Assignment #2 – Electronic Communications


Assignment due: SEE DROP BOX/ASSIGNMENT FOR DATES
Value of Assignment: 15% of Final grade.
Passing Grade: 60%
Format: Cover page (per the proper Conestoga College format for submitting
assignments), and 3 separate emails (start a new page for each email)

Overview
The purpose of this assignment is to simulate the introduction (rollout) of new arc
welding equipment replacing old welding tools/equipment in your “fantasy/fake
business/production-department” (where you are the senior manager overseeing the
rollout), that will cause 3 out of every 7 welders to lose their jobs (there are 70
welders in your company). You will consider lessons taught/learned in week 3 and
week 4 as you perform the following:

1) You are required to create 3 separate emails, the purpose of each email is to
announce the rollout of the new equipment to:
a. executives above you (President, VPs, Directors),
b. your peers (other Managers),
c. your direct reports (Clerks, Supervisors, Admin personnel).

Submit ONE MICROSOFT WORD file only

2) Your one file contains all three emails you’ll be creating, plus one cover page. As
always, your first page should be the cover page in the format shown in the sample
report.

3) Each of your 3 emails must contain all the key requirements covered in the class
material, to who, from who, subject line, relevant information, signatures etc.

4) Above all each email must be TAILORED to the specific audience; think specifically
about what each group would, or wouldn’t, be interested in or that they should
know in your opinion as a senior manager communicating to them.

Directions
Prepare 3 simulated emails to announce the rollout of new welding equipment. We
recommend using MS Word, and suggest you create fictional names and titles for both
yourself and your recipients.

These should look like emails so must have headings for “From”, “To”, “Subject”,
and the body (or main content of your fake emails) is to simulate proper looking
emails.

To: Joe Schmoe, Sally Shmally, …, ………………….

Signature

• The first email will be to executives to announce among other things a go live
date for the new equipment rollout.
• The second email will be to your peer management group describing the same
rollout information with other relevant appropriate information.
• The third email will be to your own team (direct reports) to highlight the same
rollout information with information that is appropriate to them.

Each email should be between 200 to 600 words, depending on who you are
sending them to. Make sure the body of each email contains a narrative appropriate
to the audience. Important points to remember:
 To Executives … short and to the point; these are big picture and big dollars
people; is it a public company? do they care about publicity?
 To Peers … they have similar responsibilities to you; are you impacting them or
their teams? who do the production people report to?
 To Direct Reports … they should have all the details needed to keep doing their
jobs? did they participate in the rollout planning? are they just bystanders?
