How To Increase Show Up Rates To Meetings-

There are 3 main reasons that a model may not show up to your meeting-

-Forgetting
-Interest lost
-Complexity

The first thing to do to practically address the levels of no shows you guys are getting is to
set up custom reminders on Calendly to prompt your model before the email, to do so-

-Click the model call event you have created


-Click invitee questions and make sure you ask for a phone number
-Click notification and cancellation policy
-Turn email reminders on
-(You may have to upgrade your subscription at this point but it is well worth it)
-Click personalise
-Add the subject and body of the email

-In terms of how to format this element best it is always advisable to have a link in the email,
for example a link to your agency website. Better still have a link of a video testimonial from
a model, this will keep the interest and excitement levels for the meeting high.

-Set up 3 reminders for the meeting in the format of

12 hours before
3 hours before
10 minutes before

-It is also a great idea to set up text reminders as often emails are not checked as regularly.
These should obviously be kept much shorter, the format we use for Oura is below-

Hey {{invitee_first_name}} it's Oura Consulting here! We just wanted to send you a quick
reminder for our meeting on the {{event_date}} at {{event_time}} Speak soon! Harry -

-Once you have the message sorted again set 3 reminders

Booking Times & Availability-


It is recommended to have your calendly set up so the model can only book a call within 3
days from the time of booking. If you send your calendar to a model and she has the option
to book weeks in advance then the likelihood of them actually remembering to turn up when
they book a few weeks in advance is minimal. You need to close these models asap so
turnaround time on the initial call is crucial.

-Click the model call event you made


-Click when can people book this event and change the number of calendar days to 4
-Now the model can only book up to 4 days after you send the link
Further to this is your availability times. Make sure to have your availability as open as
possible on as many days as possible as this will make it easier to find times that work for
both you and the model.

TY4B Video-
Another great tool to use in order to increase the show up rates of meetings is a Thank You
For Booking video. This will be a 60 second video that gets sent to your model after they
book ahead of the meeting. Within this video you should include-

-Start with ‘Thank you for booking a call with ………….. Please give me 60 seconds to
quickly explain what you can expect from the meeting.
-To add a reminder for the meeting
-Inform them you have allocated time especially for them
-Tell them to join the meeting ideally through a computer not a phone
-Ask them to come with an open mind to potentially work together if they see it being a good
fit
-Finish with a, we can't wait to speak with you and show you what we can offer.

Manual Confirmation Message-


Once you see they have booked go onto your chat and manually send them a confirmation
message formatted like this-

Hey …… thank you for booking a call at X TIME and X DATE

Before our meeting I need you to please watch this short video that will explain a little bit
more about what to expect on the call

Phone Call On the Day-


As the final push to improve show up rates make sure to give the model a call on the
morning of the meeting to check in, and if they don't pick up drop a quick text.
