I must warn


you that Data Migration takes patience. The data has to first be in
a format that matches the fields and data types in Zoho™, which
means there's a lot of data preparation that has to happen before
you can import data into Zoho™.

Our goal in this ebook, is to show you how to set up a basic version of
Zoho™ CRM (and supporting applications). In this section we will
focus on the CRM.

There are 4 main modules in the CRM that you will need to
understand. These 4 modules are the foundation of the entire
system. Many believe they don't need to use them all, but it's best to
use them all unless your process is unique in a way that makes any
one or more of these modules completely unnecessary.

Main CRM Modules:


Leads
Accounts
Contacts
Deals

Leads
In most cases, the Leads module is the starting point in the Sales
Process. All potential customers/clients must first enter your
system as a Lead
The Leads module is not typically used for employees, vendors or
contacts who are not potential customers/clients

*Special Tip*
The Leads module can also be used when you need to migrate associated
Accounts, Contacts, and/or Deals from spreadsheets or another system. Enter
the records as Leads, then mass convert to keep all components associated. This
is faster than entering Accounts, Contacts, and Deals then associating them with
one another.

Accounts
The Account is the Company if B2B (Business to Business)
The Account is the Household or First and Last Name of the
Customer if B2C (Business to Customer)
There should only be one Account for each Company or
Household, but there can be multiple Contacts (Individuals) under
each Account
*Special Tip*
Only add fields that pertain to the Company and refrain from adding too many
fields for Accounts. Keep it simple.

Contacts
The Contacts are individuals
To refrain from having duplicate Contact records, be sure to use a
unique identifier i.e. email address and/or phone number. Adding
the unique identifier and making it required avoids duplicate
records for the same Contact

Only add fields that pertain to the Individual and refrain from adding too many
fields for Contacts. Keep it simple.

Deals/Potentials
The Deals/Potentials are the possible transaction or purchase.
There should be a Deal for each time a customer makes a
transaction with your company
Using the Deals module (and the 'Amount' field) drives the KPI's
(Key Performance Indicators), conversion rates and analytics.
Although the transactions are also recorded in your Accounting
software, they should be recorded here as well. This is something
that can be automated with the help of a professional.
*Special Tip*
For repeat customers/clients, you do not need to re-enter them as a Lead and
convert them to a Deal. You can just create a Deal under the Contact and the
Deal will also appear under the Account associated with that Contact.

*More Special Tips*


When adding custom fields to any of the modules, be sure to select the correct
field type.

You will also need to update the Lead Conversion Mapping to ensure the data
from the Leads module flows to the Accounts, Contacts and Deals appropriately.

By default, there will only be one Layout and it will be labeled


'Standard'. You will only need additional Layouts in special cases.

And example of when you would need multiple Layouts is in the case
that you have a Referral program and need to enter Contacts that will
only be "Referrers" and not "Customers".
If you would like to display certain fields based on a specific field
selection, then use Layout Rules instead of creating a separate Layout.

onto the page. Pay close attention to the data types and make sure
they match the data you will import.

or capture Meetings/Events, Calls, and Tasks. Activities can be created

MAKE IT YOUR OWN

Most Zoho™ applications allow you to make the application your


own by branding it with your logo, company information, domain,
etc.

Here are some things you can do to brand your


Zoho™ applications:

Add your Organization information


Most of this information has to be entered when you first begin
using Zoho™. This will consist of information like your Company
Name, Address, Phone, EIN, language, Time Zone, website, etc.

Choose a Portal Name


When you first log into applications like the CRM, you'll need to
name your portal. (This name will appear in the URL of each
page.) It will have to be unique (the system will reject it if the
name is already taken) and you'll probably want to keep it short
and sweet.

In each application, there's a Settings icon. This is more than likely
where you'll see the ability to upload your company logo, which will

In Zoho™ Analytics, you can create Dashboards to match your brand.
You can include your logo and arrange components/widgets to
reflect the KPI's (Key Performance Indicators) and reports that your
team need to review on a regular basis.

Domains/Emails
In each Zoho™ application, you may have the ability to enter your
own domain and/or email address. There are default email
addresses provided by Zoho™ that can easily be replaced with your
own organization email addresses

ways to brand your unique system.

a basic setup of the Zoho™ CRM. If there are additional
applications you'll need, you can integrate and customize those
as well. Not all Zoho™ applications are as customizable as the
CRM. For example, the accounting application, Zoho™ Books, isn't
as customizable simply because it is accounting software and has
to have limits to maintain accuracy.

But don't stop here! Continue to build your system as you see fit.
You may need to build in automatic email replies, set up
automated tasks and reminders, design reports, and much more.
