1. Terms and Abbreviations

Objectives
• To have knowledge on Basic Terminologies in Personnel
management.

Actions: -

Typical human resource processes are called Actions.

Employee’s data is entered and stored in Info types. Specific


info types are grouped together to represent a business
process.

The infotype data entry screens are presented one at a time in


a specific order. For example, in the Hiring action, the info
types that are presented and must be created are Actions
(Infotype 0000), Organizational Assignment (Info type 0001),
Personal Data (Infotype 0002), etc.

Company Code: -

Complete self-contained chart of accounts can be drawn using


the Company Code. It represents the detail as defined in the
department’s detailed printed estimates.

This involves recording all relevant transactions and


generating all supporting documents for the legally required
Financial Statements such as Balance Sheets, and the
Revenue and Expenditure Statements for a specific Company
Code only.
Cost Centre: -

A Cost Centre represents a separate location for cost capture.


Payroll costs are posted to a cost Centre. Cost Centres are set-
up based on how you manage your business.

This is the level to which employee salaries and benefits are


charged from the HR module.

Employee Group: -

Describes an employee’s grouping within a company:


• 1 – Active
• 2 – Retire
• W - Worker

Employee Subgroup

Employee groups are divided into sub-groups that define an


employee’s status within the Employee Group.

Subgroups are comprised of employees with the same pay


rules, benefit rules and entitlement rules. Together with the
Personnel Sub area and the Pay Scale Structure, the Employee
Subgroup controls how the employee’s time and payroll is
processed.

For example, all Workers will be paid Overtime are grouped


together in one Employee Subgroup or Salaried employees or
part time employees
Jobs: -
Jobs are equivalent to job classification levels. The same job
group can be found in many departments and can be
performed by more than one individual.

Jobs are defined, for our purposes, by info types of Object


(name), Relationships and Description. In SAP employees do
not hold jobs they hold positions.

Jobs define the classification of positions, and the employee


inherits a job from the position.

Organizational key: -

The organizational key is another means of grouping


employees and reporting on employee data.

The organizational key defaults from the employee’s personnel


area and cost Centre.

Organizational Unit: -

Most organizations are comprised of many departments, or


organizational units.

The departments are broken down into smaller organizational


units such as divisions and branches.

Personnel Area: -
A personnel area is a sub-unit of the company code and
relates HR directly to the financial structure.
It represents a company and a specific geographic area or
location. The individual personnel areas in a company code
have a four-digit alphanumeric identification.

It can be used to generate default values for data entry.

Personnel Sub area: -

A Personnel Sub area is an organizational entity that


represents part of a personnel area.

It is delimited according to personnel administration, time


management, and payroll accounting criteria.

Positions: -

Positions are specific duties assigned to employees within an


organizational unit.

3. Ad Hoc Query

Definition:-

The goal of the Ad Hoc Query Project is to create a process


that will allow HRIS users to extract HR data to satisfy
standard business requirements, often have a need for fast
and easy access to employee data in various combinations.

Ad Hoc Query allows savvy users to quickly extract HRIS


information from existing Personnel Administration infotypes
and to create downloads to files and reports
