1 INTRODUCTION

This document is a guide about how to upload documentation in the new web interfaces for ProjectWise
in EDPR Europe - E&C Europe & LATAM, External Documentation.

2 ACCESS TO PW WEB

The new web interface allows to connect to ProjectWise without VPN connection and from any computer.
It is not necessary to connect to VPN and to open a Remote Desktop Connection or Citrix Connection to
upload documentation.
To connect to EXTERNAL DOCUMENTATION, it is necessary to connect with the next URL:

The EDPR project manager must ensure access to PW by following the procedure of the WIT-EU_EC-OS-
GEN-00003_EC Digital Onboarding document.

The user has to entry his account that it is the EMPLOYEE ID with EX*****@edpr.com as mail.

3 PROJECT
When the user is logged, the next display appears. Now, the user is inside of EXTERNAL
DOCUMENTATION. The user will display only the folders where the user has access.

4 UPLOAD DOCUMENTS

There are two methods to create new documents.


• Upload files
• Drag and Drop

In Windows, browse and navigate in the dialog and select documents.

At the end, all the documents are uploaded. There is a dialog that appears showing to the user how is the
upload.

4.2 Drag and Drop

The best way to upload data is with DRAG AND DROP.

Select from Windows Explorer the folder or files that you want to upload and drag inside to the folder in
the web interface.

Then the next dialog with the first document to upload appears. Click in “Create” and all folder, subfolders
and documents start to upload.

There is a symbology in the progress dialog about documents:

document is loaded correctly

document is loaded correctly but has a warning. This warning could be that some attribute
has failed, or the name is not correct… normally the user should review the document.
90% of the times the document is correct.
Document is loading in this moment.

document failed. If you receive this symbol, before you must see the error during the
process.

When it is finished, the folder and subfolders are created.

If you are going to load a folder that exist in ProjectWise, the next dialog appears:

If you select “Keep the original” is not going to overwrite.


If you select “Add and rename”, it may create a new folder or it is possible to “Change” the folder name
and to write a new name or to write the same name. If it is the same name, the new documents will be
uploaded. The new folders will be created. If the document exists, a new version of the document will be
created.
If you are drag & drop only a document, if the document exists in ProjectWise, then it would appear a
dialog like this:

Then you must decide what to do:
• Keep the original
• Replace the original
• Add a new version – you may change the version.
• Add and rename – you may change the new name.

4.3 Delete a document/folder

If it is necessary to delete a document, you must select the document and in the “…” select the
option Delete. External User only has delete documents permission, no is possible to remove folders. To
remove folder send one email to gto.awareness@edp.com with link remove.

The user may select multiples documents and delete all at the same time with the option “…” in the top
bar.

A warning notifies that the documents are deleted.

With a folder, the process is similar, if the user has rights to delete folders.

5 LINKS

Sometimes is necessary to send “Links” by mail to another users or colleagues or to add “Links” in a
document or spreadsheet.
If you want to copy a link for a folder, you should select the folder and press “…” to the right of the folder
and select the command “Get link”.

6 INCIDENTS

If any external user has a problem with Projectwise Web, please generate a request with the following
process.

SERVICE NOW incidence:


1) LINK: New Incident
2) Indicate these options from image:

3) In the Description indicate the following:
• Product: Projectwise Web
• DataSource: Please indicate the datasource/folder link/the repository
• Describe the problem, if you consider it necessary include an image of the issue

7 APPENDIX – RECOMMENDATIONS

Of course, the network connection should be the best possible.


It is better to split for each subfolder to upload the documentation. If you have one folder that have inside
4 subfolders, it is better to make 4 uploads for each subfolder that only one.
No more than 500 MB, but this value depends on internet speed and latency.

Recommendations:
- Latency less than 100 ms. If the latency is 20-40 ms then it is considered optimal.
- Speed minimum is 300 Mbps. It is recommended 600 Mbps.
