JOB PURPOSE:
The Faculty of Liberal Arts and Professional Studies (LA&PS) is the largest Faculty at York University with over
27,000 undergraduate and graduate students, and almost 100 programs delivered through 24 Departments,
Schools and Colleges, plus the IBM Markham Learning Site. York University is known for championing new

Reporting to the Manager, Student Success & Access Programs, the Student Success Coordinator works with
the Associate Dean, Teaching & Learning, the Associate Dean, Programs, and the Associate Dean, Students
and Student Success & Access Programs team to deliver excellence in supporting and championing students
and their success. The Coordinator participates in the design, development, implementation and evaluation of
student success and retention programs and coordinates the effective integration of programs across the
student life-cycle from prospective student, to beginning alumni engagement for LA&PS students. This includes
student transition programs, peer assisted learning programs, peer mentorship, programs focusing on student
leadership and development, and providing direct student support through one on one and group student
success coaching.
The Coordinator closely collaborates with the Student Success & Access team and LA&PS Colleges to
integrate approaches to student success programs during the phases of Recruitment and Conversion,
Transition, Academic Orientation, First Year, the Middle Years and Upper Year. The Coordinator collaborates
with various campus resources as partners in student success, programs, and initiatives. The Coordinator
closely collaborates with the Student Success & Access team in the coordination of the recruitment, selection,
training, and oversight of all working and volunteering students who are assigned to the high priority student
success programs. Working closely with the Manager, the Coordinator is responsible for the implementation of
the operational elements of program planning including, but not limited to the detailed annual development of
operational plans and the analysis and reporting of evaluation data. The Coordinator works closely with their
manager to develop programs that are evidence based, theoretically informed and measurable

MAJOR AREAS OF RESPONSIBILITY:


1. STUDENT TRANSITIION, STUDENT SUCCESS, ENGAGEMENT, RETENTION PROGRAMMING AND
SERVICES
Percentage of time: 80%

1.1. COORDINATION OF STUDENT SUCCESS PROGRAMS


A. Under the direction of the Manager and in consultation with Associate Dean(s), coordinates the
development, implementation and evaluation of student success programs focused on Student
Transition, Student Academic Success (e.g. Peer Assisted Study Sessions/Supplemental Instruction,

Early Alert Initiatives) and Student Leadership and Development.
B. Provides recommendation for the planning and development of programs to the Manager, to be approved
by the Associate Dean(s) and Manager.
C. Conducts program related meetings with student teams and related staff to ensure effective planning,
coordination and implementation. Brings concerns to the attention of the Manager for resolution when
necessary.
D. Develops, coordinates student engagement and recognition events and supports overall event planning
and implementation by working with Student Success & Access team in its successful execution.

1.1.1 ACADEMIC STUDENT TRANSITION PROGRAMS


A. Contributes to the development and delivery of a student transition programming for LA&PS and the
identification of targeted, measurable and research-informed initiatives to foster student engagement,
success and retention.
B. Under the guidance of the Manager, develops and oversees the implementation, delivery and
evaluation of New Student Transition programs. Collaborates with LA&PS Student Success team
colleagues to develop and engage in collaborative events where applicable/appropriate.
C. Through research, consultations and feedback, identifies the transitional needs of newly admitted and
transfer students and ensures broader understanding of the program goals by liaising and regularly
communicating with the academic programs and LA&PS Faculty units responsible for enrolment
management, Student Success & Retention.
D. Collaborates with the Student Success & Access Programs team, LA&PS Colleges team, academic
departments/schools/programs, other LA&PS colleagues such as the Student Success & Academic
Advising Centre, and broader University colleagues and departments, such as SCLD, Learning Skills
Services, Learning Commons, Atkinson Centre for Mature & Part-time Studies, York International, and
other units that provide programming to support incoming students.

1.1.2 PEER ASSISTED STUDY SESSIONS (PASS) / SUPPLEMENTAL INSTRUCTION:


A. Coordinates PASS leaders from start up until the end of term, liaises with faculty to ensure open flow of
communication between faculty and PASS leaders, coordinates PASS sessions for duration of school
term including arranging room booking for all sessions.
B. Maintains and updates database with student progression through the program and assists with
analysis for reporting purposes, reviews and provides enrollment statistics from previous academic
years/terms as required.
C. Regularly meets with PASS leaders and discusses observations and encourage learning strategies.
Identifies high risk courses and makes recommendation for future PASS courses for each term.
Promotes the PASS/supplemental instructor (SI) supervisor program to Colleges and
Schools/Departments within LA&PS. Identifies gaps in the current PASS program and make
recommendations for their solution.

1.1.3 EARLY ALERT PROGRAM / STUDENT SUCCESS COACHING:


A. Under the guidance of the Manager, Associate Dean(s) and related LA&PS departments, develops,
implements and evaluates the Early Alert program, for at-risk students.
B. Delivers front-line student success coaching to students that foster their personal and academic
capabilities and sense of purpose, in workshops, outreach events, and in one-on-one coaching
sessions.
C. Connects students to appropriate Faculty and campus resources and work closely with campus
partners in contributing to seamless student-focused service delivery across the University.

D. Under the direction of the with the Manager, works closely with Academic Advisors and senior
academic leaders and determines the needs of at-risk students. Creates Early Alert programming to
support the students.
E. Triage student inquires, in person and on-line, troubleshoot concerns as necessary, and consults with
Manager when needed.

1.2 WORK-STUDY, SUMMER STUDENT AND VOLUNTEER COORDINATION:


A. Assesses the needs of Work-Study and Summer Students based on approved priorities for student
transition, student success programming and guidelines for Peer Mentors, PASS Leaders, Tutors and
Work/-Study (Leadership, Engagement and Ambassadorship Program - LEAP) programs, for review
and approval by Manager.
B. Provides work direction to Work-Study Students (i.e., Peer Mentor, Pass Leaders and LEAP).
Contributes to the role descriptions of student volunteer positions.
C. Works closely with Student Success & Access team, Manager, and LA&PS Human Resources, in
coordinating the recruitment and onboarding of Work-Study Students (i.e., Peer Mentor, LEAP). to
support high priority programs in the Colleges and Departments/Schools as applicable. Coordinates the
recruitment and onboarding of volunteers.
D. Under the guidance of the Manager and Student Success & Access team develops, delivers and
evaluates training and leadership development of Work-Study students. Incorporates feedback from
the team is incorporated into the training, and that training plans and schedules are well communicated
to those involved/impacted. Coordinates the need for volunteer training.
E. Oversees the overall workflow of Work-Study students to develop and maintain a system to support
effective student communication across programs. Coordinates the workflow for volunteers as needed.
F. Verifies adherence to the Work-Study student development and leadership program (Becoming YU).

1.3 EVALUATION OF STUDENT SUCCESS PROGRAMS


A. Under the guidance of the Manager, develops and implements a comprehensive process to evaluate
new student transition and student success programs on an annual basis. Incorporates student
development and leadership theory and practices are incorporated into the planning of evaluation,
analysis of the data and formulation of evaluation reports. Prepares and submits a formal evaluation
report to the Associate Dean(s) and Manager.
B. Maintains currency with the research, current evidence and institutional data related to student
performance, success, engagement and retention and applies this data to recommendations about
priority programs. Keeps current with NSSE, NCHA, BSSE and other measures of student
engagement, retention and satisfaction.
C. Collaborates with the Student Success & Access team, campus resource partners, faculty and students
to gather input and information for potential student engagement activities
D. Contributes to discussions about priorities in the area of Student Success. Provides information or
feedback related to programs that support student success and engagement.

1.4 COMMUNICATION AND SOCIAL MEDIA SUPPORT


A. Collaborates with Manager, Student Success & Access team, and the LA&PS Strategic
Communications & Marketing team on with the creation, implementation and evaluation of a
communication strategy related to Student Success programs.
B. In consultation with the Student Success & Access Team, Strategic Communications & Marketing team,
provides direction to Work-Study/volunteer students assigned to projects such as creating and
maintaining print material, website, Facebook, Twitter and YUConnect feeds or other social media.
C. Prepares and effectively delivers presentations regarding student success programs for university
faculty and administrators as well as external audiences.

D. Contributes to the on-going development of resources, materials, literature and research related to
student leadership, student success and engagement.

1.5 STUDENT GROUP LIAISON


A. Works with all students affiliated with LA&PS and in particular the student leaders associated with the
College Council, academic program associations and clubs to support and provide guidance to student
leaders for their own event/workshop planning and evaluation. Where appropriate, partners with
student leaders to co-host events/workshops for LA&PS students.
B. Meets on a semesterly basis with the Residence Life Coordinator(s) to identify opportunities for
collaborative activities to support student engagement, success and community-building.
C. Collaborates with Student Success & Access Programs team and the academic units to ensure there is
a comprehensive and effective development program for student groups who work and volunteer within
the LA&PS.
D. Attends student group events and meetings. Brings issues related to the functionality of student groups
to the attention of the Manager.

Reason for Contact: Coordinate the delivery of student academic transition programming, development,
implementation and evaluation of student success and engagement programs. Develop, deliver and evaluate
student leader, Work-Study student staff and volunteer training. To collaborate with campus partners on
activities to support student engagement, success and community-building. To support and connect students to
various campus resources.

2. ADMINISTRATIVE DUTIES
Percentage of time: 15%
A. Maintains documentation, databases and reports related to all student success programs.
B. Participates in relevant university committees and working groups and/or to provide administrative
support as needed such as taking meeting minutes and arrange logistics.
C. Maintains manuals and shared files for each priority program (such as program descriptions,
theoretical/research literature).
D. Under the direction of the Manager, keeps abreast of budgetary information and priorities and ensures
financial activities are in keeping with the event and program budgets and are recorded appropriately.
Brings discrepancies to the attention of the Manager for follow-up. Works with the Manager to monitor
and confirm expenditures are within budget limitations by monitoring expenses ensuring availability of
funds with respect to each project or event.
E. Actively participates in regular meetings with their Manager, at departmental meetings and other
meetings as appropriate.
F. Provides back-up coverage and support for the other Student Success Coordinator(s) as required
(during absences or high work volume).
G. Supports the Manager with the preparation of annual and ad hoc reports.

H. Participates in Faculty and campus partner special events as requested, including student recruitment
events.

QUALIFICATIONS:

Minimum level of formal education required:


University degree inclusive of courses in a field related to student development theories, student engagement,
leadership studies, adult learning and/or training, or an equivalent of 4 years recent experience (defined as
within the last five years) working at York University and performing the same or similar tasks, plus relevant
specialized education or training. This education equivalency is in addition to the experiential requirements
outlined below. Advanced education at the graduate level and certification, such as Supplemental Instruction
(Peer Assisted Study Session), would be an asset.

Minimum number of years and type of relevant work experience required:


Two (2) years recent related work experience developing, implementing and facilitating student-centred
programs designed to support student engagement, student leadership and student success in higher
education. Advanced knowledge of student development theories specializing in student leadership,
engagement and success in higher education. Experience in developing, implementing and coordinating events.
Experience in evaluating student success programs. Proven experience drafting documents, reports and
communications for a variety of audiences. Familiarity with National Survey of Student Engagement (NSSE) and
Beginning College (University) Survey of Student Experience (BSSE). Experience in coordinating the work of
peer leaders and/or Work/Study students.

Skill(s) required:
Strong presentation and public speaking skills. Student centred and customer service oriented. Strong

relationship cultivation, building and maintenance skills. Excellent written communication skills and experience
in writing reports and submitting content for marketing materials. Demonstrated ability to collect and analyze
data and prepare written reports for various audiences, in a variety of formats. Strong attention to detail, with
accurate proofreading and cross-referencing skills. Excellent organizational, project management and time
management skills to cope with multiple projects and events occurring within short and overlapping time
periods. Ability to work independently and as a member of a team in an environment of high volume and
competing priorities. Ability to adapt to new and emerging technologies. Strong computer skills including
Microsoft 365 such as MS Word, Excel, Access at an intermediate level – including demonstrated knowledge of
functions/formulae, creating queries and reports, filtering, sorting and linking (mail merge), intermediate MS
PowerPoint or similar presentation software. Familiarity with a university student information system (e.g. SIS)
will be preferred. Familiarity with event management software. Ability to oversee and maintain social media
accounts (e.g. blogs, WordPress, Twitter, Facebook). Ability to communicate effectively with a diverse
university student population and have a genuine desire to meet the needs of students. Strong interpersonal
skills and ability to deal courteously, tactfully and effectively with students, faculty and staff. Strong ability to
