Welcome to the NCL Family!

Suman Entertainment Group welcomes you to Norwegian Cruise Line (NCL), which is a part of Norwegian
Cruise Line Holdings with Regent and Oceania. Following is some information to familiarize you with
NCL’s policies and procedures. Please review this information and keep it as a reference.

Your Personal Information


You will receive the NCL Crew Data Sheet, Medical Forms and Guidelines, and Platinum Standards. You
must provide valid and current information when submitting your Crew Data Sheet. The airport you enter
in your data sheet will be designated as your home airport. NCL will book flights only to and from the
airport on your file and not any other location. If you wish to be flown from or to a different location than
the airport on your file, you will have to purchase your own flight. This is considered a flight deviation,
and NCL will not reimburse you.

It is your responsibility to notify NCL as well as your agent of any changes, such as home address, airport
and contact information, and follow all guidelines for the changes on your file to take place. For
consecutive contracts that you have confirmed through us, NCL will book flights from/to the airport
already on your file. You must notify us at least 45 days prior to your flight date if you will not need a
flight from (or back to) your home airport of record. if flights are purchased before you notify your
change of airport, you could be responsible for any penalty fees to cancel already scheduled flights.

Passports & Visas


You must carry a passport that is valid for the whole duration of your contract and at least 6 months after
your contract ends.

You will be advised on any required visas depending on your citizenship, the ship you will join, and the
ports you will visit. You are responsible for any fees associated with obtaining your visas. However, once
onboard, you can submit your visa cost for review and approval by the personnel manager. You can only
submit the actual cost of your visa or visa renewal for reimbursement, not related expenses. Related
expenses include, but are not limited to, air, car rental, mileage, fuel, bus, train, taxi, hotel, meals, and
postage.

Unless you are a US Citizen joining in a US port, you will be provided an official Letter of Employment,
also known as Letter for Crew. You will need to present this letter when applying for your visas. You will
also need to present your Letter of Employment at the airline reservations counter and at immigration at
the airport.

Employment Medical & Background Check


You must, at your expense, obtain a background check as well as a pre-employment physical from an NCL
approved medical center. The approved medical centers list will be provided to you along with your

necessary forms. If you are from a country with Anderson-Kelly as an approved medical center, your
medicals will be paid for by their offices.

The physical consists of all completed items on the NCL medical forms and guidelines, including blood
panels, urinalysis, drug screening, and chest X-ray. Depending on your personal health situation, you may
need to undergo further testing to be approved to join. DO NOT send incomplete medical forms and lab
results to the office as only complete medicals will be approved for joining – you will need a complete
copy of your medical to sign on the vessel.

New-hires and re-hires that have not been employed on an NCL ship for more than 1 year are required to
obtain a new medical and a new background check. Re-hire crewmembers are no longer entitled to
renew their medicals onboard an NCL ship while on contract. If a re-hire crewmember’s medical expires
while he/she is on vacation, he/she is responsible to renew the medical prior to starting a new contract,
and all reports must be submitted to NCL ahead of the joining date of a new contract. You cannot join a
ship with an expired medical.

Flights, Hotels & Baggage


Once all your documents have been approved, you will receive your flight, employment contract, and
hotel information by email. You must check and confirm that all the information is correct; you must call
and confirm all flights with the airlines before you leave home. Take special note of your baggage
allowance on your tickets and bring enough funds to pay for any extra fees. If you encounter any
problems while traveling, please contact your agent (SEG) if you are traveling during weekly office hours.
During out of office hours, contact the emergency number at the bottom of your itinerary.

NCL will provide hotel accommodation for your journey to join your designated ship. If your itinerary
includes a hotel stay, depending on your position your hotel accommodation may include a shared room
with one other crewmember. An arrival letter will be provided to you, which will contain specific
information about your hotel accommodation and transfers between the airport and hotel, as well as
transfers between the hotel and the ship. Your journey to join the ship includes a $25.00 USD allowance
towards food purchases incurred during your travels to the ship; purchases of alcoholic beverages, candy,
chocolate, sweets, chips, chewing gum, and similar are not reimbursable, so please do not have any of
these items on your receipt if you purchase them. All items must be listed on your food receipt; credit
card slips with no list of items purchased are not accepted as receipts. Present your original receipts to
the personnel manager onboard; make a copy of your receipts before submitting. No original receipts- no
reimbursement; no exceptions.

Baggage charges directly incurred from traveling with instruments are reimbursable by NCL pending
approval, as are mandatory 1st and 2nd checked bag charges if they do not exceed airline weight
restrictions. NCL will not reimburse baggage for instruments or equipment unrelated to the job you have
been hired to do. (Cymbals are provided onboard. Drummers can bring their own but at their own
expense.) You must obtain approval ahead of traveling if you have items of excessive weight that may
cause large baggage fees, as NCL may not approve reimbursement for the fees related to your item.
Backline is always provided. Upon signing on, present your original receipts to the personnel manager
onboard for reimbursement within 14 days of sign on. After traveling back home, send your original
receipts to Suman Entertainment Group at the address below post marked 10 days from your sign off
date; make a copy of your receipts before submitting. Scans will not be accepted as receipts for
approval. No original receipts- no reimbursement; no exceptions.

Joining the Vessel


If you are planning to drive to the port to board your ship, please be advised that all seaports have
different policies and rates for employee parking. Please plan on arriving early to give yourself plenty of
time to check out the parking situation. NCL does not take responsibility for any loss or damage to cars
left in parking lots.

Use the crew gangway to board the vessel. Be at the gangway at 11 am, or whenever the hotel
transportation delivers you. Proceed to the Crew Office for sign-on. You will need to present your
passport and medical documents at this time. You will be assigned a cabin, which you will share with
another crewmember unless your position allows for a single cabin. You will be given cabin keys, life
jacket and instruction booklets, and a schedule of mandatory safety meetings.

You will be signed on as crew. You will be required to attend crew boat drills, and you will also be
required to attend scheduled safety meetings and classes during your time onboard.

During your sign-on process, you will complete several forms related to your employment with NCL,
including, for US citizens, a payroll tax form W-2. All appropriate taxes will be deducted according to how
you complete your W-2. You will be paid onboard twice per month in US currency via BrightWell. At the
time of joining, you will be advised regarding BrightWell, the system used by NCL to disburse wages safely
and more effectively to all crewmembers. Your wages will be directly deposited onto an BrightWell Visa
prepaid card. With BrightWell, you can send money home, access cash at ATMs around the world, shop
online, and use BrightWell at more than 20 million locations worldwide that accept Visa debit cards.

Updated information regarding BrightWell and wire transfer fees will be provided to you when onboard.

Dress Code
Uniform requirements for employee musicians may vary by ship; please ask your agent for further
information regarding your designated ship.

There are no formal nights on NCL, so Tuxedos are not required. However, “Norwegian Night Out” is an
optional formal night for guests, so all musicians should dress accordingly. Male musicians should be
dressed in at least a tie with a nice vest and/or jacket. Female musicians should dress accordingly.

T-shirts, tank-tops, ripped or torn clothing, sneakers, and jeans are always forbidden in public areas. In
crew areas, you may wear anything except offensive t-shirts and flip flops. Nametags must be worn at all
times while in public areas and cover-up clothing must be worn over bathing suits while en route to and
from pool and sun deck areas. Daytime attire in public areas is resort casual; a collared shirt and khakis or
casual trousers (no shorts) are the norm. After 6:00 PM, all musicians and entertainers must be dressed
in the appropriate nighttime/evening attire. Generally, solo performers (Piano Bar Entertainer, Guitar
Vocal Entertainer, Intermissionists) are responsible for their own uniform while groups and bands
coordinate together.

Grooming Hair Guidelines:


• Must be clean, tidy, dandruff-free, well-groomed, and styled away from the face.
• Must not hang loose below shoulder length and must be restrained while working
• No Extreme haircuts or styles*
• Color must be natural in shade and complement the complexion. Subtle highlighting of a natural
color is acceptable.
• Hair with roots of a different color is not permitted.

For Women:
• Polished ponytail, braids, buns, chignons, etc. are allowed and must look professional.
• Hair accessories must be hidden within hair or blend with hair color (tortoise, black, etc.)
• Hair accessories must not be wider than the width of the head.
• Head bands must coordinate with uniform.
• Hair ornaments are not allowed.

For Men:
• Hair must be above the shirt collar and not cover the ears or need to be pushed back over the
ears.
• Facial hair is permitted as long as it is neatly trimmed.
• Mustaches, goatees and beards may not be grown during an assignment.
• Chin and lower lip tufts are not permitted.
• Sideburns must be above the bottom of the earlobe.
• Appropriate facial hair coverings must be worn in food preparation areas. Crew serving food
(restaurant, bar, etc) are not required to wear facial hair coverings.
• Completely shaven heads are permitted as long as they are well maintained.

CD Sales
You can sell CDs onboard, however CDs must be professionally packaged and any covers must be
properly licensed. We will also need a copy of the CD sent to the following address to be approved by
shoreside:

Living at Sea
You must adhere to all rules and regulations set by the Captain, Staff Captain, Hotel Manager, Cruise
Director, Stage & Production Manager, and Bandmaster.

While onboard, complete and comprehensive healthcare will be provided for the duration of your
contract.

Food is provided free of charge in the crew mess. You will also receive a permanent charge card good for
a small discount of all beverage purchases. All other purchases and services are your responsibility at the
customary passenger rate.

Crew laundry facilities (washer and dryer) are available to you, as are dry cleaning services for work
clothes only, free of charge. Dry cleaning of non-work related attire requires payment.

Your cabin must be kept clean and in order at all times. Follow the guidelines given to you onboard
regarding the keeping of your cabin. Cabins are inspected on a weekly basis. As a courtesy to the next
crewmember who will occupy your cabin, please ensure that your cabin is clean and neat when you sign
off the vessel upon completion of your contract.

Cabins are designed to maximize space so expect them to be small. Please note that NCL ships will no
longer have 220v to 110v power transformers available onboard (safety issue). Keyboards, mixers etc.
need to be 220v. You cannot bring personal transformers.

Most cabins have TV and some have DVD players and refrigerators. Shared cabins are generally bunk
beds. Semi-single cabins consist of a small cabin and shared bathroom with one other crewmember; you
will be advised which type of cabin to expect depending on the ship you will join and your position.

Irons or steamers are not allowed onboard; please be advised that if you bring them, they will be
confiscated even before you come onboard at the terminal; electronics allowed onboard in cabins are
very limited, only laptop, speaker, phone and hairdryer appliances.

If you are using an iPad/tablet/Phone to read music or lyrics during performances, please make sure to
bring an iPad/tablet/Phone holder that can mount to a music stand or stand alone. (Phone must be in a
neutral color and mounted professionally.)

Please note that Horn stands are not provided onboard; please ensure to bring them with you to the ship.

Just about every ship has a Crew Internet café with computers in the crew area available for use for a
small fee. A lot of ships have wireless internet accessible in different parts of the crew area. You will be
advised about prices and accessibility upon joining your designated ship.

Please note that headphones are not provided onboard; please ensure to bring your own headphones/in-
ears with you to the ship. Please also bring a 1/8” to ¼” headphone jack adapter to connect your
headphones to the monitor and click systems on board.

Instrument stands are not provided onboard; please ensure to bring your own Instrument stands with
you to the ship.

Cymbals and Drum Kit are provided onboard. Drummers can bring their own Cymbals but at their own
expense.

Trumpet Players should bring the following Mutes: Straight mute, Cup mute, Bucket mute, Harmon mute,
and Plunger. Trumpet Players will need to bring Flugelhorn as well.

Trombone Players should bring the following Mutes: Straight mute, Cup mute, Bucket mute, and Plunger.
(no Harmon mute needed)

Reed Players must bring Alto, Tenor, Flute, and Clarinet.

We do not advise nor recommend for items to be left on ships pending use during a future contract. NCL
and/or SEG will not be responsible for items left behind that get lost or damaged in their owner’s
absence, nor for shipping cost to return them to their owner’s should a future employment offer be
revised. Please take your belongings with you when your contract ends.

*Current onboard Musician privileges status:


• Nights off for Musicians are occasional and not guaranteed. Principal Musicians gets 1x day off a
week.
• All Musicians can be scheduled on any Music Venues on the ship, when needed and if it requires the
ship’s Operational needs.
• Food availability on the ships for all crew are standard on all NCL Ships.
• All Musicians must be ready on any last-minute call to cover spots, when inevitable situations arises
such as show cancellations, Medical Off among the bands, etc (Flexibility is the key.)
• Current onboard Musician privileges status, unless reinstated:
A.) Musicians do not have an access on any of the Guests Dining Areas and all public areas.
For Musicians to be able access the Garden cafe and other Dining Venues, the team onboard will
need to do a sign up with the HR Team 24 hours prior to access, and only 1x or 2x maximum of
sign up per cruise as per Management.
B.) Musicians do not have cabin cleaning privileges and have to clean their own cabins. Cleaning
supplies, toiletries, Towels, Bed sheets, Vacuum Cleaner, Pillow cases are Musicians responsibility
to collect from the Linen Keeper.
C.) Principal Musicians- Still has access to Public Areas and Restaurants, also 2x Cabin Cleaning
privilege per cruise.
• All bands should invest more on costumes or coordinated attires when coming on board to preserve
the Ship’s High Standard and Quality of The Entertainment being offered.
• Musicians especially New Hires should expect overwhelming onboard and online trainings on their
first 2 to 3 weeks. New Hires that do not have a Basic Safety Training Certificate are most times being
scheduled on board to complete the 2 to 3 weeks training, and times are separate from their
performance sets schedules.
• Married Couples will need to provide a marriage contract and other supporting documents to be able
to be joined together in one room for (Jewel Class ships) or Connected Cabins “Jack n Jill” for
(Breakaway Class Ships).

Port time will depend on your work schedule; generally, you’ll work in the evenings so you’ll have most of
the port time to explore. However, please note if you are onboard during cast install periods, you will
more than likely work more hours than normal. Rehearsals or trainings in the beginning could interfere,
but being a musician onboard is a pretty good way to see the ports. *

IPM (In Port Manning)* - International Maritime Organization states that any cruise ship is required to
have minimum crew members onboard while in the port in order to maintain safety in an emergency
situation. The crew that is in port manning (IPM) cant exit the ship in particular port.

Please be advised that NCL enforces a company-wide zero-tolerance program against illegal drugs and
excessive alcohol consumption. Among the measures utilized to ensure a drug-free and safe alcohol
consumption environment for everyone aboard all of its vessels are a random drug-screening policy for
all shipboard employees, contractors, and concessionaires, and alcohol level tests for anyone showing
signs of drunkenness. Anyone, at any time, can be called upon to undergo a drug screening or alcohol
level test; refusal to submit to the screening implies guilt, and is grounds for immediate dismissal.

Crew Area vs. Passenger Area


Similar to a hotel, the Passenger Areas on the ship are anywhere that you will find the paying guests. Do
not take passengers to your cabin at any time. Passengers are not allowed in the crew area. Violation of
these rules is subject to immediate dismissal.

You do not have casino privileges. The onboard casino is off-limits to all crew members.

Please show respect for all officers, staff, and crew. Acknowledge passengers while in public areas.
