General terms and Conditions:

The ‘Scope of Work’ will remain the same as specified in the open NIT practiced in 2018-19.
All photographs to be shot on modern high definition DSLR/Mirrorless cameras. Videography to be carried out
with video camera with HD recording.
All raw videos and photographs along with edited versions will be the property of BCCL and shall be delivered
at Koyla Nagar, Dhanbad in flash/pen drive. Cost of flash/pen drive shall be inclusive of estimate.
No information or photography or video graphic materials shall be used elsewhere which may lead to copyright
issues. Unauthorized distribution of the same shall result in penalties.
All photos/videos are subjected to the acceptance of the consignee and shall be edited, processed to the
satisfaction of consignee M/s BHARAT COKING COAL LIMITED ‘A Mini Ratna Company’ (A Subsidiary of Coal India

BCCL has the sole right on the footages. Footages must not be used/reused by the vendor in other projects. The
work done shall be the sole proprietary of BCCL shall not be used any other purpose without the consent of
BCCL.
All the payments will be made through e-payment mode only.
No works should be supplied beyond the specified delivery period, unless specific approval has been obtained
from the HoD (PR).
Delivery:
Delivery (soft copy) of Photos in JPEG format within 1 hour of shooting.
Delivery of photographs (hard copy) and videos within 3 days along with bill after the event is covered (based
on urgency delivery time may be reduced). Edited videos will be submitted to PR Department in branded DVDs.
Reporting:
The hired photographer/videographer has to turn up at the designated place within 30 minutes of the notice/
information.
Transportation, boarding and lodging: BCCL shall not be responsible for transportation, boarding and lodging
arrangements.
PENALTY FOR FAILURE TO SUPPLY IN TIME:
The penalty will be levied in case, there is disruption of services. The disruption along with the penalty
amount that would be charged is given below:-
a.If vender does not provide photographers/ videographers : Penalty of Rs. 1,500/- per function will be
levied.
b. If photographer/ videographer provided by vender fails to perform the duty : Penalty of Rs. 1000/- per
Videographer/photographer besides non- payment in respect of defective one. Vendor should provide
alternate cameras within one hour from break down.
c. If the hired photographer/videographer reports late for duty : Penalty of Rs. 500/- per hour per
Videographer/photographer
d. If the photographic services given are sub-standard : Penalty of Rs. 500/- per Videographer/ photographer.
The vendor shall ensure the compliance of all 'Health Protocols required under COVID-19 Pandemic ' by his team
while carrying out the awarded work. The vendor shall also ensure not to employ any child labour in the above
mentioned work.
Kindly send the bills in triplicate along with the required copies of Matt/. Glossy finish 5"x7" size
photographs after the closure of the programme.
In case there arise any discrepancies, all will be settled in accordance with the prevalent Indian Law and all
disputes are subject to the jurisdiction of Dhanbad Court only.

Terms of payment:
100% within twenty one days of submission of proper and complete bills as is mentioned in the Purchase Order.
