INTRODUCTION

1.1 Overview

Microsoft Project serves as a project management software tool designed to


facilitate various aspects of project planning and execution. It empowers engineers to
create work schedules, allocate resources efficiently, plan and track processes, manage
budgets, and analyze workloads and reports. While projects initially adhere to established
plans, deviations from schedules are common as they progress. Hence, Microsoft Project
is widely acknowledged for its effectiveness in ensuring construction projects proceed
according to plan and within the designated time frame. A notable feature includes the
generation of critical path schedules, enabling the swift identification of any project
delays and allowing for immediate corrective measures to get the project back on track.

A Work Breakdown Structure (WBS) for a project is a visual depiction of project


work elements arranged in a manner focused on deliverable or products. Its function is to
systematically organize and break down the complete scope of work within a project.
The development and application of a work breakdown structure represent essential
project management procedures that demand meticulous consideration. The WBS forms
the basis for effective project planning, execution, control, status monitoring, and
reporting.

The work breakdown structure (WBS) for each project can serve as a tool for
assessing cash flow or budget on a weekly or monthly basis. In the context of
construction projects, it is crucial to pinpoint potential challenges, such as critical phases

that need to be completed according to the schedule. Microsoft Project, a project
management software tool, proves invaluable for project managers as it assists in
creating plans, assigning resources to tasks, tracking progress, managing budgets, and
analyzing workloads. This report will leverage the capabilities of Microsoft Project
software to establish a work schedule for constructing an indoor sports complex,
facilitating the estimation of the overall project duration and cost.

1.2 Scope of Project

The project titled "Construction of Single Storey Bungalow House" is a


comprehensive endeavour with a budget allocation of RM875,873.50 and a targeted
completion time frame of 8 months. The work breakdown structure (WBS) is organized
into five levels to efficiently manage the project. Beginning with overall project
management tasks such as planning, execution, monitoring, and closure, the WBS further
delineates activities into site preparation, structural work, interior finishing, and
finalization and inspection. A detailed schedule of working hours will be established, and
a Gantt chart will visually represent the project timeline, task dependencies, and key
milestones.

A duration estimate table will outline the anticipated time frames for each task.
Financial and physical S-curves will be employed to track and compare budget
expenditures and physical progress over the projects duration. To ensure quality, a quality
assurance plan will be implemented and risks will be proactively managed through a
dedicated risk management plan. Stakeholder communication will be facilitated through
a comprehensive communication plan, and regular reporting and documentation updates
will be maintained.

1.4 Location of Project

Strategically located in Taman Suprima, Parit Raja, Johor, the Single Storey
Bungalow construction project is designed to meet the specific needs of local residents.
Positioned in an area renowned for its convenience and attractiveness, the project aims to
seamlessly blend into the fabric of the Parit Raja community. The selection of Taman
Suprima demonstrates a dedication to offering a residence that harmonizes with the
preferences of the neighborhood, and the utilization of Google Maps underscores a
contemporary, transparent method of project communication, ensuring accessibility for
stakeholders and prospective residents.

WORK BREAKDOWN STRUCTURE

2.1 Overview

A Work Breakdown Structure (WBS) for the construction of a single-story


bungalow involves systematically breaking down the project into manageable
components. It begins with overarching deliverable and progressively details specific
tasks and activities necessary for project completion. In the case of a one-story bungalow,
the WBS includes elements like site preparation, foundation construction, structural
framing, roofing, interior finishes, utilities installation, and landscaping. Each major
component is further divided into smaller tasks, creating a comprehensive framework for
planning, resource allocation, and effective project management throughout the
construction process.

3.1 Overview

Resource allocation and duration calculation for the construction of a one-storey


single bungalow involve the strategic assignment of labor, materials, and equipment to
efficiently achieve project goals within a specified time frame. This process includes
identifying and allocating human and material resources, considering factors such as site
conditions and regulatory requirements. The goal is to ensure the timely completion of
each construction phase while adhering to quality standards. Duration calculation entails
a detailed assessment of construction tasks, sequencing, and dependencies to establish a
realistic and achievable timeline. This comprehensive approach supports effective project
management, contributing to the successful execution of the construction project.

GANTT CHART PHYSICAL AND FINANCIAL S-CURVE

4.1 Overview

In Microsoft Project, the Gantt Chart provides a visual overview of project tasks,
while the Physical S-Curve tracks physical progress and the Financial S-Curve monitors
cost distribution over time. These features collectively empower project managers with
essential tools for efficient planning, tracking, and control, ensuring a comprehensive
understanding and successful execution of project timelines and budgets.

The Physical and Financial graph's S curve illustrates the cumulative work data (%) and cost data
(%) over the project's duration in weeks. Work steadily increases from the project's onset until the 30th
week. In contrast, costs exhibit notable spikes, with a sharp rise from 1.51% to 13.28% in the first two
weeks and from 13.93% to 28.54% in weeks 3 to 4. Subsequently, costs maintain a steady ascent from
week 4 to week 10. However, a significant surge occurs from week 10 to week 13, escalating from 31.41%
to 76.58%. Remarkably, starting from week. 13 until project completion, cumulative costs consistently
mirror the percentage of cumulative work achieved.

CHAPTER 5

DISCUSSION

In the course of conducting this analysis, a Gantt chart is employed to depict the
Work Breakdown Structure of the project. Based on the Gantt chart analysis, it is evident
that the project is scheduled to be completed on 1st September 2024, aligning with the
project's designated deadline. Despite having few public holidays and non-working days
on Sunday, this project is expected to meet its goals and successfully reach completion
within the designated time frame, which spans from 1st January 2024 to 1st September
2024 which is approximately 8 months. So, in order to adhere to the prescribed deadline,
it is vital to include the overlooked task in the Gantt chart. Additionally, it is essential to
conduct a comprehensive evaluation of the project timeline to ensure that the project can
still be accomplished within the designated deadline.

Then, the next step is to analyse the cash flow. Cash flow analysing the timing
and magnitude of cash inflows from project revenues, as well as the outflows for
expenses, investments, and financing activities. Based on our cash flow report, it shows
that the project has a good cash flow. The cash flow was stable and is increasing after the
half quarter. As the company grows, the cash flow also experiences a positive trend. This
increase can be attributed to the substantial cash flow generated during the final stages of
the construction process, which allows for the completion of finishing work. The total
cost of this construction project in 8 months was RM 875,873.50 which included
personnel costs, material costs, equipment costs, and administrative costs.

During the analysis conducted, the S-curves representing the physical and
financial aspects were also carefully examined. The findings revealed the clear difference
between the completion of physical tasks and financial activities by the company. The

physical curves consistently exhibited a smooth and consistent progression from the
project's initiation to its completion. Conversely, the financial curve displayed variations,
with certain points indicating critical fluctuations alongside more stable periods. This
observation implies that the company's physical work demonstrates a higher level of
consistency compared to its financial operations.

CHAPTER 6

CONCLUSION

Obtaining accurate estimates for a project's duration is crucial for many


stakeholders. Project schedules typically go through four key stages: initiation, task
management using tools like Microsoft Project, resource management within the same
software, and finally, project conclusion. The ability to gather precise information, often
facilitated by project scheduling software and effective communication channels,
empowers project managers to better understand how various constraints impact the
project.

Successfully navigating through these constraints requires employing a range of


strategies tailored to the specific characteristics of each project. The main objective is to
determine which strategies are most suitable for the given task. Efficient allocation of
time and resources is not only essential for project managers to maintain control over
expenditures but also to keep the project on a path toward successful completion.
Consequently, the strategic use of project scheduling tools and effective communication
becomes imperative for achieving these goals.
