1 SCOPE

A process is required for management Snag List by the Construction team to request that Contractors correct issues on site
related to close out activities through the Program Management Information System (PMIS).

1.1 Purpose
This document aims to establish a set of guidelines to implement a consistent method for capturing and resolution of issues as
snag through the Program Management Information System (PMIS). This document provides clear directions on how to
download mobile applications, login steps, create issues as snag and assign to contractors through PMIS.

2 PROCESS FLOWCHART
2.1 Handover Snag List Process

1. Contractor completes handover Inspection checklist.


2. Site Inspector starts Snag list.
3. Contractor completes Snag list activity.

4. Site Engineers approves or rejects Snag list activity.

Note: The Snag status will be selected from following

✓ Open

✓ Ready to Inspect (showing for Inspectors organization)

✓ Work Done (showing for Contractors organization)

✓ Dispute

✓ Closed

2.2 Aconex Field

1. Inspector or Initiator will create issue with status Open and issue to the responsible Assignee.

2. The Assignee resolves the issue and modifies the status to Work done (if contractor organization) or Ready to Inspect
(if inspector organization).

3. The Inspector reassesses the work and marks the issue as Closed.

4. The Inspector also has an option to mark the issue as In Dispute.

3 GUIDELINES
3.1 Introduction
Aconex Field speeds up site inspections by letting you capture, distribute and track defects and other issues in real time on
mobile devices. For structured inspections, fully customizable checklist templates make it easier to manage structured
inspections. Oracle Aconex Field for Mobile lets you use a mobile device to:

Inspections: Instantly capture and assign issues. Attach and mark up photos to show exactly what needs to be fixed. Set due
dates for completion.

Checklists: Record conformance and non-conformance for structured inspections with fully customizable checklist templates.
Manage non-conforming items with Field’s issue workflow.

Reinspection: Reinspect and close out issues with ease. Accept or reject issues or edit issues that require further fixing in the
field.

Collaborative inspections: Instant turnaround to subcontractors and other participants with access via their mobile device.

Work offline: Continue to work when no data connection is available. Syncing occurs automatically when connectivity is
restored.

3.2 Download Mobile Application


a. For Android devices, click on Play Store icon to open Android App, search for Oracle Aconex and click Install button to start
the installation. Link to download: Google Play store

b. For iOS devices, click on Play Store icon to open iOS App, search for Aconex Field and click Install button to start the
installation. Link to download: App Store

3.3 Assign Issue Type as Snag
a. Open mobile application of Oracle Aconex from your Mobile phone.

b. Click on Read Terms to Login, read the End User License Agreement and click on the I AGREE button.

c. The Oracle Aconex login page will open, enter Login Name, Password, Select Project location Saudi Arabia from dropdown
and click Login button. Choose a project from list and click on it to open.

d. Enter the name in the search bar to find a project and click on it to open.

e. Click on the Issues button to see all the existing or add new issues and assign them to the user or organization.

f. All the Issues is displayed, and you have option to search for specific issue type i.e. Snag in , export to PDF

from , filter open and closed issues from , add new issue from and assign to user or organization.

g. Click on Location or project name i.e. RSG Training to open or scan the location.

h. Choose Locations for example 05 Building 5 or click on from bottom corner to scan QR code.

i. Scan QR code if you choose

j. Select from the location list for example 05 Building 5.

k. Choose the Issue Type from dropdown, enter meaningful Description, Add Photos, enter Location details, choose
Assigned to from dropdown, pick the Due date and click top right corner to Save the issue.

l. Select Take Photo to capture a new picture or select previously captured from Choose from Library
Note: Assigned to can be assign to a single user or Organization

m. The photos are added, and issue is created as per your selected location in 05 Building 5 with status Open.

3.4 Work Done or Ready to Inspect


Note: The Work Done status is displayed for contractor organization and Ready to Inspect for Inspector Organizations.

a. Open Oracle Aconex application from your mobile device (refer to section 4.3 how to open). The issue as type Snag will be
shown for the Assigned to user with status Open.

b. The Assigned to user will need to fix the issue and update the status to Work Done if contractor organization or Ready to
Inspect if inspector organization. It is also possible to Add photos of the changes along with comment. Click to update
status.

c. The Status of issue will show as Ready to Inspect.

d. The initiator or Inspector can change the status to Open, or Dispute depends on work satisfactory. Click to update the
status and assigned to user will receive a status update along with the comments. Re-inspection

3.5 Close Issue
a. The Initiator or Inspector could close the issue by clicking on Closed to change the status if the changes made are
satisfactory. Add comments, if any and click to Save. The Issue will be Closed.
