(Please read this note carefully and carry a copy during your travel to the meeting)

1. AIR TICKETS

WOAH will cover travel costs (economy class with the most direct route) for funded participants.
WOAH will purchase air tickets for international flights and send all relevant details to the e-mail address
provided by participants in their online registration.
Please note that by accepting their flight itinerary, participants agree to cover any charges and fees
resulting from modifications requested for personal reasons after the issuance of the ticket.
Any funded participant wishing to purchase - for exceptional reasons - his/her air ticket by him/herself,
must compulsorily inform WOAH (t.patanasatienkul@woah.org, asia.pacific@woah.org) in advance,
providing the provisional booking/invoice before confirming the flight reservation. In this case, and in
addition to the beforehand formal agreement of the WOAH, the original of both ticket invoice and flight
ticket will be required to reimburse the economy fare, in addition to the submission of boarding pass(es).
2. VISA REQUIREMENTS

All participants are responsible for enquiring about the visas and/or transit visas required and making the
necessary arrangements to obtain them for the full round trip. WOAH will reimburse its/their cost to
funded participants if duly substantiated by receipts. Participants are requested to contact the relevant
Korean Consulate or Embassy in their countries to make all necessary arrangements. In countries where
the Korean Embassy is not represented, visas may still be obtained from the closest Consulate or Embassy
to the Country (please note that WOAH does not reimburse the travel from the duty station or residence
to the closest diplomatic mission to apply for a visa or to collect a visa).

Following the implementation of K-ETA (Korean electronic travel authorization) on September 1, 2021, 89
nationals out of 112 countries/regions, previously eligible for visa-free entry, now need to apply for K-ETA
in order to receive a boarding pass.
K-ETA authorization is generally valid for multiple trips over a period of two years or until your passport
expires, whichever comes first. (Application fee - 10,000 KRW/person with a 3% application fee)

COVID-19 and vaccination requirements
The Q-Code is a South Korea QR code that holds all your vaccination information needed for entry. The
travel requirement was created to help shorten the time for quarantine inspection for foreign travelers

Five options are available for traveling from Busan Airport to the meeting venue.

5. ACCOMMODATION: BOOKING AND PAYMENT

All participants will be staying at The Westin Josun Busan Hotel.


WOAH will book and pay for accommodation for all funded participants (bed & breakfast). Payment of
additional incidental charges (mini bar, laundry, telephone, etc.) will be paid by individual participants on
their own account directly to the hotel upon check out.
In case of no-show without prior notice, WOAH will reserve the right to charge the cost of
accommodation for the booked room to the participant, and, in any case, will not be responsible for
refunding or covering any cost or expenses incurred for different arrangements made by the participant
without prior consent from WOAH.
WOAH will cover coffee breaks/lunches during the meeting from June 26 to 28, 2023 for participants
attending the Regional workshop.
All participants are invited to a dinner hosted by WOAH on Monday, June 26, 2023.
Information on the dinner events will be announced during the meeting. Dress code: Business casual
6. PER DIEM (ALLOWANCE)

All funded participants will be provided with an ad hoc per diem taking into account all expenses directly
covered by the WOAH. It will be paid through a bank transfer, approximately 3 weeks after the meeting.
All funded participants will require to provide their bank detail by filling in a form. The bank detail form
will be sent later.
Participants will have to pay additional costs for goods or services not directly covered by the organisers.
7. INSURANCE

It is important to note that foreign visitors are not eligible for free medical care while in the Republic of
Korea. Foreign participants requiring medical attention will be responsible for any expenses incurred
during their visit.
It is up to the participants to buy their own travel insurance. WOAH will not be responsible for the
participants' life/medical/travel insurance.
8. CURRENCY

The local currency is the Korean Won (KRW). The exchange rate is approximately 1300 KRW per 1 USD.
9. SCHEDULE

Participants, attending Regional workshop will meet at the Westin Josun Busan hotel at 8:00 am on June
26, 2023 and the programme will begin at 8:30 am.
10. LANGUAGE

The meeting will be carried out in English with no interpretation.

12. CONSENT FOR DATA PROTECTION PROTOCOL

WOAH, as data controller, collects and processes your personal data for the purposes of arranging your
travel, as well as for making statistics about the travel demands on an anonymised basis. The data
collected will be processed internally for the aforementioned purpose and shared with WOAH staff
members in charge of the administrative follow-up of your travel as well as the WOAH service providers
in charge of travel booking. The data shall be kept for at least two years. In any case, the retention period
of your data will not exceed the duration necessary to support the administrative follow-up of the
expenses related to your travel. We collect and process the following categories of personal data:
a) Identification data
When you make a travel request, the identification data we collect include your surname and first
name. In accordance with French and applicable laws, the non-communication or the inaccuracy of
certain data may lead to a decision to deny boarding or entry into a foreign territory (for example on
the decision of a customs service) without the WOAH incurring any liability.
b) Contact data
We collect your telephone number and email address.
c) Information about your travel and health data
We collect and process data about your flights/train itinerary as well as the prices and dates of your
bookings. We also process information about your online or airport check-in, your mobile or
hardcopy boarding pass, and information about any travel companions you may have. We lastly
process information relating to the additional services you may request, such as extra luggage and
seat options, specific assistance in moving around the airport and on board of your aircraft, as well as
your meal preferences. Be informed that you consent explicitly that WOAH process these health data
for travel purposes. You may request deletion through travel@woah.org.
d) Photo taken during the workshop
Your presence in the workshop both physical and virtual will be recorded for the purpose of
publication or news on social media i.e. organiser’s website.
You have rights to access and rectify your personal data, as well as to request erasure and obtain data
portability under certain circumstances. To exercise these rights or if you have any questions about
