Analyse the key factors that need to be considered when producing a plan for an

event.

4/B.P3 Investigate the staging of several events to determine common success factors

Requirement:

Evidence of research into a variety of different types of events of differing sizes, and the reasons for
their success.

WHAT YOU CAN INCLUDE:

1. From the interviews – what makes events successful


2. Research on 2 major events like Expo 2020 or any other world event – how did they plan for
it? What were the steps involved? How did this contribute to the success of the event?

4/B.P4 Explain the chosen event idea, including reasons for choice.

you on teams)

Your individual detailed plan should include, as applicable, an analysis of the following factors:
● aims and objectives
● detailed budgets
● resources
● catering requirements
● venue facilities and access/parking
● legal constraints including a risk assessment
● insurance requirements
● the allocation of team tasks
● methods of communication
 contingency plans
 gantt charts
 explain the use of any planning tools – for example – how did you use excel or any other app

4/BC.D2 Evaluate and justify the feasibility of the plan, tools, budget and risk, making
any required contingency adjustments.

How to analyse the feasibility of the event you conducted

 what were your constraints wrt to team dynamics and role allocation, conflicts, time, space,
rules, permissions, school schedule etc.
 How did you tailor the event so it was feasible
 What are the strengths and weaknesses of the proposed event

 Given the restrictions, how did you manage to plan the event. What changes did you have to
make in the planning stage? What was the reason for these changes?
