REMOVING RESIGNED EMPLOYEES FROM SSS, PHILHEALTH,

PAG-IBIG, BIR

SSS

1. Go to sss.gov.ph
2. Click employer button

3. Log in with your employer credentials

4. Click on the tab Payment Reference Number (PRN), then the “Collection List Details”
button on the left-hand side menu.
5. Locate the name of the resigned employee then on the pencil icon found on the
right-hand side of the name of the resigned employee.
6. Using the dropdown menu, change the status to terminated and edit monthly
compensation to 00.00 Then, input the separation/resignation date of the employee.
Click “submit”, and then the “save changes” button.
7. Click the “Create partial list” button. This will redirect you to a page with two boxes
labeled “original list” and “partial collection list”. Retain the name of the resigned
employee on the original list, while transferring all active employees on the partial
collection list by clicking on the right-pointing arrow.
8. Click the tick box for “I am done preparing”, then the “prepare partial list” button.
Lastly, click the “OK” button.

PHILHEALTH
Note: This must be done within 30 days from the date of separation from the company

1. Download and print a copy of the RF-1 form’


2. Fill up Employer TIN and PhilHealth number
3. Indicate the business address and contact information
4. Put in the type of employer (Private/Government/Household)
5. In the Report type, choose Deduction to the Previous RF-1
6. Indicate the names of separated employees in the RF-1 and the required details
7. Submit the RF form to the registered PhilHealth office
8. Check for confirmation in the EPRS

PAG-IBIG
Note: This method uses the Electronic Submission of remittance Schedule (eSRS) Pag-ibig
Employer Account

1. Go to the Pag-ibig website for employers:


https://pagibigfundservices.com/eSRSemployer/Default.aspx
2. Log in using employer account credentials. You will be directed to the dashboard of
employer profile.
3. On the menu below the header, click on the tab “Manage Employees”
4. Locate and click on the name of the resigned employee.
5. Click “Update Employee Record” found on the upper side of the screen:

6. A pop-up will then show the information of the employee: name, pag-big number, and
employment status showing active. Click on “active”.This will show a dropdown menu
that will allow you to change the status to “separated/resigned”. Click save changes
and yes to the confirmation pop-up. You will see changes successfully saved to
which you will press the button “okay”.
BIR

1. Do this step before or during the process of changing the employment status of the
resigned employee: Ensure that all tax obligations, including the final withholding tax
on the employee's last salary, have been paid to the BIR.
2. Log in to the BIR ORUS account using the website ORUS (bir.gov.ph) Your login
credentials will be your TIN and password.
3. Locate the settings button to update the resigned employee’s information to:
a. Employment status: Resigned or Separated
i. This might involve changing the employment end date and other
information
4. Generate BIR Form 2316 (Certificate of Compensation Payment/Tax Withheld)
a. Download BIR Form 2316 through this link:
https://www.bir.gov.ph/index.php/bir-forms/certificates.html#c2316
b. Fill up the form for the employee. Here are some guidelines for filling up the
form:
i. Item 2
1. The period “FROM”: either January 1st for all employees who
joined your company before the current year. Otherwise, it is
the hire date for new hires during the year. The period “TO”
should be December 31st for all current employees or the
resignation date for separated employees.
ii. Items 9 to 11: are applicable only if the employee is a minimum wage
earner.
iii. Items 12 to 15: You can refer to your COR (BIR FORM 2303) for all
the required details here
c. Verify that the information shown is correct, including the employee’s
resignation date, their income, and taxes withheld up to their resignation date.
5. Submit updated forms through the BIR online system: https://efps.bir.gov.ph/
6. Maintain proper records of the employee's resignation, tax calculations, and any
supporting documents related to the separation.
7. Inform the resigned employee of the change in status. Provide them a copy of their
BIR Form 2316 for their records.
