Format Tool Bar

Font size, colour, text alignment, lists and many more functions are provided by the formatting
toolbar

Formatting Toolbar

Option Description

Changes the font.

Applies the selected font size to the text.

Changes the colour

Changes the background

bold.

italic.

Underlined.

Removes all formatting from the selected text.

Inserts a numbered (ordered) list.

Inserts a bulleted (unordered) list

Increases the indentation level of the selected text by one level.

Reduces the indentation level of the selected text by one level.

aligns the selected text to left.

Aligns selected text to center.

Aligns the selected text to right

Enables you to create a hyperlink for the selected text, or edit an existing hyperlink.

Removes an existing hyperlink from the text.

Shows or hides HTML tags in the workspace.

Shows or hides borders around elements that normally do not have borders.

Optimizes the HTML source code.

Item Description
Shapes Allows you to select from a list of built-in
shapes.
Bring To Front or Move shapes to the front or back of other
Send To Back shapes.
Rotate Allows you to select rotation for a shape.
Flip Allows you to flip a shape either horizontally
or vertically.
Scale Allows you to resize a shape by selecting a
scaling factor.
Picture Allows you to select an image and the
image properties.
Load, Save, or Allows you to load or save a shape to a file
Delete or delete a shape or shapes.
Word Art Allows you to create a text based shape.

Inserting charts
This type of chart illustrates your target, the figure you have already achieved and a
comparison range.
Spell check
 Automatically check your spelling while you type
 F7 is the shortcut key for spelling and grammar check in MS word

Some of the other shortcut keys used in MS Word are:

o F7: To check spelling and grammar


o Ctrl + A: Select all text.
o Ctrl + X: Cut selected item.
o Ctrl + V: Paste.
o Ctrl + End: Go to the end of the document.
o Ctrl + Y: Redo the last action performed.
o Ctrl + Z: Undo the last action.
o Alt + F: File menu options in the current program.
o Alt + E: Edit options in the current program.

Alignment of paragraph and text


 Place the insertion point anywhere in the paragraph, document, or table that you
want to align.
 Do one of the following: To align the text left, press Ctrl+ L. To align the text right,
press Ctrl+ R. to centre the text, press Ctrl+ E.

Step 1: First open MS-Word on your PC.


Step 2: Now, Open the document or create a new one in which you want to perform this operation. Step

Step 3: Now, select the paragraph text which you want to make Left-aligned.
Step 4: Now, go to the “Home” tab and click on that. (As shown in the below image)
Step 5: Now, go to the “Paragraph” section in the “Home” tab and click on the Left-Align
text button.

Step 6: The paragraph text is aligned to left successfully.

Alternate way or using shortcut key:


The shortcut key for Left-Aligned Text is “Ctrl + L”.
