PRODUCTIVITY TOOLS
It refers to the software that people use to create and produce documents, presentations,
databases, charts, and graphs.

Productivity tools helps you create professional quality documents, presentation, graphics, and
more.

Common productivity tools in MS Office

MICROSOFT WORD
• the most important word-processing office application used by students, teachers, IT
professionals and companies etc. around the world.

• used to create and edit professional-looking documents such as resume, books,


admission forms, letters, paper, reports and booklets, cover pages, notes, assignments,
brochures, and even web pages.

LETTERS
Microsoft Word enables you to create a range of
correspondence from a simple office memo to mail-
merged form letters with hundreds of addresses.
Special programming in the software senses when you
are typing a business letter and will pop up a guide to
help format the letter correctly.

ENVELOPES
Envelopes can be created, or Word can read a
letter you have typed in the program, collect
the address information, and automatically create a
matching envelope.

An address bar code can be added to the


envelope to assist with mailing.

MICROSOFT EXCEL
Electronic spreadsheet programs were originally based on paper spreadsheets used for
accounting. As such, the basic layout of computerized spreadsheets is the same as the paper
ones. Related data is stored in tables — which are a collection of small rectangular boxes or
cells organized into rows and columns.

When you look at the Excel screen — or


any other spreadsheet screen — you see a
rectangular table or grid of rows and
columns.
In newer versions of Excel, each
worksheet contains roughly a million rows
and more than 16,000 columns, which
necessitates an addressing scheme in order
to keep track of where data is located.

Graphical Features
• Charts: We can use charts to represent the data in rich visualized graphical
representation.
• Shapes: We can create verity of shapes to represent the data in shapes and info-
graphics. We can draw any shape with the free form feature in Excel.
• SmartArts: We can use the SmartArts to align the data in a creative designs and
visually communicate the information.

• Clip Arts: We can add the ready to use clip arts to convey our message in pictorial
representation.
• Pictures: We can insert any image to enhance the objects. Example backgrounds of
Worksheets, Shapes and Charts.

Data Base Features


• PivotTables: We can use the Summarize the data and create powerful cross tables.
• Slicers: Slicers are introduced in Excel 2010, this will help us to connect the multiple
pivot tables and filter the data with buttons.
• Tables. We can create the tables in the data in records and fields format. This will be
helpful to quickly perform further analysis.
• Database: We can use Excel as Data base to store the 1 million records. We can

connect to verity of the data bases and import the data into Excel.
• Sorting: We can sort the data in Excel. We can sort Ascending or Descending with on
or more columns.
• Filtering: We can Filter the data in Excel. We can set verity of the options to filter
with required options. Excel has the Advanced Filtering option to perform the more
complex filters.
• Data validations: Data Validation Feature helps to restrict the cell to accept certain
type of the data. We can also provide the drop-down to choose from the pre-defined
list.
• Grouping: We can group the rows and columns with parent and child records.

Arithmetic operations
Formula – is an equation that performs operation on worksheet data. A formula in Microsoft
Excel always begins with an equal sign (=).

 used to create professional-looking slideshows that can be displayed on
projectors or big-screen TVs.
 an easy-to-learn program that is used worldwide for presentations in
businesses and classrooms.
 comes with many templates that set the tone of a presentation — from
casual to formal to off the wall.

• Color scheme

Creating an Effective Presentation


• Minimize - keep slides to a minimum to maintain a clear message and to keep the
audience attentive.
• Clarity - avoid being fancy by using a font style that is easy to read. Make sure that it is
also easy to read.
• Simplicity - summarize the information on the screen. Limit that content to six lines
and seven words per line also known as 6X7 rule.
• Visuals - use graphics to help you in the presentation but not too many to distract the
audience.
• Consistency - make your design uniform. Avoid having different font styles and
backgrounds.
• Contrast - use light font on dark background or vice versa. In most instances, it is
easier to read on the screen if the background is dark.

Custom Animation

Animation is a simulation of movement created by displaying a series of pictures, or frames.


Animation on computers is one of the chief ingredients of multimedia presentations. There are
many software applications that enable you to create animations that you can display on a
computer monitor. MS PowerPoint is an example of a presentation software that you can use
to create a slide show for your presentation.

HYPERLINK
A hyperlink or simply a link, is a
reference data that the reader can directly follow
either by clicking or tapping. Hyperlinks are
found in nearly all Web pages, allowing users to
click their way from one page to another.
In text hyperlinks are often color blue and
underlined. When you move the cursor over a
hyperlink, whether it is text, button or an image,
the arrow cursor should be change to a small
hand pointing to the link.

Using Hyperlinks in MS PowerPoint


1. Select an object or highlight a text.
2. Go to I dialog box would appear Insert > Hyperlinks(under links category) or use the
shortcut key Ctrl + K. The Insert Hyperlink dialog box would appear.

3. Another way is, go to Insert, click Link then Hyperlink

4. When done, click OK to apply your hyperlink.

1. Group the class into 10 groups.


2. Design a PowerPoint Presentation that shows about Future Career of
your chosen strand. Maximize the use of Effects, Animations and
Transitions. Make your slides with a maximum of 15 slides.
3. Be guided with the given rubrics on the next page

Direction: Read the given scenario below and answer the following questions
concisely. Write you answer on a 1/2 sheet of yellow paper.

You were tasked to create and send out formal invitations for a Reunion of
Batch ‘99. You were also initially given a list of 100 names of participants to
send out to.

1. From the scenario above, describe briefly how you would most likely
complete the task of sending 100 invitations with individual names of
recipients using Microsoft Word.
2. Give examples of documents that you can personalize and send or
distribute.
