PERSONAL BUSINESS DOCUMENT


In this chapter, namely Personal business documents, we discuss personal letters which are
the most common and very easy to understand for correspondence. These letters have been
divided into 3 categories:

1. Letter regarding appreciation

2. Letter of congratulations

3. Letter regarding employee requests.

In these 3 categories, we will discuss the uses of each and how to write well and correctly to
show and provide training to employees and business people.

1.Letter regarding appreciation

As we know, letters of appreciation for ordinary employees can be written formally,


informally or semi-formally. The purpose of this appreciation letter is to give appreciation to
employees either in the form of work appreciation or achievement in a goal that has been
achieved significantly. This appreciation letter can also be given to employees whose
performance is effective and efficient as an expression of gratitude to the employee. By
giving letters of appreciation to employees you can increase employee morale and can even
give more to your company. If you are the Manager or CEO of a company then you can use a
letter of appreciation as a way to thank your employees.

Not just a piece of paper that says appreciation to employees. In this modern era, companies
usually give a piece of appreciation paper packaged in thick paper which we usually call an
appreciation certificate. The certificate contains the name of the award recipient, an
explanation of the achievements achieved, and the signature of the company director.

2. Letter of Congratulations

This letter of congratulations is usually written by a company to employees in cases where,


for example, there is a job vacancy opened by the company and the company will eliminate
several people who register for the job vacancy. Of the several people who register, of course
the company will not accept everyone who submits themselves through selection, so the
Director of the company will take several people who are qualified in the field of work or
profession that currently requires human resources. If the company has determined who will
occupy the vacancy, usually the management of the company will send a letter via e-mail
containing a letter of congratulations for being accepted as an employee at the company.

This letter of congratulations is not only used when new employees are hired. You can use
this congratulation letter to give meaning to employees so that employees also feel
comfortable working in our company. For example, when an employee gets married or has
just had a baby, the meaning in the letter of congratulations is not only for the work element

3. Letter Regarding Employee Requests.

An employee request letter is usually given by HRD to the CEO or Director of a company.
For example, boutique companies lack human resources in marketing and production heads.
Due to the company's lack of human resources, there are many errors in the production
process and product sales. So HRD will send an employee request letter to the Director to fill
in the blanks to level an organization so that the process will produce good results for the
company.

Not only that, this employee request letter can also be used to request collaboration with other
services. For example, company B wants to propose a collaboration with the aim of each
company gaining large profits. Or this employee request letter can be used by employees to
request permission for leave, whether maternity leave, annual leave or study leave.

company to allocate all forms of production to obtain large profits, I as HRD of the company
respectfully ask that you consider providing additional employees to the company by fill the

Production. This aims to ensure that all forms of production that will be provided are
effective and efficient.

Answers
1. Personal business documents are very important in a company, one of which is to
coordinate all forms of mistakes and achievements within the company organization
so that there are no communication errors from superiors to employees. Having a
personal business document can also be used to solve a problem. For example: An
employee sends a letter requesting maternity leave to the director, then some of the
work of the employee who is on leave can be taken over by someone addressed
directly to the director, of course with an agreement that can benefit each other.
2. In a company, it is very important to give awards or appreciation to employees in
order to establish good cooperation between superiors and employees. By giving
employees appreciation, employees will feel comfortable working and will provide
good service and performance for the company.
3. Usually letters of appreciation are given to employees who have achieved great
achievements and nowadays companies give letters of appreciation with a piece of
paper with their name, achievements and signature from the official company or what
we usually call an appreciation charter. Meanwhile, congratulatory letters are usually
informal and direct, such as congratulating employees who are getting married and
are not given a certificate of appreciation

5. To study personal business documents in a company, both superiors and employees, it


is very important to master personal business documents because this is very
important to prevent things from happening that cause communication errors for the
company organization and to create a good work environment.
