INTERVEIW QUESTIONS.

1. Tell me about yourself?

Thank you for giving the opportunity to introduce myself, ok

I will start with my education background first. I have
completed my bachelor’s degree from Electrical engineering
from JNTU Hyd.
After completion of graduation, I started my carrier as a
HVAC Maintenance engineer in Franklin Templeton. I
worked for around 7year, my roles and
responsibilities were to look in maintenance activities
of various equipment’s like chillers, Air handling units,
Split ac. there I have an end user experience of year
in SAP.

ORGANIZATION STRUCTURE FOR PLANT MAINTENANCE

• Maintenance Plant: A Maintenance Plant is an organizational
unit within Logistics, serving to subdivide an
enterprise according to procurement, maintenance, and materials
planning.

• Maintenance planning plant: Maintenance planning plant is a

logical location where the maintenance activities on
technical objects are planned. The Maintenance Planner Groups
who plan and monitor the maintenance activities are defined
at the maintenance planning plants.

• Maintenance planning plants determine if the

maintenance planning is centralized, decentralized or partially
centralized

• If maintenance is centralized, then there would be one

Maintenance Planning Plant for all the Maintenance Plants. if it
is decentralized, then there would be a Maintenance Planning
Plant for each Maintenance Plant. if it is partially decentralized,
then there would be Maintenance Planning Plants, looking after
a few Maintenance Plants each

DIFFERENCE BETWEEN PLANT SECTIONS AND

Locations : are different areas in a plant where the equipments are
located.
Locations are used for informative assignment only. We can only
use Locations as a match code or as parameter criteria in reporting

• Plant section : Plant sections are the part of production areas

divided into sections within a maintenance plant. These are
subdivision of maintenance plants.
• Machines or sets of machines that are represented in the system
as pieces of equipment or functional locations are installed in
plant sections.
• We can indicate the place for which a maintenance task was
requested with the plant section. We also, can establish a contact
person for Plant Maintenance using the plant section. Plant
sections are assigned to Maintenance plants

• Maintenance planner groups : A group of employees

responsible for planning and processing maintenance tasks in a
plant. Planner groups or Maintenance Planner groups must be
defined separately for each planning plant

• Work Center: Work Center is an organizational unit that

defines where and when an operation must be performed.
• The Work Center has an available capacity.
• The activities performed at or by the Work Center are evaluated
by charge rates, which are determined by Cost Centers and
Activity types.
• Centers and Activity types are defined and detailed in Finance &
Controlling Module. Work Centers can be: Machines, People,
Production lines or Groups of craftsmen.

2. Define Object type ?

1. Functional Location:
Functional Location (FLOC) is an SAP concept that
describes where an equipment/asset is located logically.
Functional locations are built in a hierarchy so that a user
can start at a general location and drill down to a specific
location.
Functional Locations are a basis for organizing Assets
logically, facilitating search for Assets and as a roll-up
mechanism for reporting

spare parts . for Example : a wheel , which comprises of
tyre , tube , and a rim .

5. How Can U Link Material Bom To Equipment

We Can Link A Material Bom To Equipment By
Construction Type Feild In The Equipment Master
Record .
A Material Number Is Enterd In The Construction Type
Feild Can Access The Material Bom To Equipment
6. Measuring Point & Counters:
Measuring points are the physical and/or logical
locations at which a condition of a technical system is
described,
(for example, the coolant temperature in a nuclear
power station after the coolant has left the pressure
vessel, or the number of revolutions at a rotor shaft of a
wind-driven power plant).

Measuring point object : IEQ for Equipment

: IFL For Functional Location
Measuring Point Category : M Measuring Point
: U Measuring Position
We Tick (check box) Measuring point as Counter
COUNTERS : A type of measuring point, where a
continuous reading is recorded.FOR EXAMPLE :
ENERGYMETER READING , ODOMETER
READING
COUNTERS ARE TAKEN IN REGULAR
INTERVALS
Measuring Document :
Measurement readings describe a
condition at a measuring point at a
particular point in time, and represent
the transaction data for measuring
points in the SAP System. They are
documented in the form
of measurement documents
7. Class & Characterstics:
• A class (t-code CL02) is a collection of
characteristics (CT04).
• A class is assigned to an object, such as Equipment
or Functional Location.
• Each characteristic in the class can be defined as
text, character string, date etc. and for each object
you assign the class to, this will allow you to hold
additional values for each of the characteristics.
• Typically in PM it is used to store additional data
e.g. technical data such as the voltage, capacity,
standards compliance etc
8. Task kist :
Task lists are set of operations to be performed in
sequence to carry out a maintenance activity.
Task Lists are used
1. To create Operation lists in maintenance orders
2. To Schedule preventive maintenance orders

 Task list Keydate is important in generating

maintenance orders .
Task list key date Importance

IA01 – Equipment Task list

1. To create operations list in Maintenance order :

2. To Schedule Preventive Maintenance orders .

9. Catalogs :
Catlogs is used in various business process to capture the
technical information related to maintenance history in the
form of codes . we can store catlog code and describe
them in catlogs .
Ex for catlogues are 1) damages 2) cause of damage 3)
object parts 4) tasks 5) actions

10. Permits : For some technical objects , certain

regulations or conditions must be taken into account
when you use them or prformoring maintenance work ,
Fire permits
Welding permits
Drivers licence for heavy cranes,
Fire protection permits
Technical inspection certificates

11. Serial numbers :

12. Warranties : A warranty is a commitement from the
manufacturer, supplier seller to a coustome to provide
services that are not billed ,or partially billed for a
defined period of time
Ex vendor warranty ( warrantee, inbound )
Coustomer warrany ( warrantee ,outbound)
12 .PARTNERS : partners are usually involved in processing
notification are orders
Example coustomer , vendor ,contact person , user .

4. What is equipment master record?

1. Equipment master describes the specificons of
equipment , and it has attributes like manufacture,
model , make , serial number ,status , design
specifications , size , weight .
2. Examples of equipments could be machinary ,
Production Equipments

5. What is work center ?

The Work center usually represents one person or a

department, responsible for ensuring that the maintenance
work in an order is executed

6. What is the role of workcenter and where it is used?

1. Costing can be determined based on the standard
values specified for the activity types
2. Scheduling can be done for the operations in
maintenance orders.
7. Can you explain General maintenance order/can u explain
PM cycle?
When maintenance is required we create notification and if
spares and services are required we create a work order
and will plan the things like spares and services required
and the duration for carrying out the maintenance activity ,
the maintenance supervisor will release the work
order ,then technicians will go and perform the maintenace
activity , after completion of work they do Time
confirmations, ( plan vs actual ) then will enter the parts
damage and will techo the order , after TECHO, THE
COST WILL BE SETTLEED AND FINALLY
BUSINNESS CLOSURE

8. Can you explain breakdown maintenance?

Breakdown process begins with creation of Malfunction
Notification (M2)(iw21) . In the notification we provide
the details such as equipment that is not operational ,from
notification , we create a breakdown maintenance order
and we will plan the things like Labour hours , labour cost
and all the materials that are required for maintenance
activity , withdraw the materials from the stores to
execute maintenance activity , then we will confirm actual
labour hours and then technically complete the order and
finally we do settlement of order and business Closure .
MANDATORY FEILDS IN BREALDOWN
PROCESS:
MALFUNCTION START DATE :
MALFUNCTION END DATE:
BREAKDOWN INDICATOR :
Breakdown duration= malfunction end date –
malfunction start date.

9. What is preventive maintenance?

we carryout preventive maintenace to increase the overall
efficiency of an equipment and also to avoid unexpected
breakdowns .
Preventive maintenance is of 2 types
1. Time based and
2. Performance based

TIME BASED : In Time based first based on the

requirement we create stratergy then we create task list
we create a maintenance plan and Schedule the plan
based on the call scheduling parameters , the orders will
be generated , once the order will be genrated followed
by order release, time confirmations, techo and the
settle the order and business closure .

1. Scheduling parameters in the Maintenance plan.

Call control
Call Horizon: with help of call horizon we can define when
order should be generated , For EX:- if call horizon is 100% and
cycle length is 30 days ,the next call date will be after 30 days
scheduling period: the complete period of maintenance plans.

Scheduling indicators
Time: for every 30 days order will be generated
Time key date: maintenance order will b e generated exactly on
particular date of every month .
Factory calendar: system will only consider the working days of a
company excluding the holidays
Completion requirement check box :
start of cycle: decides when the cycle should be started.
date determination
:
shift factor early completion
shift factor late completion
tolerance .

Difference between Start of cycle ,Start in Cycle and Manual

call?
Start of cycle: From what date the Maintenance plan should start
Start in Cycle : Start in cycle is used in STRATEGY plan.
Manual call: Manual call" allows you to include additional dates for
Maintenance call without affecting normal scheduling

Performance based : MEASURING COUNTERS CREATE ,

THEN WE WILL INTIALSE MEASURING
DOUCUMENTS .... we assign MEASURING COUNTERs in
maintenance plan .

MAINTENACE PLAN IS OF 3 TYPES

SINGLE CYCLE PLAN: is Used when there is single
frequency
STRATERGY PLAN: stratergy plan is used when there are
multiple frequencies
MULTIPLE COUNTER PLAN: is used when there are
multiple dimensions like 200 hours and 1000 kms . in
multiple counter plan we use logical operating hours , and / or

CALIBARATION PROCESS
Can u explain Calibaration Process?
In Calibration process the pre requisite will be assigning
inspection type to Order type(as 14). Then we create
Master Inspection Character and Sampling procedure.
Then we create Task List, here we select 300 QM category
for Equipment and 310 for Function Location and assign
Master Inspection Character and sampling procedure in
task list.
We create work order, and adopt the Task list here.
When the Order is released inspection Lot will be
generated followed by results recording (QE17) and usage
decision (QA32)
FOLLOW UP ACTIONS IN CALIBARATION ORDER
Refrubrishment Process :-is servicing of defective spares to
bring it to a Workable condition. Refurbished spare parts are
parts that can be repaired either internally or sent out to be
repaired by an external vendor. The parts are then placed back
into inventory for future use. This process is necessary for
parts that are no longer commercially available and for parts
that can be overhauled and re-used at a fraction of the price of
a new item

Integration
For mapping of refrubrishment business process needs close
integration between Material Management (MM) and Plant
Maintenance (PM) modules. Needed major pre-requisites are
as follows:
Prerequisites
 A material master record must be created in the system for the
repairable spares.
 Unique identification is only possible if the individual pieces
of material have been serialized.
Split Valuation functionality needs to be configured well
and should have three valuation types
 New
 Refurb
 Defective

Serialization profile needs to be configured.

Detailed process:
4.1 Internal Refurbishment: Major Steps:

 This Process starts with to bring the Defective Material

to stock – Maintenance order created with quantity -1(or
Movement type (262) and Good Issue against
reservation/Order.
 Defective Material will be issued against Reservation
 Maintenance team will complete the work – They will do
Time confirmation and issue the needed material to
complete the refurbishment
 Good receipt will done for Refurbished material, so
material will be available in stock for issue
 Last step will be TECO, Settlement and Close of said
Refurbishment order

4.2 External Refurbishment: Major Steps

 This Process starts with to bring the Defective Material

to stock – Maintenance order created with quantity -1(or

Movement type 262) and Good Issue against
reservation/Order.
 Manual Subcontracting Purchase requisition needs to be

created with Valuation type Refurb

This Purchase requisition can be created automatically
through Refurbishment Order however one
BADI(BADI_DIAD_GOODMVT_1) needs to implement for
said functionality.
 Create Subcontracting Purchase Order from Purchase

Requisition
 Defective Material will be issued to vendor as Material

Provided to vendor as Movement type 541

 Good Receipt will be done for Refurbished material, so
stock will be generated for issue
 And if Purchase requisition is created through
Refurbishment Order, then Order needs to be TECO,
settled and Closed

1. Define system status and user status ?

System status: A status the SAP System sets internally as a

part of general status management.
This status tells the user that a certain business transaction
was performed for an object
User status : user status is defined by user .

2. Scheduling of an order ?
Scheduling is arranging the date and time and resources
and materials required for planning the operations to be
done in a work order
Scheduling Types :
1. Forward: In farword scheduling start date will be
given an end date will be(getting decided )
calculated by the system.
2. Backword : In backward scheduling end date will
be given and start date will be (getting decided )
calculated .
3. Current date :
4. Only capacity requirements:

INTEGRATION
MM-PM Integration:

If we require spares and services we interact with MM Team.

There is 2 types of spares procurement. Internal and external

procurement.

1) For internal procurement , Item category (L) , goods issue will be done
against the reservation.

2) For external procurement , Item category (N) , PR will be generate

followed by P.O. Goods receipt against the P.O.

3) Forexternal services PR will be generate followed by P.O. Goods receipt

against the P.O.

Another integration is BOM - Bill of Material. With Equipment BOM, you

can create a list of material through which equipment is created or in
other words you can mention the spares that you may require during the
maintenance of the equipment.

SAP PP: If we have capacity planning we do interact with production

Team.
For that first in equipment master we assign production work Center, and
In the order header level, the system condition we mention as 0 that is
not in operation. So when they are creating production order, when they
are doing capacities check get a pop up stating that work Center is
over loaded. And in planning board (CM 25 ) it shows conflict
between PM order and Production Order

SAP QM: In calibration process we do integrate with QM module.

We assign inspection type (14) to Order type,So after release the
order inspection lot will be GENERATED

SAP CO: Activity Based costing calculations of Labour cost for Work
Order.
Work Order settlement – Settlement Profile.
Cost Analysis reporting.
SAP FI: linkage of asset number in the equipment master record.

Asset equipment linkage.

Asset equipmentsynchronization.

SAP PM-CO Integration

1. Activity Based costing calculations of Labour cost for

Work Order.
2. Work Order settlement – Settlement Profile.
3. Cost Analysis reporting

PM& PS: WBC element and network assign in addition Tab of

order.
And in settlemnt of order we do enter WBS element .

Enhancements :

1. Recently I had implemented 1 user exit

User Exit ( IMRC0001)
Business wants the malfunction notification to be
generated when the measurement document reaches its
threshold value.

IF BUSINESS HAS A REQUIREMENT:

Will Check Wether It Is Possible With Standard Sap ..If
It Is Not Possible In Standard We Will Analyze and Try
To Bridge It With RICEFWS .
Recently my user came with an requirement that People
are forgetting to do TIME CONFIRMATIONS and
directly they are doing TECHO.
Business asked us to RESTRICT TECHO if there are
NO TIME CONFIRMATIONS .Then i have analyzed
and after searching in social website and after doing lot
of analysis , then i came with a solution that We can
implement a user exit(IWO10004) untill and unless the
system status is CNF ...Techo cannot be possible .
If a person trys do techo with out doing Time
confirmations then they will get a POP-UP stating that
(ORDER CANNOT BE COMPLETED BEFORE
REACHING CNF STATUS) confirmations are
missing .Then user will do time confirmations and then
they will do Techo .So its a reminder for users and also
system will not move further .
