**Requirement Gathering Tools**

For our project of developing a College Campus Event Management System, we used the following
tools to gather requirements from the stakeholders:

**Questionnaires:** We designed and distributed questionnaires to potential users of the system,


such as students, faculty members, and event organizers. We used both open-ended and closed-
ended questions to elicit different types of information. For example, we asked open-ended
questions like "What are the main challenges you face while organizing or participating in events on
campus?" or "What features would you like to see in the system?" We also asked closed-ended
questions like "How often do you attend events on campus?" or "How satisfied are you with the
current event management system?" We used online platforms like Google Forms and Survey
Monkey to create and share the questionnaires.

**Interviews:** We conducted interviews with some key stakeholders, such as the college
administration, the student council, and some event organizers. We used semi-structured interviews,
where we prepared a list of topics and questions to cover, but also allowed for flexibility and follow-
up questions. We used video conferencing tools like Zoom and Skype to conduct the interviews
remotely.

**On-site observations:** We visited some of the venues where events take place on campus, such
as auditoriums, classrooms, and open spaces. We observed how events are organized, managed, and
attended by the users. We also interacted with some of the participants and organizers to get their
feedback and suggestions.

**Requirements Gathered:**

Based on the tools we used, we gathered the following requirements for our system:

- The system should allow users to create and manage events by providing event details, dates,
times, and locations.

- The system should allow users to search for events using filters like category, date, and location.

- The system should recommend events based on user preferences and past attendance.

- The system should provide user profiles where they can manage their event registrations,
preferences, and history.

- The system should send notifications about upcoming events, changes in schedule, and event
cancellations.

- The system should enable users to provide feedback and ratings after attending events.
**How the needs of the client are elicited:**

The needs of the client are elicited from the tools we used in the following ways:

- From the questionnaires, we obtained quantitative and qualitative data about the needs,
preferences, expectations, and feedback of the users. We analyzed the data using statistical methods
and thematic analysis to identify the common themes and patterns.

- From the interviews, we obtained in-depth insights into the needs, challenges, and goals of the key
stakeholders. We recorded and transcribed the interviews and used content analysis to extract the
main points and requirements.

- From the on-site observations, we obtained direct evidence of how events are organized and
attended on campus. We took notes and photographs of our observations and used them to validate
and refine our requirements.
