INVIGILATOR CHECKLIST

At the start of your shift


 Arrive on time for your shift (i.e. 8:15 am, 1:15 pm, 5:45 pm) IMPORTANT REMINDERS
 Go to the Exam Deputy Office and sign in with your deputy  First hour of the exam – students cannot
 Collect your exam materials and head to your exam location hand in their exams and leave the exam
area
Upon arrival at your exam row/classroom  After the first hour of the exam – no late
 Never leave your assigned space and exams unattended students are permitted to enter the exam
 Count the exam papers area
o Flag a circulator ASAP if there are any discrepancies  Last 15 minutes of the exam – students
o NOTE: the exams are bundled by row so make sure not to mix cannot leave the exam area – don’t
them up collect any exams until the exam is over
 Label the exams (not the booklets) with the row and seat (e.g. FH3A-1,
FH3A-2, G1-1, G1-2, G1-3), if not labeled already
 Review the exam coversheet carefully

At the start of the exam


 If in the Gym/Fieldhouse - Listen for the announcement giving the go ahead to distribute the exams
 If in a classroom/studio – read the exam startup script
 Distribute the exams face down
o Ensure to distribute the exam to the correct seat
o Skip any empty seats
o Do not distribute exams for a given row to another – the exams are bundled by row
 The exam will not start until all students present have exams
 Check that students have:
o McGill ID on their desk
o No electronic devices (e.g. cell phones, smart watches, laptops), pencil cases or extra materials on their desk
o No coats on the back of their chair – folded under their desk

During the exam


 Collect students’ signatures – EVERY student must sign in
o Verify the student ID to ensure name, ID, picture matches
o Use one signature sheet per row per exam
 Check the exam coversheet to determine what is permitted, e.g notes, crib sheets, dictionaries, calculators
o If extra (green) booklets are required, make sure to record them on the signature sheet
 Flag a circulator to escort students to the bathroom as necessary – students must sign the bathroom log
 Flag a circulator if the student is ill or if there are any issues
 Walk up and down your rows regularly
 Update the signature sheet as you hand out any green booklets and when you collect written exams
 Watch for cheating – flag a circulator to alert the deputy if you think a student is cheating
 Flag a circulator to replace you when you want to take your break (one 15 minute break permitted)

Once the exam is over


 Control the space – students must remain seated and quiet until everything has been collected
 Collect and count all exam materials
 Ensure that your totals match your original count!
 If in the Gym/Fieldhouse –announcement will made when students can leave
 If in a classroom/studio – release students only when all exams have been collected and the counts match
 Return everything to the deputy office as per the deputy’s instructions
