TOPIC MIOCROSOFT ACCESS DATABASE

CONCEPTS/SKILLS
 Computer literacy skills
 Project designing skills
 Database management skills

DIMENSIONS/CRITERIA TO BE ACCESSED
 Capability on identifying the database relations to work on
 Ability to design the database structure.
 Ability to capture at least 10 records on each relation.
 File organisation skills on screenshotting, and copying and pasting in Microsoft Word
application.

OBJECTIVES
Learners will be required to;
 Come up with at least three database relations in the office of the Clerk’s or Receptionist’s
office. For example, the fees register, the form1 enrolment register, stationery checklist etc.
 Design the database structures for the selected relations using the MS Access application.
 Indicate appropriate fields and the correct data types for the tables.
 Enter at least 10 records in the datasheet view for each table.
 Take the screenshots for the design view of the selected tables
 Copy and paste the screenshots in MS Word application
 Save and print the design views and the datasheet views in MS Word.

CALA CONTEXT
Learners will;
 Suggest at least 3 relations from the Clerk’s or Receptionist’s office
 Develop a simple database management system for their school in MS Access
 Capture the screenshots of the design views.
 Print the datasheet in MS Access
 Copy, paste, save and print their work in MS Word.

TEACHER’S NOTES
The teacher will;
 Guide learners in coming up with database relations
 Help learners develop the database structures.
 Assist learners with limited knowledge on file management and in manipulating documents in
MS Word application.

CLASS FORM 4

A. CALA BACKGROUND
It has been observed that the school receptionist is using the manual way of storing records
pertaining the learners in its department. This is bringing some irregularities in the running of
their office. Some problems include the storage files in the storage cabins or chambers being
full and other paper records may get lost, torn out or just be misplaced. Learners are tasked to
develop an electronic database management system specifically for use by the school clerk.

B. CALA CONTEXT
You are required to;
1. Come up with at least three database relations in the office of the Clerk’s or Receptionist’s
office. For example, the fees register, the form1 enrolment register, stationery checklist etc.
2. Design the database structures for the selected relations using the MS Access application.
3. Indicate appropriate fields and the correct data types for the tables.
4. Enter at least 10 records in the datasheet view for each table.
5. Take the screenshots for the design view of the selected tables
6. Copy and paste the screenshots in MS Word application
7. Save and print the design views and the datasheet views in MS Word.

NB: Use MS Word and MS Access for your designs and any necessary documentation.

C. CALA ASSESSMENT
How you will be assessed….
The teacher will assess you on;
1. The indication of the selected database relations [3]
2. The properly designed database structures for the selected relations [15]
3. The presence of appropriate fields and correct data types [9]
4. The presence of at least 10 records entered in each relation [3]
5. The printed copies showing the datasheet and the screenshots for the design view. [5]
6. The document profiling [5]

D. TIPS
You are advised to use latest version of MS Access for the development of the database
system.
