1. Proctoring format
To simulate the bar examinations, the proctoring assignments have been designed, as in the
previous years, in such a way that faculty members handling the course will not be proctoring
their examinations. Considering this, the faculty members and their respective department
heads must ensure that the questions are clear and complete. Students are not allowed to ask
questions from their professors during the examination. Proctors should not entertain
requests for clarification regarding the questions in the examination. Thus, students must
answer based on the problem and then raise the clarification after the examinations. However,
the faculty member may announce corrections by reason of typographical errors, but such
announcement must be done through the proctor(s). The faculty members are reminded that
this correction during examination is discouraged.
2. Unanswerable questions
2.1. A question shall be considered unanswerable if the facts of the problem do not bear any
relation to the question being asked, or if the question is both unclear and incomplete, or
if the problem does not pose any question. The students must be given full credit for such
an unanswerable problem.
2.2. In case of unclear and incomplete questions, and thus, unanswerable, the student may raise
a point of inquiry with the faculty member handling the course within 24 hours from the
date of examination. Otherwise, any request for clarification shall not be entertained. Such
inquiry must be done after the examination. The professor and the student(s) should
endeavor to clarify the matter at their level. If it has been determined that the question is
indeed not clear or complete and thus, unanswerable, all students must be given full credit
for their answer to the said vague or incomplete question. If the professor and the
student(s) do not agree as to how the matter is to be resolved, the student(s) may elevate
the concern to the Department Coordinator requesting for clarification. The Department
Coordinator shall elevate the matter, with his/her recommendation, to the Admission and
Examination Board (AEB) for the final determination of the matter at hand.
All scores are deemed final, and score re-evaluation or adjustment shall be allowed only upon
showing the following:

• Be in the assigned examination room ten (10) minutes before the examination
schedule
• Clear their work area prior to the examination
• Charge their gadgets before the scheduled examination
• Carefully read the instructions for the examinations
• observe academic honesty. Students are not permitted to consult any person or
material
Any kind of academic dishonesty will merit a sanction pursuant to School and University
policies.
• Be in the assigned examination room ten (10) minutes before the examination schedule
• Check the attendance based on the list of students endorsed by the professor handling
the course
• Check any acts of the student that will constitute badge of academic dishonesty
6.1. All professors must provide the URC and password for the examination as well as a list of
students to the proctor a day before the scheduled examination so that the latter can check
the attendance during the examination
6.2. Comply with the School’s Manual of Operational Procedures and Guidelines. The highlighted
provisions are:
“The midterm and final examinations in the School shall be departmentalized, i.e. there will
only be one set of examination per subject for all classes regardless of who is teaching the
subject. x x x Questions should test the ability of students to analyze facts, apply the
pertinent laws and jurisprudence, and arrive at sound and logical conclusions.”
“For uniformity:
1. The departmental examination shall be for a minimum of two and a half (2 1⁄2) hours to a
maximum of three (3) hours. No extensions will be allowed.

2. The departmental examination shall have a minimum of twenty (20) to a maximum of thirty
(30) questions, including sub-questions, for two and a half (2 1⁄2) hour exams; and a
minimum of twenty-five (25) to a maximum of thirty-five (35) questions, including sub-
questions, for three (3) hour exams.
3. The maximum obtainable points for the answer to each question must be indicated.
4. In accordance with the format of the Bar Examinations, the questions shall be a mixture of
objective type, i.e., definitions/ explanation of concepts, comparison/ differentiation of
concepts, enumeration, and essay or problem type. Objective type questions should not be
more than twenty-five percent (25%) of the total score.
5. Multiple choice questions are allowed only in quizzes but not in the midterm, final or mock
bar examinations. xxx
6. A bonus question may be given but the same shall not exceed five (5) points.
7. All examination questionnaires must be password protected. In case when the faculty uses
Google Forms, the Department Head must be included as a collaborator and the
questionnaire must still be password protected.
8. The faculty must submit their questions with the suggested answers for the
departmental examination to their respective Department Heads not later than five (5)
days before the scheduled examination.
9. To prevent cheating during the examinations, the faculty is advised to remove/ delete all
audio and video presentation uploaded in their respective Google Classrooms before the
quiz or exam. When the faculty permanently deletes the video file, there must be an
annotation on the same tab that the video has been deleted.
10. The Department Heads shall review the examination. They can suggest revisions or
give comments for the possible improvement of the questions. They may give additional
questions or ask other faculty members within the department to give additional
questions.
11. The Department Head shall return the approved examination to the faculty concerned
not later than two (2) days before the scheduled examination to give ample time for
reproduction of the exam questionnaires. Should additional questions be added by the
Department Head, the suggested answers should likewise be given to the faculty within
the same period.
12. To safeguard the integrity and accuracy in the checking of the examinations and
assignment of points, the Department Heads may conduct a spot check of corrected
examination notebooks.
13. At the end of each semester, the Admissions and Examinations Board shall meet to
evaluate the departmental examinations given.
Students and Faculty must comply with the Policy on the Use of ExamSoft.

Quoting hereunder the Guidelines on Special Examinations found in the MOPG (2022 Edition)
“A student who cannot take any periodic examination as scheduled must obtain a written
permission to take a special examination or FM-SOL-032 (Annex 20)
a. At least one (1) week before the scheduled examination week, the student must secure
a Certificate of Conflict in Exam Schedule (FM-SOL-031) herein attached as Annex 11 from the
School of Law Secretary.
b. At least three (3) days before the examination week, present the said Certificate to the
faculty member concerned.
c. As to which subject shall be taken as scheduled and which shall be taken as special
examination, the following rules shall be followed:
ii. Examinations in subjects under regular offering shall enjoy preference over
off-season subjects. This is regardless of the number of units and the year level
involved.
iii. If the conflict of schedule involves two or more subjects under regular
offering, the subject with the lesser number of units shall give way to subjects with the
higher number of units. This is regardless of the year level involved.
iv. If the two or more subjects with conflicting schedules have the same number
of units, the subject with the lower year level shall give way to the subject with the
higher year level.
d. Since the examinations are departmentalized, the student shall take the special
examination within the same day of the scheduled examination but at an earlier time, to
wit: (i) if the examination is for two and a half (2½) hours, then from 3:00p.m. to 5:30p.m.,
and (ii) if the examination is for three (3) hours, then from 2:30p.m. to 5:30p.m.
e. The faculty member giving the special examination shall coordinate with the School of
Law Secretary as to the room assignment for the exam. The faculty shall personally proctor
or, in his/her absence, assign his/her own proctor for the special examination.
a. Within one (1) day upon returning from absence, write and submit a formal written
request to be given and to take a special examination addressed to the Dean of the School of
Law, explaining the reason or cause for the failure to take the regular exam and specifying the
subjects and instructors affected by the absence.

b. The formal written request must be under oath, attaching authentic or certified copies
of supporting affidavits or medical certificates, if any.
c. If approved, the Dean of the School of Law shall issue a Permission to Take Special
Examination (Annex 12) in triplicate. One copy must be retained by the Secretary of the School
of Law for the Student Permanent Record. Another copy must be given to and kept by the faculty
member(s) concerned. The last copy must be kept by the student.
d. The student must present the Permission to Take Special Examination to the
instructor(s) concerned and request for a definite time, day and date of the special examination.
The instructor shall personally proctor or assign his/ her own proctor to administer the special
examination.
e. Should the requesting student fail to appear on the day, time and date of the special
examination, the privilege shall be automatically forfeited, and the student shall not be entitled
to a resetting of the same. Instead, the student shall be given a grade at the discretion of the
faculty concerned which grade in no case shall be higher than or equal to the lowest score in class
for that examination
3. Participation of students in competitions, conferences, and the like during the scheduled
examinations shall not be allowed. Those who are absent during the departmental examinations
due to such reason shall not be entitled to a special examination.”
C. SUBMISSION OF GRADES
Faculty members are reminded that the last day for encoding of midterm grades is 01 April 2024 and
the last day for encoding of final grades is 03 June 2024. Please encode the grades personally in the SLU
iPortal; do not send them to the SOL Secretary for encoding. For courses/subjects that are team-taught, the
faculty members should coordinate with each other to compute the final grades and subsequent encoding.
Further, faculty members must submit their class record/s to their respective department heads before they
finalize the encoding of the grades, for the latter’s review.
