Report Writing
A report is a written or spoken account of something witnessed, heard, seen, done, studied or
work carried out or of an investigation. It may be an informal report about an accident or a lost
item or a formal report about the activities of an institution such as a school or a club or an
annual report of a business firm.
The basic function of a report is to inform people about events that have taken place. It gives a
detailed account or description of such events.
Reports can be categorised in two; major and minor reports. The basic difference between a
major and a minor report is that a major report has sub headings while a minor one does not.
Examples of major reports include: Geography Project, Environmental Impact Assessment,
Audit, J. .E. T. S to mention a few.
Examples of minor reports are: Police, School incident, Newspaper, Eye witness to name a few.
Although there are different types of reports, the features below are common:
Title which must be brief and say what the report is all about.in block letters e.g. A
REPORT ON THE FIGHT IN THE BIOLOGY LABORATORY ON 7 TH
SEPTEMBER, 2023.
Introduction summing up the major facts of the events indicating what the report is
all about by answering ‘wh’ questions (i.e. What happened?, When…. ? Where …?
Who..?
Main body- must give details of the report in paragraphs (each paragraph to deal with
one main idea), the information must be precise clear and relevant.
Write in third person (s/he it or name) unless it is an eye witness account then the
pronoun I can be used.
Use the past tenses
Use reported speech
Give a step-by-step narrative
Be brief and to the point
Avoid language which is personalised
In the conclusion, put recommendations in number or paragraph form
Indicate name and designation (title) of the writer.
Ending:
-what happened?
