CHAPTER I

Introduction

In our life today, computer is one of many inventions that

greatly affect our way of living. In fact, it is noted as an essential tool

in many areas including business, government, industry, sciences,

education, school, home, and in almost any company and

establishment that existed.

Student record management system is an environment

where all the process of the student in the institution is managed. It is

done through the automated computerized method.

This system saves the time of the the administrator. It

includes process like registration of the student’s details, assigning the

department based on their course and maintenance of the record.

We researchers are planning to make an Student Record

Management System for a student and the company that we choose is

Asian Institute of Science and Technology (AISAT), Quezon City. An

Student Record Management System serves as a Record log that is set

up as a computerized database.

Background of the Study

In 1998, the brink of the emergence of Technical-Vocational

education in the Philippines, Mr. Ferdinand F Beltran spearheaded the

establishment of Automated Systems and Technologies Incorporated in

Pampanga as an answer to the need of people for cheaper education

that will give enormous amount of skill-based instruction and

experience instead of pure theories alone.

The institution thrive as they cater the clamor of families that

are incapable of sending their children to high rising institution that

offers great courses at a great price. In November 2006, Asian

Institute of Science and Technology (AISAT) came into life as a trade

name for ASTI. The change in name is in response to the growing

population of the school and a marketing branding strategy of the

institution to sound more formal and to give more meaning to it being

an “educational institution” rather than just an institution itself.

The transition from ASTI to AISAT did not alter the founder’s

compassionate vision of operating a “skills and values-oriented

educational institution “committed to help in the nation’s development

through education using international standards. It continues with its

tradition of training students to acquire adequate knowledge and

relevant skills meeting the needs of business and industry.

In keeping up with the founder’s commitment to help provide

first class education with international standards, campuses were

established on various dates in strategic places in Luzon.

Currently, AISAT gives quality technical-vocational education to

students in Dau Pampanga, Baliuag Bulacan, Fairview Quezon City and

Dasmarinas Cavite. The school offers Associate degree in Computer

Science, Computer Technology, Business Information Management and

Hotel and Restaurant Management.

AISAT believes that true success is achieved through discipline

and hard work. This is the reason that it gives just as much

importance in instilling discipline and developing resourcefulness,

perseverance and positive work attitudes in all students through

AISAT’s values education seminars.

The school is now fostering a curriculum that will drastically

change standard tech-voc teaching strategies and the curriculum is

responsive to the needs of the students and the school prepares them

for industry work rather than for unemployment.

The great team of instructors coming from their own industry

equipped with experience and skills in their line of expertise continue

to harness the potential of the school’s growing population. AISAT

continues to push forward to be the leader in Tech-Voc Education in

Cavite.

Rationale

Student‘s Records are taken by using Old System given by the

Admin office members in AISAT Fairview, Moreover, it is very difficult

to Identify one by one the students in a Very large Number of

environment with distributed branches whether the authenticated

students are actually Active or not. Unlike Student Record

Management System it is very to use, you will just input students

information and it will automatically save in database.

Student Record Management System is a system which will

record the Status or Information of the student whether he/she is.

Recording in the School. In this paper we propose a Student Record

Management System.

Statement of the objective

General objective:

The researchers conducted this system to help to the lives of

admins in Aisat Fairview campus easier by making student record

management system marking procedure smoothly.

Specific objective:

Student’s record management system consists of:

 Search, edit, and deletion of records

 Allow admin to identify the records and information of the

students who are registered information in the school.

 Secure the information and record of the students.

 Change the currently old record system Into new record system.

Scope and delimitation of the study

The researchers conducted this study about student record

management system in Asian institute of science and technology

(AISAT)–Fairvew campus.

Significance of the Study

The study is beneficial to the following:

School

Implementing a student record management system will help to

the school to manage record and organize student’s information in

database.

Admin

The school administrator can easily indentify and find the

student’s Record.

Students

It helps the student to secure their information and easily

identify their Record.

Software Features

Student record management system is a system developed

for student Record in AISAT. If facilitates to access the Student Record

And Information of each student in the School. The information

issorted by the operators, which will be provided by the Admin office.

Student record management system system is designed in

order to provide Administrator and students in Asian institute of

science and technology (AISAT)–Fairvew, an opportunity to have an

Review of Related System:

The project entitled “Students Record Management System” is a

information compilation system that will be installed in the admin’s

office. The said application was written in Visual Basic 2012 and SQL,

it can be access by users at the same time using the LAN or local area

network.

Advantages of Automated System

The advantages of automated systems are the following: Speed – they

can process information much more quickly than humans; Repetition –

Automated systems can do the same task over and over again without

getting bored, needing breaks or making mistakes; Accuracy – They

can do very detailed work and follow precise instructions without error;

and Efficiency – the quality of the work done is always of the same

standard being materials are not wasted due to human error.

Basic Requirements of an Electronic Record Keeping System

An electronic recordkeeping system must be able to: collect, organize,

and categorize records; and facilitate the preservation, retrieval, use,

and disposition of records. On integrity, the system must ensure the

integrity of the records it manages and be able to: minimize the risk of

unauthorized alteration or erasure of the records, allow only

authorized personnel access to the records in the system, allow only

authorized personnel to perform administrative functions such as

creating or deleting directories, altering the parameters of metadata

fields, and assigning access rights. On retrieval of records, the system

must retrieve records and be able to: permit easy retrieval in a timely

fashion; ensure that records are accessible by individuals who have a

business need for information in the records; provide a method for all

authorized users of the system to retrieve desired documents, such as

an indexing or text search system; and permit retrieval of both

individual records and files or other groupings of related records.

Benefits of a Well-Designed Automated Student Record System

A well-designed automated student record system will reach more

than teachers and administrators. It will also benefit the students,

parents, community, legislators, and others by providing information

on the functioning and success of the education system. The

Records that provides Statistical Reports and Rosters

According to University of North Carolina (2012) the institution is using

a Student Academic Information Datamart (SAID) it is a data mart

storing historic student records from the Student Information System

(SIS). The data mart is implemented to satisfy the growing needs for

specific data and information about many different types of academic

information. The Student Academic Information Datamart (SAID) has

data up to Summer 2012 and new data will no longer be loaded. The

ITS Student Data Warehouse will contain student enrollment data

beginning in the Fall 2010, this database is totally controlled by ITS.

Student Records

The University of Wisconsin Madison Student Record main purpose was

to ensure the following: established record keeping requirements,

protect the University’s liability, provide institutional accountability,

and safeguard the academic interests of students, to insure that

records are retained for a sufficient period of time in order to meet

administrative, audit, legal, research, and historical needs , to

establish uniform retention and disposition of student records, to

promote cost effective and efficient management of records and

information, and to provide campus offices with the legal authorization

to dispose of records on a routine basis. The creation, maintenance,

retention and disposition of student academic information is a core

function within higher educational institutions. Student records identify

the academic institution’s official student body, document their

progress through a course of study, show degrees and certifications

earned, support applications to other institutions, support job

applications, and frequently are referenced as historical records.

Student records and record keeping supports and /or documents all

the administrative activities relating to the admission, attendance,

advising and counseling, completion of coursework and requirements,

and ultimately graduation and the attainment of a degree.

Research Methodology

This chapter discussed the methods used in the collection and analyses

of data. The methods focus on the experiences of people involved and

attempt to understand the reasons behind certain behavior

descriptions. The evaluation was carried out using data collection

techniques and interviews. Generally, we used Spiral Method for the

whole study.

Planning Phase

This part is the initiation part where the research study was

started. In planning, we start in searching where we conduct our study

and we decide to conduct our study in AISAT Fairview. In planning, it

includes analyzing, designing, software development, testing, and

implementation.

Analysis Phase

All possible requirements of the system to be developed are

captured in this phase and documented in a requirement specification

document.

Design Phase

The next stage of Spiral Development Method is the Design

phase. During the design phase, programmers and system designer

start the simple design of the software and system to be able to

deliver each requirement.

Development Phase

The developed system was built based on the design created an

early phase and through the use of the developed programming

language which is Visual Basic.net 2012 and the used of SQL Server

which serves as database management system.

Coding Phase

In the development of the system, we made use of Microsoft

Visual Basic Studio 2012 for encoding the source code of the system,

in order to be accurate and fast acquisition of data and information.

Testing and Maintenance Phase

All the units developed in the Testing phase are integrated into a

system after testing of each unit. Post integration the entire system is

tested for any faults and failures.

Maintaining the cycle that deals with the change over to a new

improved system. Final changes and modifications were incorporated

in the new system at this stage.

Implementation Phase

With inputs from system design, the system is first developed in

small programs called units, which are integrated in the next phase.

Each unit is developed and tested for its functionality which is referred

to as Unit Testing.

Data Gathering

The first step used is to provide approval letter for the Admin

Office in Asian Institute of Science and Technology – Fairview Branch

to conduct interview. After that the admin is called to talk with the

researchers to explain the project system and ask for the data fields to

be included in the system. And lastly, the administrator approved the

system that the we proposed to them.

Description of the Proposed System

The Student record management system for AISAT Fairview. is

developed for the Record Management of Asian Institute of Science

and Technology - Fairview. The system is a window – based system

that has the function to record the information of the students. The

proposed system covers the problem of using the Old record

management system This proposed system will benefit the school for

its development and improvement by using new technology and

User Manual

Here’s the procedures how to use this system, and know the

simple operation method, can you read the manual below.

1. Run / Start: Run / Start the system

2. Registration: Create Account by clicking Link Label and type

username, password then click the submit button if not want

create account click the cancel button this is will be back in login

form.

3. Login: Login the username, password and then choose on the

combo box what Usertype to and then click the login button

redirect to the main form and if not click the cancel button to

close the system.

4. Main Form: Now its ready to put student information in this

form.
