across Asia-Pacific. Boardroom Share Registrars Malaysia was established in 2015 and is
headquartered in Kuala Lumpur.

The company's services are primarily aimed at public listed companies, but it also
serves private companies, as well as mutual funds and other investment vehicles. Boardroom
Share Registrars Malaysia is committed to providing high-quality services to its clients, and it
strives to maintain the highest standards of professionalism, integrity, and transparency in all

The Board of Directors for Boardroom Corporate Services consists of several


members from across the Southeast Asia. Each of them brings a unique set of skill and
experience in the corporate world. They are responsible for making major decisions that
affect the direction of the company like strategic planning, financial management, and
corporate governance. The board of directors typically meets regularly to review and discuss
the company performance and making constant improvements. They also provide support and
guidance to the management team as well as ensuring that the company is operating smoothly
with applicable laws and regulations.

The board of directors at Boardroom Corporate Services play an important role in the

management team and also ensure that the company operates its best while meeting the
requirements given by its shareholders.

3.0 Information on the department

3.1 Structure of The Department

Our department mainly called as Boardroom Share Registrar. Our department main task is to
provide a personalized share registry services to all private limited company who had been
listed on Bursa Malaysia. We also provide IPO listing services to every private limited
company who want to be listed in Bursa. We are committed to give the best and excellence
services as possible to our client which make us one of the top share registry companies in
Malaysia.

Boardroom Share Registrars only have one department in the office. Our department
have around 60 employees including all my colleague and janitor. Our department divided
into four team which is Management Team, IT team, Client Management team, Quality
Assurance team and Helpdesk team. We need to work closely because our work is correlated
to each other.

Our primary duty is to oversee our company's share registration and related
operations. By confirming their identities, recording their contact details, and monitoring
their shareholdings, our goals are to make sure that we keep accurate and current data of
shareholders. Additionally, we want to conduct share transactions including purchasing
rapidly and accurately or selling shares, transferring ownership, and issuing new shares.

As the main point of contact for shareholders, our department takes great satisfaction
in offering them excellent service and support. We try to respond to their inquiries quickly
and to give them accurate information regarding their share ownership, dividend payments,
and other relevant topics. By doing so, we aim to maintain positive relationships with our
shareholders and build trust and confidence in our company.

As a team, we are also dedicated to making sure that our share registration and
associated procedures abide by all relevant rules and laws. This is essential for protecting the
interests of our shareholders and preserving the validity of the share registration. We take this
obligation seriously and make a concerted effort to stay current on any amendments or
adjustments to the rules and legislation that govern our operations.

Our department's overall goals are to operate the share register and related operations

Our key duty is to keep complete records of our shareholders. This entails confirming
their identity and maintaining a record of their contact details and stock holdings. By doing
this, we make sure that all records are current and correct, which is essential to ensuring that
we can effectively communicate with our shareholders and make decisions concerning our
share capital that are well-informed. We go to considerable lengths to guarantee the privacy,
security, and compliance with all data protection rules of all shareholder information.

Our department's ability to handle share transactions quickly and accurately is another
crucial duty. This entails exchanging shares for cash, transferring ownership, or creating new
shares. We recognize the importance of these transactions in preserving the accuracy of the
share registry and safeguarding the interests of our shareholders. So that all transactions are
handled accurately and promptly, we collaborate closely with other departments and
regulatory organizations. Regardless of the size of their investment, we are dedicated to
offering every one of our shareholders a high level of service. Additionally, our division acts
as the main point of contact for shareholders. We recognize that sustaining positive
connections with our shareholders and fostering a sense of trust and confidence in our
company depend on delivering exceptional customer service. Regarding share ownership,
dividends, and other relevant topics, we help, respond to inquiries, and make every effort to
assist them properly.

Another vital duty of our department is to guarantee compliance with regulations. We


are aware that the regulatory landscape is ever evolving, making it crucial for us to stay
current on any modifications or additions. This supports our efforts to uphold the accuracy of
the share registry and safeguard our shareholders' interests. Our systems and procedures are
entirely compliant with all applicable laws and regulations thanks to the tight collaboration
between our legal and compliance departments. We are dedicated to upholding the highest

5.0 Experienced Gained

5.1 New Experience in Practicum

During my internship period in Boardroom Share Registrars, I have gained so much


experience and knowledge in share registration services. On my first day of internship, I have
been introduced to our company services, all kinds of corporate exercise including dividend
payments, income distribution, income distribution reinvestment plan, right issue, general
offer, capital repayment and interest payment.

There are six teams in my department which is EDP team, client management team,
helpdesk team, administration team, issuing house team and quality assurance team. I have
been transferred to quality assurance team. Throughout my internship, my mentor, Mrs.
Munirah has taught me a lot on how to handle all the quality assurance task involving
corporate exercise. I have been given a responsibility to ensure all the processes and services
met the requirement. I have worked closely with the team to identify all the defects in the
company processes and services.

I’ve also involved in conducting the auditor from KPMG to make sure all the services
that my company gave were compliant with relevant regulations and standards. My team and
I have been working closely to identify all the non-compliance issues and helped to develop
corrective action plans to address them. I have also demonstrated an excellent problem-
solving skill, attention to detail and I’ve maintained a strong work ethic. I’ve also showed an
excellent communication skill to work effectively with my team members.

Overall, I’ve gained a truly memorable experience in the quality assurance team at
Boardroom Share Registrars and I really enjoyed being a part of quality assurance team.
Biggest appreciation to my mentor and team who has guided me in every aspect of work.

5.2 Knowledge Gained During Practicum

During my internship at Boardroom Share Registrars, I had the opportunity to learn a wide
range of valuable skills and gain new experiences that will benefit me in my future career.
One of the most important skills that I learned during my internship was how to use
Microsoft Excel properly. I learned how to use various functions and create Pivot tables,
which are essential tools for organizing and analyzing data. These skills will be valuable in
my future work, as I will need to work with large sets of data and make sense of it in a
meaningful way.

In addition to developing my technical skills with Excel, I also had the chance to
improve my leadership and communication skills. Throughout my internship, I worked
closely with my colleagues on various projects and tasks, which required me to collaborate
effectively with others and communicate my ideas clearly and concisely. Through this
experience, I learned how to work well in a team environment and became more confident in
my ability to lead and communicate effectively.

Another aspect of my internship that I found very interesting was learning about the
various corporate exercises involved in the share registry process. This included things like
right issues, share withdrawals, re-investment plan, as well as dividend payments and other
corporate actions. Through my work on these exercises, I gained a deeper understanding of
how companies operate and how share registries are managed. This knowledge will be
valuable if I decide to pursue a career in finance or business, as it will give me a solid
foundation for understanding the workings of the corporate world.

Finally, working in an office environment was a new experience for me, and one that
I found very rewarding. It was great to be part of a team contribute my work to the office, and
I enjoyed the social aspects of working alongside my colleagues. I also appreciated the
opportunity to learn from more experienced professionals in the field, and to gain exposure to
different aspects of the business.
