EQUIPMENT REGISTER
MAINTENANCE DEPARTMENT
FUNCTIONS AND ORGANIZATION
A maintenance department is expected to perform a wide range of functions
including:
Requires more time getting to and from the work area or job
No one individual becomes totally familiar with complex hardware or
equipment
More difficult supervision because of remoteness of maintenance site
from the centralized headquarters
Higher transportation cost due to remote maintenance work
THE EQUIPMENT REGISTER
Introduction
Many organizations only have a general idea about their equipment. They may
not even know the amount of equipment they have of a particular type, let
alone the precise characteristics and requirements
What is an Equipment Register?
An Equipment Register is a system which records all types of plant and
equipment and its characteristics. Each piece of equipment will have a unique
identification code which will be employed in the following areas:-
1.A. Identification of company's assets.
B. Location and function of all critical plant and equipment (i.e. no
standby).

2. Location and function of all independent plant and equipment,
commissioned or non-commissioned.
3. Identification of all system standby plant in the event of system failure
(installed).
4. Identification of all standby plant not installed i.e. Pump and motor mounted
skid.
5. Identification and location of redundant plant and equipment i.e. plant no
longer utilized by production or maintenance.
6. The establishment of a planned maintenance system common to all operating
companies which will include the following:-
(A) Annual overhaul schedules
(B) Preventive maintenance inspection schedules
(C) Lubrication schedules

7. The establishment of spare part requirements "minimum and maximum stock
holding" as applicable to all independent plant and equipment.
8. "Job Planning" - engineering standards and material standards.
9. Written on the maintenance work order to communicate to the repair man
which equipment he is to work on.
10.Used to establish a maintenance service schedule for the equipment.
11.Serves as an account number to collect costs incurred by the equipment.
12.Identification of a data base record where information about equipment
performance and costs are recorded
13.Identification of equipment in management reports.
14.Identification of equipment in technical and cost studies.

15. Inter-company standardization i.e. plant and equipment management and
staffing levels.
16. Identification and location of common spare parts and equipment
applicable
to all companies within the organization.
17. Spare stock Capital Cost Factor.
18. Common statutory inspection requirements.
19. Inter-company comparisons i.e. performance and production costs.
20. Identification of training requirements and the establishment of training
facilities.
21. Establishment of necessary safety programs, and the instigation of
Statutory Inspection schedules i.e. Pressure vessels and safety equipment
and plant.
22. New project plant and equipment standardization.

The operating company or companies will use common policies and procedures for
equipment identification and will consist of the following codes:-
• Company or companies.
• Major location (field, operating area, plant)
• Minor location (cost centers within the major locations).
• System fuel gas, cooling water, crude collection.
• Equipment type (diesel engine, gas turbine).
• Process function (sequential tag number).
• Redundancy A.B.C.

Resulting F.I.N. Number = 01.03.01.G.G.T.G.(A)
We recommend the following structure for S.P.I.N. Code:-
(A) Equipment Type - same as designated in the F.I.N. Code
(B) Sequential No. - 00001.99999
Code Description
