blessings we can complete a paper entitled “Writing Report” in a timely manner.
The paper is structured to meet the task subjects, speaking in professional context il also
as a condition for getting a good grade in this course.

INTRODUCTION
1.1 Background
Reports often involve investigating and analysing a problem and coming up with a
solution. This means that you need to take a position or provide a solution and you need clear
reasons for your solution.
1.2 Purpose
In the education world, most students are confused between essays and reports. Some
use these two words interchangeably. However, in most cases, reports are usually used in
business, technical and scientific subjects, especially in the workplace. So, what’s the
difference between a report and an essay? An essay focuses on reasoning and arguments while
a report focuses on facts.
A report is a sharp, short document that is written for a specific audience. It usually sets
out and analyses problems or situations. It also makes recommendations for actions to be taken
in the future. It is a paper that focuses on facts. And it’s supposed to be well-structured and
clear. Requirements for this report will vary between departments and organizations. In the
academic world, it will vary between tutor to tutor and student courses. Therefore, it’s worth
finding out if there are specific guidelines before starting.

1. Introduction ( background)
This is where you set the scene for your report. The introduction should clearly articulate
the purpose and aim (and, possibly, objectives) of the report, along with providing the
background context for the report's topic and area of research. A scientific report may have an
hypothesis in addition or in stead of aims and objectives. It may also provide any definitions or
explanations for the terms used in the report or theoretical underpinnings of the research so that
the reader has a clear understanding of what the research is based upon. It may be useful to also
indicate any limitations to the scope of the report and identify the parameters of the research.
2. Aims/purpose of report
A report has lots of purposes both in the academic and professional world. But since It’s
usually used in the professional world most of the time, we are going to share with you the
three main purposes of this document:
a. Making decisions
In our modern world today, most individuals and business organizations need a
lot of information. Reports provide huge amounts of information that is required to
make important decisions. Also, individuals get to understand a specific area based on
the information presented in a report.
c. Professional advancement
Reports are essential for managers because they can be used for organizing,
planning, motivating, coordinating, and controlling. All managers need reports to get
essential information that will help them make informed decisions. When managers
make informed decisions, the business will naturally grow and thrive.
3. Benefit of Report
A report provides consolidated, factual and an up-to-date information about a
particular matter or subject. Information in the report is well organized and can be used
for future planning and decision making.
Benefit of report :
a. Report gives consolidated & updated information

and can be used for future planning and decision making.
b. Report as a means of internal communication
A report acts as an effective means of communication within the
organization. It provides feedback to employees. It is prepared for the
information and guidance of others connected with the matter / problem.
c. Report facilitates decision making and planning
Report provide reliable data which can be used in the planning and
decision making process. It acts as a treasure house of reliable information for
long term planning and decision making.
d. Report discloses unknown information
Reports provide information, which may not be known previously. The
committee members collect data, draw conclusions and provide information
which will be new to all concerned parties. Even new business opportunities are
visible through unknown information available in the reports.
e. Report gives Information to employees
Reports are available to managers and departments for internal use.
They are widely used by the departments for guidance. Report provide a
feedback to employees and are useful for their self-improvement.
f. Report gives reliable permanent information
The information provided by a report is a permanent addition to the
information available to the office. We have census reports (prepared since last
100 years) which are used even today for reference purpose.
g. Report facilitates framing of personnel policies
Certain reports relating to employees are useful while preparing
personnel policies such as promotion policy, training policy and welfare
facilities to employees.
h. Report gives information to shareholders
Some company reports are prepared every year for the benefit of
shareholders. Annual report for example, is prepared and sent to all
shareholders before the AGM. It gives information about the progress of the
company.
i. Report gives information to the Registrar
Annual report and annual accounts are sent to the Registrar every year
for information. Such reports enable the government to keep supervision on the
companies.
j. Report solves current problems
Reports are useful to managers while dealing with current problems
faced by the company. They provide guidance while dealing with complicated
problems.
k. Report helps directors to take prompt decisions
Company reports relate to internal working of the company and are
extremely useful to directors in decision making and policy framing. Reports
give reliable, updated and useful information in a compact form.
