sustenance and health so that we have the opportunity to complete the paper created to fulfill
the group assignment for the Professional English course. The material for the paper that we
created is "Google Spreadsheet".

We realize and believe that this paper is still far from perfect. There are still many
shortcomings and errors that we are aware of or that we are not aware of. Therefore, we
expect criticism and suggestions from this paper, so that in the future we can make even
better papers. However, even though this paper is far from perfect, we hope that this paper
can be more or less useful for those who read it.

INTRODUCTION

A. Background

In this digital era, the need to manage and analyze data continues to increase.
This data can be in the form of financial information, sales records, research data,
inventory lists, and so on. In the work and personal world, we are often faced with the
challenge of storing, processing and analyzing data efficiently and effectively.

Traditional spreadsheet software such as microsoft excel has always been the
main choice. However, limitations in terms of accessibility, collaboration, and cost
are obstacles, especially for individuals and teams with limited budgets.

Google sheets is present as an alternative solution to the web-based


spreadsheet software offered by google. The presence of google sheets aims to
provide a platform that allows users to manage and analyze data easily, for free, and
can be accessed anytime and anywhere via internet-connected devices.

Apart from that, Google Sheets also prioritizes collaboration. Multiple users
can edit and view a spreadsheet simultaneously. This feature is very helpful in
increasing the effectiveness of team work.

DISCUSSION

A. Understanding

Google sheets is a web-based spreadsheet application provided by google,


allowing users to create, edit, and share spreadsheets online. Compared to traditional
spreadsheet programs like microsoft excel, google sheets offers advantages in
accessibility and collaboration. Users can access and edit their spreadsheets from any
device with an internet connection, without the need for additional software installation.
The real-time collaboration feature allows multiple users to work together directly on a
single spreadsheet, providing great flexibility in joint projects or team work.

In addition, google sheets provides a variety of features such as powerful


calculation functions, graphing, rich formatting, and the ability to share data between
spreadsheets or with other google applications, making it a very useful tool in data
management, analysis, and collaboration across a wide range of applications. Fields such
as business, education and research.

Google spreadsheet, developed by google, is a web-based data processing


application. Its development began in 2006 using the javascript programming language,
initially developed by 2web technologies before being acquired by google in the same
year. As part of the g suite package, google sheets is combined with other applications
such as google docs, google forms, and google slides, can be accessed via various
browsers such as google chrome, microsoft edge, mozilla firefox, apple safari, and
internet explorer, and can be accessed via android and ios based mobile devices.

Google sheets is also integrated with google drive, and can be accessed via third-
party services such as dropbox. Google's acquisition of the collaborative program in
2010 strengthened integration between the applications, allowing users to work on
multiple projects connected through a single google account. Thus, google sheets has
become an integral part of google's programming ecosystem, facilitating users in easily
accessing, editing, and managing data from various devices.

B. Key Features Of Google Sheets

1. Real-time collaboration
Multiple users can edit the same spreadsheet simultaneously, changes made by one
person can be immediately seen by others, version history allows you to track
changes and roll back to previous versions, and leave comments and ask questions
directly in the spreadsheet.
2. Data processing
Hundreds of functions for calculations, data analysis, and text manipulation, filter
data based on various criteria, sort data based on specific columns, and data
validation to ensure accurate data entry.
3. Formatting
Wide selection of cell, row, and column formats to improve data presentation,
conditional formatting to highlight important data, implementation of custom sorting
and filtering rules, and use of ready-made spreadsheet templates for various
purposes.
4. Graph and chart creation
Various types of graphs and charts to easily visualize data, and customize graphs and
charts as needed, adding titles, labels, and legends to graphs and charts, and insertion
of graphs and charts into spreadsheets or other presentations.
5. Import and export
Import data from various formats, such as csv, excel, and google forms, export data
to various formats, such as csv, excel, and pdf, and connect spreadsheets with other
google apps, such as docs, slides, and forms.
6. Other features
Scheduling spreadsheet publication so that it can only be accessed by certain people,
use of scripts to automate tasks in spreadsheets, and integration with third-party add-
ons to extend spreadsheet functionality.

Google uses enterprise-grade security to protect your data in google sheets, user
access controls to determine who can access and edit the spreadsheet, and version
history allows you to track changes and roll back to previous versions.

C. Google Sheets Function


There are several functions that can be gained from using google sheets, including:
1) Organize, process, and transform data from rows and columns.
2) Perform number calculations in spreadsheet cells.
3) Describe data through tables, diagrams, or graphs.
4) Perform data analysis as needed.
5) Filtering data is also one of the functions provided by google sheets.
6) Store data collected from google forms.
D. Tools In The Spreadsheet
In a spreadsheet like google sheets, the "tools" can be interpreted in a few ways :
1. Functions: these are built-in formulas that perform calculations, data analysis, and
text manipulation. There are hundreds of functions available, covering everything
from basic arithmetic (sum, average) to complex statistical analysis (vlookup,
hlookup).
2. Formatting options:these tools allow you to customize the appearance of your
spreadsheet to improve readability and clarity. You can format cells, rows, and
columns with features like:
 Font styles and sizes: make your data stand out with bold, italics, or different
font sizes.
 Borders and shading: highlight specific sections or create visual separation
between data sets.
 Number formatting: display numbers in specific formats such as currencies,
percentages, or dates.
 Conditional formatting: automatically apply formatting based on specific
criteria within your data.
3. Charts and graphs: these tools help you visualize your data to identify trends,
patterns, and relationships. You can create various chart types, including bar charts,
line charts, pie charts, and scatter plots. You can further customize these charts with
titles, labels, legends, and data series formatting.
4. Filters and sorting: these tools help you organize and analyze large datasets.
 Filters: allow you to temporarily hide rows that don't meet specific criteria,
focusing on relevant data subsets.
 Sorting: reorders your data based on a chosen column, either ascending (a to z)
or descending (z to a).
5. Data validation: this tool helps ensure data accuracy by setting limitations on what
type of data can be entered into specific cells. You can restrict entries to numbers,
text, dates, or even specific dropdown options.
6. Add-ons: these are third-party extensions that add additional functionalities not
natively available in google sheets. You can find add-ons for various purposes, like
project management, form creation, data cleaning, and more.

E. Steps To Use Spreadsheets


1. Opening spreadsheet:
 Open a web browser and visithttps://docs.google.com/spreadsheets/.
 Click "blank spreadsheet" to create a new spreadsheet.
 You can also open an existing spreadsheet by selecting it from your list of
spreadsheets.

2. Entering data:
 Click the cell you want to enter data into.
 Type your data in the text boxes above the spreadsheet.
 Press enter to enter data into the cell.
 You can copy and paste data from other sources, such as other spreadsheets or
text documents.

3. Editing data:
 Click the cell you want to edit.
 Change the data in the text boxes at the top of the spreadsheet.
 Press enter to save changes.
 You can use the undo function (ctrl+z) to undo the last change.

4. Formatting data:
 Select the cells, rows, or columns you want to format.
 Click the "format" menu above the spreadsheet.
 Use the options in the menu to format your data, such as:
 Font and text size
 Text alignment
 Background color
 Lines and shadows
 Number formatting

5. Create graphs and charts:


 Select the data you want to visualize.
 Click the "insert" menu above the spreadsheet.
 Select "chart" and choose the type of chart you want.
 You can customize charts with titles, labels, legends, and data formats.

6. Collaborate with others:


 Click the "share" button in the top right corner of the spreadsheet.
 Enter the email address of the person you want to collaborate with.
 Select the level of access you want to grant (edit, view only, comment only).

7. Saving spreadsheets:
 Your spreadsheet is automatically saved online in google drive.
 You can download the spreadsheet to your computer in xlsx or pdf format.

F. Advantages and Weaknesses Google Sheets


Google sheets advantages:
1. Real-time collaboration:multiple users can work on the same spreadsheet
simultaneously, see each other's changes instantly, and leave comments. This is very
useful for teams that need to work together to process data.
2. High accessibility:spreadsheets can be accessed from anywhere with an internet
connection, using a computer, tablet or smartphone. This makes it easy for you to
work on your data wherever you are.
3. Free for personal use:individuals can use google sheets for free with a google
account. This makes it an attractive option for individuals and small businesses who
don't want to spend on spreadsheet software.
4. Easy to use:google sheets has an intuitive and easy-to-learn interface, suitable for
both beginners and advanced users.
5. Complete features:even though it's free, google sheets offers a variety of features
commonly found in other spreadsheet programs, such as hundreds of functions for
calculations, graphing, and data formatting.
6. Guaranteed security:google uses enterprise-grade security to protect your data in
google sheets. You can control user access to determine who can view and edit your
spreadsheet.
7. Integration with other google apps:google sheets can be integrated with other google
applications, such as docs, slides, and forms. This makes it easier for you to move
data between applications and work smoothly.
Disadvantages of google sheets:
1. Dependency on internet connection:while you can save spreadsheets offline, most
features require an internet connection to work. This can be a drawback if you need
to work with data while offline.
2. More limited professional features:compared to paid spreadsheet programs like
microsoft excel, google sheets may be limited in more advanced and complex
features.
3. Storage capacity:although google drive offers 15 gb of free storage, you may need to
increase the storage if you work with very large spreadsheets or have a lot of files.
4. Less flexible for macros:google sheets has limited scripting functionality compared
to macros in other spreadsheet programs. This can limit the automation of complex
tasks.
CHAPTER 3
CONCLUSION
Google sheets is a web-based data processing tool provided by google, which offers
very useful features in data management and analysis. With the ability to sort, process,
manipulate, and visualize data, as well as perform in-depth data analysis, google sheets gives
users the opportunity to optimize the use of their data. To use google sheets effectively, users
need to understand basic functions such as sorting, filtering, calculations, and data
visualization, as well as take advantage of collaboration features to work in real-time with
teams. Even though it has advantages such as wide accessibility and integration with the
google ecosystem, google sheets also has several disadvantages such as limited features and
required internet connection. Thus, a good understanding of the features and use of google
sheets can help users manage and analyze data effectively.
