CIRCULATOR CHECKLIST

At the start of your shift IMPORTANT REMINDERS


 Arrive on time for your shift (i.e. 8:15 am, 1:15 pm, 5:45 pm)  First hour of the exam – students cannot
 Go to the Exam Deputy Office and sign in with your deputy hand in their exams and leave the exam
area
Upon arrival at your assigned space  After the first hour of the exam – no late
 Act as a go-to person for invigilators; move around your assigned space students are permitted to enter the exam
and support invigilators as needed area
 Ensure all your invigilators have the correct materials necessary to run the  Last 15 minutes of the exam – students
exam cannot leave the exam area
 If any exams or materials are missing, inform the Exam Office to resolve
the issue ASAP

At the start of the exam


 Help direct students to their exam area/seat
 Be ready to help your invigilators if exams, materials, and signature sheets are needed
 You may be assigned to handle crowd control or to verify students with no McGill ID
 If you are assigned to verify IDs, follow the following steps:
o Request to see gov’t issued photo ID.
o Ask student to log into Minerva on their personal smartphone
o Ask student to show proof of enrolment letter for the term
o Complete a Missing McGill ID form and give it to the student
 The student must give this form to their invigilator when signing the signature sheet
o Add the student’s ID to an Incident Report Form
 You must complete one Incident Report Form and include the list of all students IDs you validated

During the exam


 Be visible so your invigilators can easily spot you if needed
 Escort students to the washroom as needed
o Make sure students complete the Bathroom Log
o Remind the student: No cell phones or any items in their pockets or on their person when going to the washroom
o Male circulator to escort male students to the washroom and female circulators to escort female students
 You must enter the washroom with the student
o If you suspect any cheating in the washroom contact your deputy
 If students have questions during the exam find the instructor
 Provide pencils, calculators or green booklets to invigilators, as needed
 If a student is ill keep them calm and try to escort them out of the exam area
o Contact the deputy immediately
 Be available to corroborate any suspected incidents of cheating if an invigilator approaches you
o Contact the deputy
 Replace an invigilator for their break
 If you are taking your break make sure to advise your invigilators

Once the exam is over


 Help invigilators maintain control of the space – students must remain seated and quiet until everything has been collected
 If in the Gym/Fieldhouse –announcement will made when students can leave
o Help the Announcer by letting them know when all exams have been collected
